Overview

OpenKM covers a broad document-management workflow: users can upload and edit files, track versions and metadata, preview documents, and move work through review, approval, validation, serial, or parallel processes. Search spans document contents as well as fields such as dates, authors, types, metadata, keywords, and tags. That range makes it a stronger fit for organized collections and controlled processes than for teams seeking only a simple shared folder.

It connects with Microsoft Office add-ins, LDAP, Active Directory, SSO/CAS, CMIS, REST, and web services. Security features include granular permissions and roles, activity records, SSL communications, encryption, and electronic signatures. These controls support managed access, though buyers should assess their own requirements for deployment and administration.

Key features

Document work and discovery

Version history, metadata, previews, bulk upload, and live editing cover common document lifecycle needs. OCR is also included, while search can query content and a range of document attributes. This combination is useful when users need to retrieve particular records rather than browse folders manually.

Workflows and controls

Review, approval, validation, parallel, and serial workflows let teams structure document handling around multiple stages or reviewers. Granular access control, roles, activity records, encryption, SSL, and electronic signatures add oversight and protection. These capabilities are substantial, but they do not remove the need to configure permissions and workflows to suit an organization.

Community Edition caveat

Community Edition is free, but starting with version 7.0 OpenKM distributes a binary package without publishing its source code; versions 6.3 and earlier use GPL-2.0. That distinction matters to organizations choosing software on the basis of source availability, not just price.

Pricing

Community Edition: 0.00 USD per free. It includes the Community distribution, public forum support, and an installer listed for all platforms. It is the clearest fit for teams that can manage the system themselves and accept forum-based support.

Cloud: custom pricing. The hosted service includes installation, configuration, backups, SSL, OCR, and antivirus. OpenKM also cites 24/7 monitoring and minimum 99% network availability for its cloud hosting. It suits teams that want the maker to host the system; the price is obtained through a contact form.

Professional Edition: custom pricing. This is hosted on the customer's server and includes professional support and updates. Support covers 24/7/365 tracker and documentation access, installation and migration assistance, performance tuning, integration support, updates, and remote monitoring. It is aimed at organizations that need support while retaining server hosting; contact sales for pricing.

OpenKM offers a fully functional cloud evaluation, and an on-server trial is available on request. No trial duration is stated, so confirm the terms before planning an evaluation.

Platforms

OpenKM lists Android, iOS, Linux, Windows, web, API, and self-hosted availability. It describes web and mobile clients and says its client is available for iPhone and Android. That mix accommodates mobile access and both hosted and customer-server deployments.

Who it's for

OpenKM is best suited to teams that need document workflows, detailed search, and managed access in one system. Community Edition is a plausible starting point for organizations prepared to administer their own installation and work with public forum support. Cloud is a better match for those seeking a hosted service with backups and monitoring, while Professional Edition targets customers who want support and updates on their own server.

It is less compelling for buyers who require a published price for a supported deployment, or who need Community Edition 7.0 to provide published source code. Those requirements should be settled before committing to the free edition or requesting a quote.

Pros and cons

Pro: Search can cover full document content and multiple fields, which helps users locate records in structured collections.
Pro: Workflow options range from review and approval to parallel and serial processes, supporting more than basic file storage.
Pro: The Cloud and Professional options pair deployment choices with installation, support, updates, or hosting services.
Con: Community Edition 7.0 and later is distributed as a binary without published source code, which may rule it out for source-conscious buyers.
Con: Cloud and Professional Edition use custom pricing, making budget comparison less direct.
Con: Community support is through a public forum rather than the professional support package.

Alternatives

Compare document management software if you want to consider a broader set of options.

Group-Office is worth considering when open-source availability is a priority: it has a free Community plan with unlimited users, as well as a Professional plan at 439.00 EUR per month.

LogicalDOC is another freemium document-management option, with a free Community plan described as open source and including advanced search, web UI, and SOAP and REST APIs.

Transkribus is an alternative to consider for a different document-related need.

FlinkISO may suit buyers looking for a free, self-hosted QMS with unlimited concurrent users and all QMS modules.

Paperwork is a free-software option for Linux and Windows.

Uwazi offers a free web plan capped at 5 users, 1 GB of files, and 1,000 records, so it may suit smaller collections within those limits.

DocuWare is a paid alternative with a free trial and cloud plans described for 4 users with 20 GB storage or 15 users with 50 GB.

Doxis offers custom-fit licensing with unlimited licenses or subscription-based options and cloud, on-premises, or hybrid deployment.

Verdict

Choose OpenKM if your team needs detailed document search, formal workflows, and granular controls, and can match its Community, hosted, or customer-server model to your support needs. Its breadth across document handling and deployment is the main reason to choose it. Look elsewhere if published source code for the current Community Edition or clear upfront pricing for a supported deployment is essential.
