1. Arrange windows with Snap layouts and Snap Assist
Snap layouts let you place windows into predefined regions instead of manually dragging and resizing them. Snap Assist then helps fill the remaining spaces with other open windows. The two functions work together, but they are not the same: a layout is the arrangement you choose, while Assist is the follow-up list of windows Windows offers for empty slots.

- Open the windows you want to arrange.
- Hover over a window’s maximize button. You can also press Windows+Z.
- Select a layout, then click the region where you want the current window.
- When Snap Assist displays other open windows, select one to occupy another region.
To change the behavior, open Settings > System > Multitasking and review the Snap options. Depending on your build, you can control whether snapped windows are suggested, resized together, or shown in related Snap groups. If a layout does not appear, the available choices may depend on display size, orientation, scaling, or the current Windows release.

2. Use Focus sessions to block interruptions
Focus is designed for a defined period of concentrated work rather than permanently silencing every notification. A session can temporarily enable Do not disturb, suppress notification pop-ups, hide taskbar badges, and stop flashing indicators that would otherwise draw your attention.
Start and adjust a session
- Open Settings > System > Focus.
- Choose a session duration.
- Review the options for Do not disturb and the taskbar’s notification behavior.
- Start the session and change the duration or related behavior when your schedule requires it.
Microsoft’s current Focus guidance also describes integration with the Clock app and optional connections to Spotify or Microsoft To Do. Those connections are extras, not prerequisites: Focus itself can be used without linking either service. If you still need urgent alerts, configure exceptions through the notification and Do not disturb settings before starting a long session.
3. Recover copied items with Clipboard history
Normal copy and paste remembers only the most recent item. Clipboard history gives you a short list of earlier text, images, and other copied content so you do not have to return to the source each time.
Turn it on and use it
- Press Windows+V.
- If Windows asks you to enable clipboard history, select the option to turn it on.
- Press Windows+V again whenever you need an earlier item, then select it to paste.
- Use the pin control on items you want to keep available.
Microsoft documents a limit of up to 25 clipboard entries. When space is needed, older unpinned entries are removed; pinned items are retained. Cloud synchronization is optional and depends on your account and settings, so it should not be assumed to be active.
Clipboard history can contain passwords, account numbers, private messages, or work documents. Do not copy sensitive material casually, and review or clear entries when using a shared computer. Syncing also deserves extra care because it can move copied data between devices associated with the configured account.

4. Bring selected phone functions to your PC with Phone Link
Phone Link can connect a Windows 11 PC with a compatible phone so selected notifications, messages, photos, calls, or other functions appear on the computer. What you can do is determined by the phone platform, model, software version, permissions, and the way the connection is configured.
Set it up safely
- Open the Phone Link app on the PC.
- Follow its pairing instructions and install or open the companion experience requested on the phone.
- Sign in when prompted and complete the device-pairing steps.
- Read each permission request before allowing access to notifications, contacts, messages, photos, calls, or other data.
Microsoft lists separate requirements for Android phones and iPhones, and the feature sets are not identical. A permission that is necessary for one capability may expose more information than you need for another, so enable only the access you understand. If a function is missing, check the current platform-specific requirements rather than assuming the PC or phone is faulty.
5. Send files and links with Nearby sharing
Nearby sharing transfers files, photos, and links to nearby Windows PCs without first uploading them to a cloud service. The connection can use Bluetooth or Wi-Fi, depending on the devices and network conditions.
Check both devices before sending
- Open the sharing or Nearby sharing settings on both Windows PCs.
- Turn on Nearby sharing and choose who can discover the PC.
- For Wi-Fi sharing in the relevant Windows setup, place both PCs on the same private Wi-Fi network.
- If that Wi-Fi condition is not met, Windows may use Bluetooth instead; keep Bluetooth enabled and the devices nearby.
- Share a file, photo, or link and select the receiving PC when it appears.
Visibility is a separate decision from connectivity. A PC can have Bluetooth or Wi-Fi enabled yet remain undiscoverable if Nearby sharing is turned off or limited to another audience. Return the visibility setting to a more restrictive option after transferring files on a shared or public computer.
6. Control Windows by speaking with Voice access
Voice access is an accessibility feature for controlling apps and on-screen controls with spoken commands, as well as dictating text. Microsoft says it works on-device after setup, which makes it useful when a keyboard or mouse is inconvenient and when you need hands-free access.

- Instantly productive. Simpler, more intuitive UI and effortless navigation. New features like snap layouts help you manage multiple tasks with ease.
- Smarter collaboration. Have effective online meetings. Share content and mute/unmute right from the taskbar (1) Stay focused with intelligent noise cancelling and background blur.(2)
- Reassuringly consistent. Have confidence that your applications will work. Familiar deployment and update tools. Accelerate adoption with expanded deployment policies.
- Powerful security. Safeguard data and access anywhere with hardware-based isolation, encryption, and malware protection built in.
What setup involves
- Open Windows accessibility settings and find Voice access.
- Choose the microphone you want Windows to use and complete the initial setup.
- Allow Windows to download the language resources requested during setup.
- Use the displayed commands to navigate controls and dictate into text fields.
Voice access is supported on Windows 11 version 22H2 and later. Recognition quality depends on the microphone, language, accent, background noise, and the command you use, so treat it as an alternative input method rather than a guarantee that every phrase will be understood perfectly. If commands stop working, check that the correct microphone is selected and that the voice-access panel is active.
7. Read audio with Live captions
Live captions transcribe audio played through a Windows 11 PC. They can help with videos, meetings, podcasts, and other spoken content when listening is difficult or when you need to follow audio quietly. You can also opt to include microphone audio.
Enable captions and understand the limits
- Open the Live captions control from Windows accessibility settings or the accessibility area of Quick Settings.
- Complete any first-run language download Windows requests.
- Play audio and adjust the caption window or its position as needed.
- If you want speech from your microphone included, enable that option separately.
Microsoft states that audio processing and caption generation occur on the device and that captions are not stored. The base feature is available on Windows 11 version 22H2 and later. Translation is a separate capability: Microsoft’s current guidance says it requires a Copilot+ PC running Windows 11 version 24H2 or later. Standard Live captions should not be presented as universal real-time translation.

Storage Sense performs routine cleanup on the system drive, including temporary files and eligible Recycle Bin contents. It is useful when free space gradually disappears and you want Windows to handle predictable maintenance without deleting personal folders indiscriminately.
Review the cleanup rules
- Open Settings > System > Storage.
- Turn on Storage Sense, then open its configuration page.
- Review when Windows should run and which temporary files or Recycle Bin items it may remove.
- Check any options affecting Downloads or cloud-provider files before enabling them.
By default, Microsoft says Storage Sense does not affect the Downloads folder or files supplied by cloud providers unless you configure those choices. It is focused on the system drive, so it will not automatically maintain every secondary drive in the PC. Read each retention setting carefully if you keep installers, offline project files, or recently deleted material for longer than the defaults.

9. Centralize supported RGB controls with Dynamic Lighting
Dynamic Lighting puts controls for compatible illuminated keyboards, mice, and other peripherals in Windows instead of requiring a separate control panel for every device. Supported controls can include brightness, colors, and lighting effects. The feature is based on the open HID LampArray standard.
Find the controls
- Connect a compatible illuminated peripheral.
- Open Settings > Personalization > Dynamic Lighting.
- Select the device and review its brightness, color, and effect controls.
- Arrange device priority or other available options if more than one lighting application is installed.
Dynamic Lighting is for hardware you already own; it is not a reason to buy RGB equipment. Device support varies, and a peripheral may work normally while exposing only some lighting controls. If a device is absent from the page, check its firmware, connection, and Windows compatibility before assuming the feature is broken.
10. Separate projects with Task View and Virtual Desktops
Task View and Virtual Desktops let you keep groups of windows organized into different workspaces. For example, one desktop can hold communication and calendar windows while another contains research, editing, or development tools. This reduces the need to minimize and restore a crowded collection of unrelated windows.
Build a workspace system
- Open Task View from its taskbar control or with Windows+Tab.
- Create another desktop from the Task View interface.
- Switch between desktops from Task View and place related apps on the workspace where you use them.
- Close a desktop when the project is finished; Windows can move its open windows to another desktop.
The exact controls for naming, ordering, backgrounds, and moving windows can change between Windows releases. If an option shown in an online guide is missing, use the controls currently displayed in Task View rather than installing a third-party desktop manager. Virtual Desktops organize windows; they do not create separate Windows installations or isolate files from one another.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors11. Make the taskbar fit the way you work
Taskbar personalization is less flashy than an AI feature, but it can remove daily friction. Windows lets you decide which taskbar-related controls and system-tray items are visible, how much space they occupy, and which shortcuts stay close at hand. The available choices depend on the Windows 11 release and device configuration.
Customize the essentials
- Open Windows Settings and go to Personalization > Taskbar.
- Review the sections for taskbar items, system-tray icons, and other taskbar behaviors.
- Keep controls you use frequently visible and hide items that create visual noise.
- Pin regularly used applications from the Start menu or by right-clicking an open app, and unpin items you no longer need.
Use this page alongside Snap and Focus settings: a less crowded taskbar makes window switching easier, while hiding unnecessary badges reduces distractions. Because Microsoft changes taskbar behavior across releases, read the description beside each toggle and revisit the page after a major feature update.
How to choose a useful starting set
If you want immediate productivity gains, start with Snap layouts, Clipboard history, and Focus. Add Storage Sense if low disk space is a recurring problem. Choose Voice access or Live captions when accessibility or audio comprehension is the priority, and use Phone Link or Nearby sharing when your work regularly crosses between a phone and nearby PCs. Dynamic Lighting and taskbar personalization are optional refinements for compatible hardware and a preferred desktop layout.
