Overview

Work is organized in customizable Kanban-style Pipes: stages track progress and cards represent work items. Conditional logic, SLA management, reports, secure databases, automated emails, and integrations give teams tools to manage structured processes rather than just task lists. That flexibility can support complex handoffs, but may be more platform than a team needs for simple task tracking.

Pipefy AI Agents can carry out tasks, make decisions, and interact with systems autonomously or under supervision. The platform advertises more than 600 ready-to-use connectors and no-code, drag-and-drop integration flows, a useful range for teams connecting processes across applications. Pipefy says data is encrypted in transit and at rest with 256-bit encryption and uptime is 99.9% or higher. Its Trust Center lists a 2025 SOC 2 report and ISO 27001, ISO 27018, ISO 27701, and ISO 42001 certificates; access requests are required.

Key features

Configurable workflows: Pipes, stages, cards, and conditional logic can map processes to a team’s operating model. Starter’s five processes and five workflows are workable for a narrow use case, but constrain teams managing several distinct operations.
Automation and AI: Each plan includes 1,000 single-use AI credits, with additional credits available as add-ons. Business allows 300 automation jobs per month and Enterprise 2,000, so teams should match the tier to recurring workload rather than assume unlimited automation.
Integrations and API: The advertised connector library and visual integration flows support no-code connections. API access is a Business feature with plan-specific monthly call limits, making it a consideration for teams that need custom integrations.
Mobile access: Smartphone and tablet apps, with help content for Android and iOS, let users access Pipefy beyond the web platform.

Pricing

Pipefy has a freemium model and a free plan, but the plans below have custom pricing. Each plan includes 1,000 single-use AI credits; extra credits can be purchased as add-ons.

Plan	Included limits and features	Best fit
Starter	5 processes, 10 users, 50 cards created per month, 2 GB storage, 500 database records, and 5 workflows.	A small team piloting a limited number of processes. The user, card, storage, and workflow caps make it a poor fit for broader deployment.
Business	Unlimited processes, users, and workflows; 100 guest users; 20 GB storage; 300 automation jobs per month; Standard Support; API access with plan-specific monthly call limits.	Teams needing broad process coverage, API access, and standard support. The monthly automation allowance still needs to match workload.
Enterprise	Unlimited processes, users, workflows, and guest users; 100 interfaces; 2,000 automation jobs per month; support from Pipefy’s team.	Organizations with higher automation needs, many guest users, or a requirement for team support. The 100-interface cap remains relevant.

Free plans have community support. The published plan details do not give the free plan’s usage caps, so prospective users should confirm that its allowances suit their process volume before relying on it. Starter limits guest and internal participation as well as monthly card creation; moving up removes many of those constraints, but adds a larger automation allowance rather than unlimited jobs.

Platforms

Pipefy supports web, Android, iOS, and API. Mobile apps extend access to phones and tablets, while API access is a Business feature with monthly call limits that vary by plan.

Who it's for

Pipefy is a strong candidate for teams standardizing recurring processes that cross roles or systems, especially when conditional logic, SLA management, integrations, and AI-assisted work are part of the same operation. It is less compelling for a team that only needs an uncomplicated task board or cannot estimate its automation and API usage well enough to select a suitable tier.

Pros and cons

Pro: A wide process toolkit combines workflow structure, reporting, SLA management, databases, email automation, and integrations, reducing the need to treat each process as a separate tool.
Pro: More than 600 advertised connectors and no-code integration flows give teams a path to connect systems without building every connection from scratch.
Pro: AI agents can act autonomously or under supervision, giving teams a choice about how much decision-making to delegate.
Con: Custom pricing across the named tiers makes budget comparisons harder before contacting Pipefy.
Con: Starter’s 50 monthly cards, five processes, five workflows, and 10 users can quickly become restrictive for an expanding team.
Con: Automation jobs and API calls are metered by plan, while AI credits are single-use; teams with variable or high volume need to account for add-ons and caps.

Alternatives

ClickUp is worth considering for teams seeking a freemium task platform with unlimited tasks and unlimited free-plan members; its Free Forever plan includes 60MB storage and one form. Budibase may suit teams looking for a platform with self-hosted availability and a Pro plan that includes unlimited agents and synchronous automations for 19.00 USD per month. Airstride is a partner-management alternative, with a free tier covering up to three partners and basic partner and deal management. Dock offers a free tier with 10 workspaces and limited AI usage for teams evaluating deal-desk materials such as playbooks, courses, and order forms. DUEX is another alternative. Pricekeel offers a free design-partner diagnostic based on one retrospective cycle using closed-deal data. Sanka Flow has a free plan and a Contact Sales tier. Veto is an alternative whose SDK and policy engine are Apache-2.0 and can run locally.

Verdict

Choose Pipefy if your organization needs to orchestrate repeatable processes across teams and systems, and values configurable workflows alongside automation and AI agents. Its connectors, process controls, and range of tiers are compelling; custom pricing and usage caps are the main reasons to compare alternatives before committing.
