Overview

VendorJot is a web-based workspace for collecting vendor paperwork and keeping onboarding, risk checks, and contract deadlines moving. It suits operations teams that need a shared process for a defined vendor pool, especially when vendors should be able to submit documents without creating accounts.

Its scope reaches from intake through renewal, but the small Free-plan cap and the absence of claimed formal security certifications may rule it out for larger or certification-bound programs.

Key features

Teams can collect and centrally store COIs, W-9s, licenses, certifications, and other required documents. Vendors upload through a magic link without a password or account, a practical advantage when suppliers only need to submit paperwork occasionally. Approval workflows, automatic status updates, and expiration reminders help teams move intake and follow-up along.

Risk scoring uses vendor data access and criticality, with custom risk categories for an organization’s own classifications. Contract tracking covers renewal dates, notice periods, and cancellation deadlines, helping teams identify dates that need attention. CSV exports support reporting and audit requests. VendorJot also tracks performance, but the described product pages identify no named third-party integrations.

Internal team workflows use authenticated accounts and workspace-scoped access checks. VendorJot says it does not claim formal certifications such as SOC 2 or ISO 27001 unless they appear in signed documentation. Its privacy policy says it does not sell personal information and describes TLS/SSL encryption in transit. That may not satisfy organizations that require a formal certification as a procurement condition.

Pricing

The Free plan costs 0.00 USD per free and includes support, 5 vendors, 2 users, 1 workspace, and 1 project. It offers a way to start with a tightly bounded vendor list, but its five-vendor ceiling leaves little room for growth.

Starter costs 29.00 USD per month, billed Monthly, for 20 vendors, 2 users, 1 workspace, and 3 projects, with Activities & Analytics and Priority Support. It is the entry paid tier for a small team that needs more vendors and project capacity; it does not add user or workspace capacity over Free.

Professional costs 49.00 USD per month, billed Monthly, and raises the limits to 50 vendors, 3 users, 3 workspaces, and 3 projects, with Activities & Analytics and Priority Support. Growth costs 99.00 USD per month, billed Monthly, for 200 vendors, 10 users, 10 workspaces, and 10 projects, with the same listed activity, analytics, and support features. Business costs 199.00 USD per month, billed Monthly, for 500 vendors, 15 users, 15 workspaces, and 15 projects; Scale costs 399.00 USD per month, billed Monthly, for 1,500 vendors, 20 users, 20 workspaces, and 20 projects. Both include Activities & Analytics and Priority Support.

The practical distinction among paid plans is capacity: teams should match their expected vendor, user, workspace, and project counts to the tier rather than assume a change in core workflow. All paid tiers are presented with monthly billing. The Free plan includes support, while paid plans include priority support.

Platforms

VendorJot is available on the web and is deployed in the cloud.

Who it's for

VendorJot describes itself as built for operations teams, with use cases in construction, facilities, property management, events, and SaaS/technology. The magic-link portal is particularly useful for teams coordinating paperwork with suppliers who should not need ongoing accounts. Teams with larger vendor populations can move to paid tiers, while organizations needing certified security assurances should look elsewhere unless VendorJot can meet their requirements in signed documentation.

Pros and cons

Pros: Magic-link uploads let vendors submit documents without account creation, reducing onboarding friction.
Pros: Document collection, risk categorization, expiration reminders, and contract-date tracking cover several recurring vendor-management tasks in one workflow.
Pros: CSV exports provide a route to reporting and audit requests, and paid plans include priority support.
Cons: Free is capped at 5 vendors, 2 users, 1 workspace, and 1 project, limiting its usefulness beyond a small operation.
Cons: No formal SOC 2 or ISO 27001 certification is claimed unless stated in signed documentation, which may be a blocker for security-led procurement.
Cons: The product pages identify no named third-party integrations, so teams seeking a specified connected workflow should verify fit before adopting it.

Alternatives

For a property-management-specific shortlist, see Property Management Vendor Management Software; for a broader IT-focused shortlist, see IT Vendor Management Software.

Choose LICENSEWARE instead if its free tier’s 10 rows per table or its consumption-based, one-off PAYG plan better matches the work. Ramp AP is an alternative for smaller teams seeking to simplify finances with accounts payable and automated invoice features. Vendr may suit buyers seeking a free Chrome extension with pricing insights for more than 20,000 software products.

For enterprise contract lifecycle management, consider Ivalua Contract Management, which offers an enterprise CLM product with custom pricing. ManageEngine ServiceDesk Plus is a different option for IT help desk needs, with Standard at 13.00 USD per month and Professional at 27.00 USD per month, both billed monthly; Professional adds asset management.

Zluri, Aravo Third-Party Risk Management, and DemandFlow ITSM are other alternatives to consider.

Verdict

VendorJot is a sensible fit for operations teams that want document intake, risk tracking, and renewal follow-up in one web workflow, with a vendor portal that does not burden suppliers with accounts. Its decisive drawbacks are the Free plan’s tight capacity and the lack of claimed formal certifications. Choose it when those limits match your scale and requirements; look elsewhere when certification is mandatory or a named integration is essential.
