Overview

Socianote brings intake, case workflows, team oversight and reporting into one service. Intake forms, workflow automation, audit trails and reporting dashboards cover the path from a new request through ongoing review. Real-time caseload visibility and automatic overdue-review alerts help teams spot work that needs attention; administrators can approve requests, reassign cases and export organisational data.

CSV imports cover people, volunteers, programmes, enrolments and case shells, which can help organisations move existing records into the system. CSV export is available on every plan, alongside PDF and per-person exports. Socianote positions the product as an all-in-one system with no integrations to maintain. That suits teams seeking a contained workflow, but is a drawback if connecting other software is central to operations.

Key features

Case administration: Intake forms, automation and audit trails support repeatable handling of cases, while dashboards and overdue alerts help managers track follow-up. The combination is useful for teams coordinating multiple cases, rather than organisations seeking only a basic record store.
Organisation-wide oversight: Live caseload visibility and the ability to reassign cases give admins a way to redistribute work as needs change.
Imports and exports: Bulk CSV import covers several core record types. CSV export across all plans lowers the barrier to retrieving organisational data; PDF and per-person exports offer other ways to take records out.
Security and compliance: Data is encrypted in transit and at rest, and staff can use TOTP multi-factor authentication after enrollment. Socianote aligns with GDPR and PDPA principles, but it is not SOC 2 or ISO 27001 certified, which may make it unsuitable where either certification is a requirement.
Document handling: Each uploaded file is capped at 5 MB. That is a practical constraint for teams whose casework includes larger scans or other substantial documents.

Pricing

Plans are priced by organisation size rather than user count, so the monthly fee does not rise with each additional user within a tier. Annual billing provides two months free, approximately 17% off. Paid plans start at $99/mo.

Plan	Price	Limits and terms
Free	0.00 USD per free	No time limit and no credit card required; up to 3 staff, 50 people, 1 programme and 200 documents.
Starter	99.00 USD per month	Up to 5 staff, 500 people, 5 programmes and 2,000 documents.
Team	249.00 USD per month	Up to 20 staff, 5,000 people, unlimited programmes and 10,000 documents.
Scale	599.00 USD per month	Up to 100 staff, unlimited people and 50,000 documents.
Enterprise	Custom pricing	Annual pricing; custom contract, dedicated onboarding, and unlimited staff, volunteers and documents.
Custom	Custom pricing	Quoted per organisation.

The free tier is a credible starting point for a small service team, but its caps of 50 people and one programme leave little room for growth. Starter raises those ceilings to 500 people and five programmes, while remaining limited to five staff. Team is a more substantial step up for organisations managing several programmes or larger caseloads. Scale removes the people ceiling and raises the staff allowance to 100, but still caps documents at 50,000. Enterprise is the option for organisations needing unlimited staff, volunteers and documents, with dedicated onboarding; its price is custom. Free is available indefinitely, and the page gives no refund policy.

Support ranges from email to priority and named account support depending on plan. The 5 MB upload limit applies regardless of how many documents a plan includes, so a higher quota does not resolve the per-file constraint.

Platforms

Socianote runs in the cloud and offers web access. Enterprise plans include participant and volunteer apps for iOS and Android. Mobile access is useful for teams working away from desks, though the stated availability of those apps is tied to Enterprise.

Who it's for

Socianote is a good fit for service organisations managing participant or volunteer records across programmes, especially those that need shared caseload oversight, case reassignment and routine reporting. The indefinite free plan lets a small team start without a card, and organisation-sized pricing avoids per-user charges. Larger organisations can move to higher people and document allowances or seek an enterprise contract.

It is a weaker fit for teams that require SOC 2 or ISO 27001 certification, rely on integrations, or routinely upload files larger than 5 MB. Teams needing mobile apps outside Enterprise should also weigh that plan boundary before choosing.

Pros and cons

Pros: The free tier has no time limit or card requirement, making it usable for a small team rather than just a short trial.
Pros: Organisation-sized pricing avoids per-user fees, while CSV export is included on every plan.
Pros: Intake, automation, audit trails, dashboards and overdue alerts address several stages of case administration in one cloud service.
Cons: Free is capped at 3 staff, 50 people, one programme and 200 documents, so expanding teams will need a paid tier.
Cons: The 5 MB per-document limit can block larger case files even on plans with high document quotas.
Cons: Socianote is not SOC 2 or ISO 27001 certified, and its all-in-one approach may not suit teams dependent on integrations.

Alternatives

For a wider set of case-management options, browse Case Management Software. Choose Marble Case Manager instead if an open-source, self-hosted free plan with a real-time decision engine and community support better matches your priorities; its platform is web-only. UiPath Maestro Case Management is a freemium option with a free trial and self-hosted platform. Pega Investigative Case Management and IntegrityLog are paid alternatives with web, iOS and Android platforms.

ServiceNow HR Service Delivery is another paid option, with HR knowledge search, virtual-agent conversations and App Engine tables in its HR Foundation plan. Collaborate offers paid custom pricing based on organisation size, user count and modules, without per-seat licensing fees. Primero has a free, open-source self-managed tier and a full-service SaaS tier. Unit21 is a paid web and API option with custom pricing available by demo request.

Verdict

Choose Socianote if your organisation needs case intake, shared caseload oversight and reporting in one cloud platform, with organisation-sized pricing and a genuinely ongoing free entry tier. Its main trade-offs are the 5 MB file cap, limited integrations and lack of SOC 2 or ISO 27001 certification. If those constraints conflict with your document, compliance or software-connection needs, look elsewhere.
