Overview

Pool Service Software (PSS) brings route planning, service work, water chemistry, and billing into a platform for pool-service businesses. It suits operators who want field and office workflows connected, especially teams tracking chemistry at service stops. Its broad feature set is compelling, but property-based pricing and Stripe fees should factor into the cost decision.

Key features

Routes and jobs

PSS can optimize routes and estimate work hours, mileage, gas costs, and dosage costs by stop and day. Those estimates give operators more to plan around than visit order alone. Teams can track quotes and approvals, schedule jobs between route stops, and manage single- or multi-day work. Photos and videos attached to job invoices can document completed work for clients.

Chemistry and equipment

At service stops, PSS records readings and dosages and calculates LSI automatically, with optional borate consideration. That makes it a stronger fit for businesses that want chemistry records tied to visits rather than kept separately. LaMotte SpinTouch and ColorQ 2x readings can transfer over Bluetooth for LSI calculation. PSS also integrates with Orenda Technologies and keeps equipment records alongside service operations.

Billing and integrations

Billing supports web invoices, online payments, client AutoPay, monthly automatic invoices, per-visit invoicing, and bulk invoice actions. QuickBooks Online integration can import clients and link PSS invoices to QBO invoices, allowing payment in either system. Stripe handles transaction payments, but its stated fee is 2.9% plus 30 cents of the invoice amount paid; businesses should account for that variable cost alongside subscription fees.

Pricing

PSS uses a freemium model, with plan ranges based on one property per client. A property means any body of water being tracked, so clients with multiple bodies of water can count as more than one property. All plans include all features, making the key distinction the number of properties and the billing basis.

Plan	Price	Property range	Best fit
Free Plan	Free	Up to 10 properties	Small operators checking whether the full feature set suits their workflow.
Dive In	49.99 USD per month	11 to 50 properties	Growing businesses beyond the free cap.
Ripple Effect	99.00 USD per month	51 to 100 properties	Businesses with larger tracked portfolios.
Wave Maker	0.95 USD per month, billed per property per month	101+ properties	Larger operators whose property count makes per-property billing relevant.

The free tier is unusually capable on paper because it includes all features, but its 10-property ceiling limits its usefulness as a permanent plan for a growing route book. Paid subscriptions have no contracts or commitments and can be cancelled anytime; annual plans receive a 15% discount. The listed starting paid price is 49.99 USD per month. Stripe transaction charges remain separate from subscription pricing.

Platforms

PSS is available on web, Android, and iOS. Its smartphone and tablet support suits technicians using mobile devices in the field while office staff manage routes and billing.

Who it's for

PSS is a good match for pool-service businesses that need route scheduling, job tracking, chemistry records, and invoicing in one system, particularly those using supported LaMotte meters or QuickBooks Online. Its free plan gives smaller operators a way to use the full feature set within 10 properties. Businesses with higher payment volume should weigh Stripe fees, while operators wanting a free plan beyond that property cap should compare alternatives.

Pros and cons

Pros: All features are included across plans, so the free plan is not reduced to a basic feature tier.
Pros: Route estimates include hours, mileage, gas, and dosage costs, useful for planning both service time and operating inputs.
Pros: Chemistry readings, dosages, automatic LSI calculations, and supported Bluetooth meter transfers connect water records to service stops.
Pros: Flexible invoicing options and QBO invoice linking support different billing routines.
Cons: The free plan stops at 10 properties, so growing businesses must move to a paid tier.
Cons: Stripe adds a 2.9% plus 30 cents transaction fee on the invoice amount paid.
Cons: Property-based tiers require attention when a client has multiple bodies of water to track.

Alternatives

Pool IQ is worth considering for a free-plan user who needs coverage for up to 25 clients and one technician, but its free plan limits service history to 90 days and standard AI to 3 per month. PoolBoss offers a free tier for up to 20 pools and one admin, and a Startup plan at 29.00 USD per month for up to 100 pools and unlimited users, making it an option for teams comparing pool-based caps and user allowances.

Pool Brain is a paid alternative. OneBookPlus is another freemium option with web and iOS platforms. Paythepoolman is a paid option with a free trial and add-ons including integrated payroll at 12.00 USD per month per employee, plus a one-time sign-up fee. Pool Office Manager is a paid option with a free trial; additional users cost 25.00 USD per month, and its QuickBooks Online integration costs 25.00 USD per month. Pool Prime Pro is a paid option with a free trial. POOL360 PoolService is a paid, web-based alternative. Browse the Pool Service Software category for more choices.

Verdict

PSS is a strong choice for pool businesses that want routes, chemistry, jobs, and billing connected, with a full-featured free tier for up to 10 properties. Look elsewhere if your property count exceeds that cap and the paid tiers or Stripe transaction fees do not suit your operating costs.
