They are an editorial selection of useful Gmail features, not an official Google ranking. Most work in Gmail on the web or mobile; keyboard shortcuts are specifically for desktop.
Find the messages you need
1. Combine search operators
Use Gmail search operators together to narrow results by sender, dates, attachments, or status. For example, a search can combine a sender with date boundaries and has:attachment. Google’s Gmail search operators guide lists the supported syntax and examples.

2. Search Spam and Trash deliberately
Standard Gmail searches exclude Spam and Trash by default. If a message seems to have disappeared, open those folders or include them in a search using the options Google documents in its search help.
Organize the inbox without creating more work
3. Create a filter from a search
Open Gmail’s search options, enter the criteria that identify the messages, and check that the results are right. Then choose the option to create a filter and select what Gmail should do with matching mail, such as applying a label or archiving it. A filter can automate the same action for future messages. See Google’s filter and label instructions.

4. Think of labels as tags, not folders
Gmail labels help categorize messages, and a message can have more than one label. That makes labels useful for overlapping categories—such as a project and a person—without forcing a message into only one folder. Gmail’s labels help page explains how they work.
5. Label several messages at once
In the message list, select the messages you want to group, choose the label control, and apply an existing label or create one. This is quicker than opening and labeling each message individually. The steps are covered in Google’s Gmail label instructions.
6. Archive instead of deleting
Archiving removes a message from the inbox but keeps it in All Mail, where you can find it later. If someone replies to an archived conversation, the thread returns to the inbox. Use Archive when you have finished with a message for now but may need its contents again; Google describes the distinction in its archive and organization help.

7. Snooze messages you cannot handle yet
Snooze temporarily removes a message from the inbox and brings it back at the time you choose. Find it before then in the Snoozed view or search with in:snoozed. Snooze is useful for a message that needs attention later; it does not replace a deadline or calendar reminder. Google explains the feature in its snooze instructions.
8. Use stars to flag follow-up
Stars and other symbols can mark messages that need attention. Gmail supports different star styles, and search operators let you retrieve starred messages rather than relying on memory. Choose a simple meaning for each symbol—such as “reply needed”—so the markers remain useful. See Google’s Gmail organization help.
Move faster on desktop
9. Turn on keyboard shortcuts first
Many Gmail keyboard shortcuts do not work until you enable them. In Gmail on a computer, open Settings, select See all settings, and under the General tab find Keyboard shortcuts. Turn them on and save your changes. Google’s shortcut guide notes that modifier keys differ between PC and Mac.

10. Learn a small shortcut set
Once shortcuts are enabled, start with a few high-value keys: / focuses the search box, c starts a compose, e archives the selected conversation, and z undoes the last action. These documented shortcuts are for desktop Gmail; check Google’s full shortcut list for other actions and platform-specific modifier keys.
Send email at the right time
11. Schedule a message
Compose your email, open the menu next to Send, choose Schedule send, and select a suggested time or set one yourself. Gmail supports up to 100 scheduled messages, according to Google’s Schedule send help. This is useful for timing a message without needing to be online at the moment it should go out.
12. Check the time zone before scheduling
Gmail schedules delivery using the time zone in effect when you schedule the message. Delivery can occur a few minutes after the chosen time, so do not use Schedule send as a guarantee of delivery at an exact minute. Google documents both details in its scheduling instructions.
13. Treat Undo Send as a brief safety window
In Gmail settings, choose an Undo Send cancellation period of 5, 10, 20, or 30 seconds. After sending, the Undo option is available only during that selected window. It is a short chance to cancel a send—not a way to recall an email later. See Google’s Undo Send instructions.
Control access to sensitive messages
14. Set an expiration or revoke access with Confidential mode
When composing a message, use Confidential mode to set an expiration and, if needed, revoke the recipient’s access later. These controls can be useful when you want a message to stop being available through Gmail after a set period. Google explains the available controls in its Confidential mode help.
15. Do not treat Confidential mode as a guarantee of secrecy
Confidential mode can disable options for forwarding, copying, printing, and downloading, but it cannot prevent every form of disclosure. A recipient can still take a screenshot or photograph, and malicious software may copy or download content. Avoid sending information that must remain impossible to capture or share. Google gives this warning in its Confidential mode guidance.
