Overview

Rillsoft Project is project-planning and control software for teams coordinating schedules, resources and costs across concurrent projects. It is best suited to industrial and engineering organizations, technical and IT service providers, manufacturers and PMOs that need shared resource planning. Its strongest case is the link between detailed schedules and cross-project oversight; smaller teams needing only basic task tracking may find its edition and deployment choices excessive.

Key features

Scheduling and control: Gantt charts, task dependencies, automatic scheduling, critical-path analysis and buffer times support deadline planning. Comparing progress, schedules, effort and costs with reference plans helps teams identify variances, rather than relying on schedule views alone.
Shared resource planning: A central pool tracks capacities, qualifications, working times and availability across parallel projects. Capacity analysis can expose demand and bottlenecks before managers assign specific employees, which is useful when balancing work across a portfolio.
Portfolio oversight: Multi-project planning, cross-project dependencies, prioritization, scenario planning, budget tracking and executive reporting extend the view beyond individual schedules. Resource planning and staff scheduling vary by edition, so buyers should match those needs to the plan rather than assume every license includes them.
Data exchange: MS Project plans can be imported and exported through XML, while Excel data can be exchanged through CSV. These routes help teams work with existing project information without making the product a general-purpose collaboration suite.
Shared deployment controls: The Windows desktop client can work with local files, an on-premise Integration Server or Rillsoft Cloud. The Integration Server adds role-based access, access and change logs, and version archives marked with timestamps and user IDs—useful controls for teams that need a traceable project history.

Pricing

Rillsoft offers a free 30-day full-function trial. Once it expires, existing projects remain readable, but users cannot create or edit projects. The separate freeware edition is for private, non-commercial use and has limited scheduling; the Reader edition only opens saved projects. These are narrow ways to evaluate or view plans, not substitutes for a working commercial license.

Single-user licenses are priced per license in euros, plus applicable VAT:

Light — single-user license: 357.00 EUR per month. Includes project planning and deadline controlling. It suits users focused on schedules, but omits the team resource and multi-project planning included at higher tiers.
Standard — single-user license: 579.00 EUR per month. Adds team resource planning and multi-project planning alongside project planning and controlling. It fits teams needing shared resource views, but does not include staff scheduling or capacity planning.
Professional — single-user license: 899.00 EUR per month. Includes resource planning, multi-project planning and staff scheduling, as well as project planning and controlling. It is the stronger fit for organizations scheduling people across projects, though capacity planning is reserved for Enterprise.
Enterprise — single-user license: 1399.00 EUR per month. Adds capacity planning to the Professional feature set, making it the option for teams that need to assess resource demand and bottlenecks.

Floating licenses are offered for Light at 413.00 EUR per month and Standard at 739.00 EUR per month. Both require a minimum purchase of five licenses, so they are a more costly entry point than a single-user license and are aimed at organizations sharing access. Floating licenses are required for Citrix, Terminal Server and Windows Enterprise Multisession deployments. A software service agreement covering feature updates, corrections and phone, remote-access and email support costs 15% of list license cost annually, with a €300 minimum.

Platforms

Rillsoft Project is a Windows desktop client, with local-file, on-premise Integration Server and Rillsoft Cloud deployment options. The platform listing also includes Linux, self-hosted and web, but the client workflow is centered on Windows. Organizations using Citrix, Terminal Server or Windows Enterprise Multisession need floating licenses, which are sold from five licenses.

Who it's for

This is a good fit for mid-sized industrial companies, engineering offices, technical and IT service providers, manufacturing teams and PMOs that must coordinate people and capacity across multiple projects. The central resource pool and variance tracking are most valuable when managers need both an integrated schedule and a view of workload or cost against a reference plan. A solo user with simple scheduling needs is better served by the limited Light feature set only if deadline control is enough; teams needing shared resources should budget for Standard or above.

Pros and cons

Pro: Scheduling and project controlling sit alongside one another, so teams can examine progress, effort and cost variances against reference plans.
Pro: The shared resource pool and pre-assignment capacity analysis support planning across parallel projects before work is assigned to named employees.
Pro: Integration Server access controls and timestamped, user-attributed version archives provide useful governance for shared project data.
Con: The free editions are constrained: freeware is non-commercial with limited scheduling, and Reader cannot edit projects.
Con: The single-user tiers divide resource planning, staff scheduling and capacity planning across increasingly expensive licenses, so choosing the right scope requires care.
Con: Floating deployments require at least five licenses, which raises the commitment for organizations that need those environments but have a small user pool.

Alternatives

For a broader shortlist, compare Project Portfolio Management Software, Gantt Chart Software and Project Management Software.

Planforge is worth considering if an unlimited-duration free cloud plan for up to four users is a better starting point than Rillsoft's 30-day full-function trial.
Nimble may suit a small team wanting a free allowance of 10 users and 10 projects across web and mobile platforms.
Project Insight is an option for teams preferring a free forever web plan for three users or a stated $9.00 USD per month Pro plan.
FoxPlan offers a free plan for up to three users with unlimited portfolios, projects and programs, which may suit teams prioritizing those caps.
ITM Platform is worth a look when an unlimited free team-member plan with timesheets, progress reports and collaboration is the priority.
Tempo Portfolio Manager may fit a team seeking a free allowance of 10 members, three projects and 300 tasks, with a paid Essentials tier that raises those limits.
TeamAlloc is another web-based alternative.
TeamDynamix DEX is an alternative with Linux, macOS, web and Windows support and pricing by inquiry rather than a free plan.

Verdict

Choose Rillsoft Project if your organization needs detailed scheduling tied to shared resource planning, capacity analysis and project control across concurrent work. Its core advantage is bringing those planning and variance views together, with an Integration Server option for controlled collaboration. Look elsewhere if your needs are limited to simple task management, or if a small-team free plan matters more than the depth of the paid editions.
