Overview

Microsoft Outlook Calendar is the calendar component of Outlook, Microsoft’s email and productivity offering. It suits people who want a calendar alongside email and Microsoft 365 tools; its free plan makes it easy to start, while paid-plan costs and a one-way sync listing call for a closer look.

Outlook connects with Outlook.com, Gmail, Yahoo!, iCloud, and other mail services. Calendar features include shared calendars and video meeting support, but the stated synchronization is one-way, a constraint for anyone who needs changes to flow in both directions.

Key features

Calendars and meetings

Shared calendars make Outlook relevant for coordinating with others, and video meeting support broadens its use beyond schedule tracking. Microsoft Teams supports group calls of up to 300 people for up to 30 hours. Those are Teams call limits, not a separately stated Outlook Calendar meeting limit.

Calendar sync is one-way. That may be sufficient for a setup where one calendar feeds another, but it is a drawback if you expect edits to stay synchronized both ways.

Email, security, and Microsoft tools

Outlook brings Focused Inbox, sweep, snooze, and flag tools to email organization, and scans attachments and links for threats. Sensitive-information encryption prevents forwarding. Outlook also provides access to Word, Excel, PowerPoint, and OneDrive files.

Copilot can draft email and help adjust its tone, length, and clarity, but in Outlook it currently works only with outlook.com, hotmail.com, live.com, and msn.com addresses. Users of other connected email providers should not choose a paid plan for that capability without an eligible address.

Pricing

Outlook Free is for one person and includes email and calendar on web, desktop, and mobile apps, 15 GB of mailbox storage, 5 GB of cloud storage, and core Outlook security features such as spam filters. It is a useful starting point, though those storage allowances are the stated free-plan caps.

Microsoft 365 Basic: 19.99 USD per year, billed annually at $19.99, for one person. It is the lower-cost paid option by term, but the plan details do not state device or storage allowances.
Microsoft 365 Personal: 9.99 USD per month, billed monthly, for one person, with use on five devices simultaneously and 1 TB of storage. The one-month free trial offers a way to assess the paid plan before subscribing.
Microsoft 365 Family: 12.99 USD per month, billed monthly, for one to six people, with up to 6 TB of storage and five devices per person. It suits households sharing a subscription; the allowance scales with the number of people.
Microsoft 365 Premium: 19.99 USD per month, billed monthly, for one to six people and up to 6 TB of storage. It also offers a one-month free trial, though the stated plan details do not include a device allowance.
Office Home 2024: 179.99 USD per once, a one-time purchase for one PC or Mac. It avoids recurring subscription billing, but is limited to one computer.

Microsoft 365 Personal, Family, and Premium offer a free trial for one month. Subscriptions automatically renew unless canceled in the Microsoft account, so trial users and subscribers who do not want another billing period need to cancel. Paid Microsoft 365 plans include ongoing support.

Platforms

Outlook is available on Android, iOS, macOS, and the web, with email and calendar access across web, desktop, and mobile apps. Microsoft 365 works on PC, Mac, iPhone, iPad, and Android phones and tablets, giving it broad device coverage for people who move between platforms.

Who it's for

Outlook Calendar is a strong fit for people who want calendar and email together, already use Microsoft tools, or need to connect multiple mail services. The free tier offers meaningful mailbox and cloud storage, while Family gives households a shared paid option for up to six people. It is less suitable for users who require two-way calendar sync or want Copilot to work with a non-Microsoft email address.

Pros and cons

Pro: The free plan combines calendar and email with 15 GB of mailbox storage and 5 GB of cloud storage, making it practical to try without a subscription.
Pro: Connections to Outlook.com, Gmail, Yahoo!, iCloud, and other mail services can bring multiple accounts into Outlook.
Pro: Family covers up to six people with up to 6 TB of storage and five devices per person.
Con: Calendar sync is one-way, which limits its suitability for workflows that depend on bidirectional updates.
Con: Copilot in Outlook works only with specified Microsoft email domains, excluding other connected accounts.
Con: Microsoft 365 subscriptions renew automatically unless canceled, so a trial or paid plan requires attention to avoid continued billing.

Alternatives

Choose Mozilla Thunderbird if you want free, open-source email, calendar, and contacts with multiple-account support across Android, Linux, macOS, and Windows.

Lark is another freemium option; its Starter plan lists 20 users, 100 GB of storage, 18 months of message history, and 1,000 automations per month.

Consider EGroupware for an open-source option with a free plan and an eCloud NGO plan priced at 21.90 EUR per month, with a discount for annual payment; prices plus VAT.

Verdict

Choose Outlook Calendar if you want a calendar bundled with email, broad device coverage, and access to Microsoft 365 tools, with a usable free tier to begin. Look elsewhere if two-way sync is essential or if you need Outlook Copilot with an address outside its supported Microsoft domains; for a paid plan, weigh the monthly price and automatic renewal against the storage and household coverage you will use.
