These 10 tips use built-in Finder features; exact menu options can vary by macOS version, file type, and enabled extensions.
1. Choose the Finder view that fits the task
Finder offers four main views. Switch layouts when you move from visually scanning files to checking details or following a folder hierarchy.

- Icon view: Scan file thumbnails and icons visually.
- List view: Compare details such as size, kind, and modification date.
- Column view: Keep the folder hierarchy visible as you navigate.
- Gallery view: See a large preview alongside a filmstrip of items.
Apple describes these view options in its guide to changing how folders are displayed.
2. Show the Preview pane for a quick file check
Choose View > Show Preview to display information and a preview of the selected item in the Finder window. It is useful when you want to check a file while browsing rather than open it in its usual app. The pane’s contents depend on the selected item.

5. Tag files that belong to multiple projects
A tag lets you group a file by category while leaving it in its original folder. Select the file and use Control-1 through Control-7 to apply a favorite tag. Control-0 removes all tags from the selected item. You can also find tagged items through the Finder sidebar or search suggestions. Apple’s tagging guide covers the feature.

6. Save a recurring search as a Smart Folder
Choose File > New Smart Folder, set criteria, then save the folder. Smart Folders show items that match their rules; they do not move those items from their existing locations. For example, you could create one for files with a particular tag, spreadsheets, or PDFs edited recently. Apple explains the setup in its Smart Folder guide.
7. Search by metadata when a filename is not enough
Finder searches can use attributes as well as ordinary words. Examples include kind:pdf and author:tom, or a condition based on when an item was modified. Supported attributes and query behavior can vary by macOS version, so check the suggestions Finder presents as you build a search. You can save a useful search as a Smart Folder. 8. Go directly to a folder when you know its path

9. Toggle the path bar, sidebar, and status bar with shortcuts
These keyboard shortcuts show or hide Finder navigation aids:
- Option-Command-P: Show or hide the path bar.
- Option-Command-S: Show or hide the sidebar.
- Command-Slash: Show or hide the status bar.
Apple lists these in its Mac keyboard shortcuts reference.
10. Keep a frequent destination close at hand
Add a frequently used item to the Finder sidebar for quick access without moving the original. If you want a shortcut you can place elsewhere, select the item and choose File > Make Alias. An alias is a reference to the original item, not a replacement for it. Apple’s alias guide explains how to create and use one.
