Overview

Proposal Expert is web-based software for creating proposals, with AI assistance, client engagement tracking and e-signatures in the same workflow. It is most compelling for freelancers and sales teams that want those tools together; the right plan depends on how many proposals they send and whether they need team or CRM features. Its free plan is tightly capped, while paid plans add capacity and integrations at clearly different price points.

Key features

Fred, the AI assistant, can suggest stronger wording, flag weak points and support multilingual proposals. AI drafting, pricing tables and a reusable content library round out the proposal tools. Monthly AI credits are pooled across a workspace and can roll over for one month, capped at one times the monthly allocation. That rollover offers some flexibility, but the allowance still matters for teams that depend on frequent AI assistance.

Engagement tracking reports when a client opens a proposal, which sections they read and how long they spend reading. These signals can help a seller judge client attention; they do not replace a direct conversation. E-signatures use email verification and create an audit trail, pairing a verification step with a record of signing.

CRM access depends on the plan: Professional includes HubSpot and Pipedrive, while Salesforce is reserved for Business. Proposal Expert says data is encrypted in transit with TLS 1.2+ and at rest with AES-256, customer data is stored on EU servers, and customer data is neither sold nor used to train foundation models. Support is available in Dutch and English, with weekday replies within one business day; there is no phone line during the beta.

Pricing

The Free plan costs 0.00 EUR per free and includes 3 proposals/month, 25 AI credits, 5 templates, 3 e-signatures/month, basic analytics and 250 MB storage. It is a practical way to try the workflow, but the proposal and signature limits are restrictive for regular client work.

Starter costs 24.00 EUR per month and includes 15 proposals/month, 100 AI credits, 15 templates plus the editor, unlimited e-signatures, a custom logo, email support (24h) and 1 GB storage. It suits a solo user with moderate volume who needs uncapped signing, but retains a proposal ceiling and does not include the CRM connections offered higher up.

Professional costs 59.00 EUR per month, billed per active user. It adds unlimited proposals, 250 AI credits/user, unlimited templates and e-signatures, 2 brand kits, HubSpot and Pipedrive integrations, team collaboration and 10 GB storage. This is the strongest fit for teams that need collaboration or either of those CRM connections, though per-active-user billing can raise the cost as the team grows.

Business costs 109.00 EUR per month, billed per active user, and includes 500 AI credits/user, unlimited users, white-labeling, Salesforce integration, API access and data export, SSO/SAML and 50 GB storage. It is aimed at organizations that need Salesforce or the added administration and data capabilities; those needs must justify the higher per-user price. Enterprise has custom pricing and includes unlimited AI credits and unlimited storage.

AI credits are pooled per workspace and roll over for one month, up to one times the monthly allocation. Proposal Expert also offers a 14-day trial. The stated prices do not establish a billing cadence for the paid plans beyond their monthly amounts, so compare the checkout terms before committing.

Platforms

Proposal Expert runs on the web, making it a browser-based option rather than a multi-platform app offering.

Who it's for

Freelancers and self-employed professionals can start on Free or move to Starter when three monthly proposals or signatures are not enough. Professional is the more natural fit for teams that need shared work and HubSpot or Pipedrive. Business is for organizations that specifically need Salesforce, SSO/SAML, API access or white-labeling. It is less suitable for frequent proposal work on a strict budget if Free's caps are too low and the paid plan's per-user costs are not warranted.

Pros and cons

Pros: Proposal drafting, engagement signals and email-verified signatures with an audit trail fit into one workflow.
Pros: Professional and Business offer distinct CRM choices, with team collaboration at Professional and Salesforce at Business.
Pros: The company says it uses encryption in transit and at rest, EU hosting, and does not sell customer data or train foundation models on proposal content.
Cons: Free allows only 3 proposals and 3 e-signatures per month, limiting its usefulness for ongoing client work.
Cons: AI credits remain capped by plan even with limited rollover, which may constrain sustained AI use.
Cons: There is no phone support during the beta, and Professional and Business are billed per active user.

Alternatives

Proposal Software and AI Proposal Generators are category lists for comparing options. Choose PandaDoc if you want a freemium proposal option that also has Android, iOS and API platforms; its free plan is described with a yearly 60-document allowance. Anchor may suit users prioritizing a no-subscription-fee platform with unlimited users, companies or clients, proposals and agreements. Proposal.biz is another freemium web option with a free plan. PowerPropose is worth comparing if its free plan's 1 seat, 10 active clients and 10 proposals, or its 25.00 GBP per month Standard plan, better match your needs. Trumpet offers a free web plan with 10 Pods per account and unlimited users, with Pro at 45.00 USD per month for up to 5 users. ProposalGrid may fit users seeking a free plan with 5 active documents, 2 AI proposal drafts each month and 3 saved blocks, or a Pro plan at 19.00 EUR per month. Cord is a web and API alternative whose free plan includes 5 active quotes, 5 sent quotes/month, 50 products, 50 clients and 3 AI generations/month. QuoteCloud has a free plan for 5 quotes per month and 1 user; its Essentials plan is 39.00 USD per month per user and includes unlimited documents and e-signatures, a product catalogue and document tracking.

Verdict

Choose Proposal Expert if proposal writing, client engagement tracking and verified e-signatures belong in one workflow, and its tier-specific CRM integrations fit your business. The free plan is a useful entry point, but its monthly caps make it a poor long-term fit for frequent proposals; teams should weigh Professional's per-active-user price against its collaboration and CRM features, and look elsewhere if they need phone support during the beta.
