Overview

Check-in supports children, events, prayer, and fasting, so the same system can record both Sunday arrivals and participation in specific ministry activities. Attendance tracking and reports extend that data into follow-up and participation reviews. Badge printing and family linking make the process more practical for households, especially where staff need to connect children with family records.

SteepleMate also provides role-based access and granular permissions for group visibility and communication. Every plan includes full data security, while Pro adds secure cloud access and enterprise-grade security for unlimited users. Churches receive a dedicated account manager and unlimited phone, email, or screen-share support at no extra cost, a meaningful advantage when several teams share one system.

Key features

Check-in and attendance

Child and event check-in cover common arrival points; prayer and fasting check-ins broaden the use beyond attendance at services. Reports help leaders review participation, but advanced attendance is restricted to Pro. The Free tier therefore suits basic people records and early experimentation, not churches needing the full attendance workflow.

Communication and ministry operations

Pro adds mass texting, email, scheduled announcements, and in-app messaging. That gives churches coordinated outreach from the same people database instead of relying on separate tools. The broader suite includes preaching and academics, although the strongest operational expansion comes from combining communications with finance and people management.

Finance and integrations

Finance tools cover online, text, and QR giving, donation tracking, reports, campaigns, pledges, and disbursements. QuickBooks Online can receive online and in-person gifts automatically in real time, with fund-to-account mapping and multi-account management. Payment processing is charged at 2.99% plus $0.30 per card transaction, or $0.50 per ACH transfer, so churches should include transaction volume in their budget.

Pricing

SteepleMate Free — free. It includes a church directory, prayer network, web kiosk, and optional online giving. Basic people management and communication make it appropriate for small churches getting started or ministries testing a new system. Advanced attendance, group management, and finance are Pro-only, which is the key limitation for growing operations.

SteepleMate Pro — $69.99 per month. Pro includes everything in Free plus People, Finance, Reach, Preach, Academics, mobile apps, and unlimited users. It is the sensible tier for churches that need advanced attendance, financial administration, coordinated messaging, or broad staff access.

Billboard License, Marquee License, and Kiosk License — $12.99 per month each, billed per device. Billboard provides scheduled service announcements, event promotions, and messages; Marquee provides a prayer feed and church announcements; Kiosk provides a portable walk-up kiosk. These are targeted add-ons rather than substitutes for Pro.

System Art Customization — $99.99 one time. It brands the web portal, church website, and online kiosks with church artwork and logo. Secured Custom Domain — $199.99 per year. It includes RSA 2048-bit SSL certificates. These optional costs matter to churches prioritizing branded, custom-domain experiences.

Platforms

SteepleMate runs on Android, iOS, and the web. Pro's mobile apps support churches that need staff access away from a desktop, while the web kiosk and optional device licenses address on-site interactions.

Who it's for

SteepleMate is a strong fit for churches consolidating check-in, attendance, communications, giving, and administration in one platform. The Free plan is well matched to small or growing churches starting with directories and basic communication. Churches needing advanced attendance, finance, group management, or unlimited-user access should budget for Pro. A congregation wanting only a low-cost, standalone check-in tool should look elsewhere.

Pros and cons

Pro: Check-in spans children, events, prayer, and fasting, with badge printing and family linking for practical arrival management.
Pro: Finance includes multiple giving channels, reporting, campaigns, pledges, and QuickBooks Online synchronization.
Pro: Dedicated account management and unlimited support by phone, email, or screen share reduce the burden of rollout.
Con: Advanced attendance, group management, and finance are unavailable on Free, making the $69.99 monthly upgrade important for established churches.
Con: Per-device licenses and separate branding and domain charges can increase the total cost beyond the core subscription.
Con: The platform's breadth may be excessive for churches seeking only a simple check-in station.

Alternatives

Church Check-In Software is the broader directory to consult when you want to compare dedicated check-in products.

Church Central Cloud is worth choosing when a lower-cost entry plan with up to 10 members, one branch, 500 one-time emails, and 2 GB storage is enough.

Churchease suits churches wanting a free starter tier centered on people, family, group, announcement, and dashboard tools.

Connection Card Pro Check-Ins is a better fit when 250 contacts, three admin users, 1 GB storage, and 1,000 monthly emails cover check-in needs at no cost.

Gracely is an alternative for unlimited members with up to two admins and a small monthly email allowance on its free plan.

Planning Center fits churches that prefer modular free products such as unlimited People database and reporting, with separate tools for calendars and services.

Subsplash Church App is the alternative when a paid church-app ecosystem and giving are the priority.

TimelyChurch is suited to smaller organizations that can stay within 100 people and 500 MB on its free tier.

ACTS is the choice for churches seeking free, open-source software for attendance, membership, and accounting on Linux or Windows web deployments.

Verdict

Choose SteepleMate when check-in must connect with attendance, communication, giving, and wider church administration, and when dedicated support matters. Its Free plan is a credible starting point, but churches needing advanced attendance or finance should expect the $69.99 monthly Pro commitment. Look elsewhere if your priority is a narrowly focused check-in tool or the lowest possible ongoing cost.
