Overview

Notion is a cloud workspace built around pages, blocks, and databases. It suits individuals who want to organize personal projects and teams that need shared documents and collaboration in one place. Its breadth is useful, but Free’s file, block, and guest caps make it worth checking the fit before bringing a team in.

Use it to combine note-taking, shared knowledge, and work organization; it also offers AI and semantic search. Readers comparing Internal Knowledge Base Software, Note-taking apps, Team Collaboration Software, Document Collaboration Software, and AI Note-Taking Apps will find that range relevant, though it means Notion is not just a dedicated notes tool.

Key features

Pages, databases, and teamwork

Free includes pages and blocks, databases, and basic collaboration, enough for personal projects. The catch for teams is that multiple-member Free workspaces have a limited number of blocks, uploads are capped at 5 MB per file, and external guests are limited to 10. Those constraints can become decisive when a workspace holds large files or involves many outside collaborators. Paid plans list unlimited guests.

Notion supports note sharing and real-time collaboration. Plus adds unlimited pages and blocks, file uploads, and page history; Business adds collaborative workspaces, granular permissions, and advanced workspace features. Version history is also listed as a capability, but page history is specifically included with Plus.

Connections, search, and AI

Integrations include Slack, Google Drive, Figma, GitHub, Zoom, and Microsoft Teams; connections also include Asana. That makes Notion more practical for teams already using those services. AI search or answers and semantic search add ways to find information across a workspace. Free includes trial AI capabilities and a trial of Notion AI, so ongoing AI use should not be assumed to come with Free. Notion says customer data is not used to train AI models unless users opt in.

Notion says data is encrypted and private. Enterprise workspaces get zero data retention with LLM providers. Single sign-on is listed as a capability, while Enterprise adds security and compliance controls and custom support.

Pricing

Notion uses a freemium model. Free is $0 per member per month and is aimed at individuals, with pages and blocks, databases, and basic collaboration. Its block, file-size, and guest limits are meaningful trade-offs for shared workspaces.

Plus costs $10 per member per month, billed annually. It is positioned for small teams and professionals, with unlimited pages and blocks, file uploads, and page history. Business costs $20 per member per month and adds collaborative workspaces, granular permissions, and advanced workspace features for growing businesses. Yearly payment saves up to 20%. These are per-member prices, so team costs rise with seat count.

Enterprise has custom pricing and is aimed at organizations needing administration, security and compliance controls, and custom support. Custom Agents are free to try, then cost $10 per 1,000 monthly Notion credits. A custom domain costs $8 per month per domain annually or $10 monthly. Major credit and debit card brands are accepted.

Platforms

Notion is available on web, Windows, macOS, iOS, and Android, with a Chrome extension also supported. Offline access is available, a useful option when a connection is unavailable. The service is cloud-deployed.

Who it's for

Notion is a strong fit for individuals who want pages and databases in a free workspace, and for teams that value shared notes, real-time collaboration, integrations, and search in the same product. Plus suits smaller teams that need more room for pages and file uploads; Business is better suited to growing organizations that need granular permissions. A team that needs more than 10 external guests, or relies on files larger than 5 MB, should weigh the paid tiers against its budget.

Pros and cons

Pros: Pages, databases, note sharing, and real-time collaboration serve both personal organization and shared work.
Pros: Integrations with services including Slack, Google Drive, GitHub, and Microsoft Teams can connect Notion to existing workflows.
Pros: Plus and Business publish clear per-member prices and add progressively broader team features.
Cons: Free uploads are limited to 5 MB per file, which restricts use for larger attachments.
Cons: Multiple-member Free workspaces have a limited number of blocks, and Free external guests are capped at 10.
Cons: Free AI capabilities and Notion AI are trial offerings, not a stated ongoing allowance.

Alternatives

For a personal wiki with a published 1 GB storage allowance and two subsites, consider Papyrs; its Team Wiki plan is $89.00 USD per month. Nuclino is an alternative for a smaller free workspace, capped at 50 items, three canvases, and 2GB total storage. Choose ProProfs Knowledge Base if a permanently free knowledge base limited to one author and 25 pages matches the need.

Confluence is worth comparing for a free team of up to 10 users, with 2 GB file storage and three active whiteboards per user. Slab offers a free plan for up to 10 users with unlimited posts and topics, alongside 10MB attachments and 90 days of version history. Whale has a free plan for 10 members, one creator, 20 Playbook items, and 20 AI credits. Zoho Learn offers a free plan for five users with three spaces, five manuals, five courses, and 1 GB storage. BlueSpice is a self-hosted alternative with a free distribution that includes a visual editor, performance search, templates, and PDF export.

Verdict

Choose Notion if you want one cloud workspace for pages, databases, shared notes, and collaboration, with integrations and search alongside them. Free is most convincing for individual use; teams should compare the per-member cost of Plus or Business with the block, file, and guest limits they need to escape. Look elsewhere if those caps or the per-seat pricing do not suit your workflow.
