Overview

HOA Simplify is a shared management workspace for association boards, property managers, and residents handling dues, records, elections, and maintenance. It suits communities that want financial, governance, and resident services together; the chief trade-offs are unit-based plan limits, added transaction charges, and a formal compliance program still in development.

Key features

Accounting and elections

AI Smart Accounting can produce financial reports and budget alerts from natural-language questions, and record expenses, payments, and journal entries through chat. Assessment billing, financial statements, bank reconciliation, and budget tracking add familiar accounting functions. This breadth can consolidate routine financial work, but the transaction fees make payment volume part of the buying decision.

Election tools cover quorum tracking, proxy and ranked-choice voting, anonymous results, and an election archive. That is more useful for associations with formal voting requirements than for boards that only need an occasional informal poll.

Resident and manager tools

Residents can pay dues, access documents, submit maintenance requests, vote, and book amenities through a portal installable as a PWA on mobile devices. Property managers get cross-HOA reporting, reusable dues templates, bulk resident imports, and a portfolio activity feed. These tools make the product a stronger fit for multi-community operations than a payment-only portal.

AI Smart Import accepts CSVs from Buildium, AppFolio, PayHOA, or spreadsheets, maps columns automatically, and supports preview and rollback. That offers a defined path for importing existing records. Stripe payments and QuickBooks Online sync are built in; Slack, Google Calendar, Zapier, DocuSign, Plaid, and Twilio are marked coming soon, so they should not be treated as current integrations.

The features page lists AES encryption, two-factor authentication, IP allowlisting, session management, secure file storage, automatic backups, and access controls. The company says it is building its formal compliance program as the recently launched platform matures, a consideration for communities with compliance requirements.

Pricing

HOA Simplify offers a free plan and a 14-day trial. Basics has custom pricing and a 25-unit limit. The paid tiers have higher unit caps, but the Community, Association, and Standard plan names each have a lower monthly figure alongside a higher Launch Pricing amount:

Community: 79.00 USD per month (billed $99/mo Launch Pricing), up to 50 units. It includes basic accounting and billing, a resident portal, document storage, standard reports, and email support. This is the entry paid tier for smaller associations that can work within its cap.
Association: 119.00 USD per month (billed $149/mo Launch Pricing), up to 125 units. Advanced accounting and billing, vendor management, board meeting tools, custom reports, mobile app access, and priority email support make it the step up for boards needing more financial and meeting support.
Standard: 179.00 USD per month (billed $229/mo Launch Pricing), up to 200 units. It retains advanced accounting, vendor management, board meeting tools, custom reports, mobile app access, and priority email support. Its higher cap than Association may matter to growing communities, though the listed feature set is similar.
Premium: 379.00 USD per month (billed $449/mo Launch Pricing), with unlimited units. It adds advanced analytics, API access, custom integrations, and priority feature requests to full feature access, making it the tier for larger operations that need extensibility.
Enterprise: custom pricing for custom capacity, with a custom support plan.

Community, Association, and Standard list platform fees in addition to Stripe fees: 0.75% per transaction with a $5 minimum for PMC-managed HOAs, or 1.25% per transaction for standalone HOAs. Those charges can materially affect the cost of processing dues. Lower tiers use email support, while several higher tiers provide priority email support.

Platforms

HOA Simplify supports web, Android, and iOS. The resident portal can also be installed as a PWA on mobile devices, while mobile app access is included in Association and Standard plan descriptions.

Who it's for

It is best suited to boards or managers that will use a combination of accounting, resident self-service, elections, and maintenance workflows, especially when they oversee multiple communities. Smaller associations should match their unit count and payment volume to the caps and fees before choosing it. Communities that prioritize a mature formal compliance program may prefer to wait or compare other options.

Pros and cons

Pro: Accounting, billing, governance, and resident services share one workspace, reducing the need to assemble separate tools for those jobs.
Pro: CSV import with automatic mapping, preview, and rollback gives managers a practical migration path from several named systems and spreadsheets.
Pro: Portfolio reporting and reusable dues templates address managers responsible for multiple HOAs.
Con: Unit caps on three paid tiers mean associations need to plan around a specific ceiling, or pay for Premium's unlimited-unit tier.
Con: Platform transaction fees are additional to Stripe fees, including a $5 minimum for PMC-managed HOAs.
Con: The formal compliance program is still being built, which may not suit buyers requiring an established program.

Alternatives

Neighborhood.online is worth considering for a web-based option with a free plan; its free tier is ad-supported and hosted at a Neighborhood.online domain.

Village may suit buyers who want a free web plan described as including every feature, with no seat limits and no credit card required.

NeighborhoodHQ is another option for buyers seeking Android, iOS, and web support; its pricing is not published and requires contacting the company for fit.

SMPLR HOA is an alternative for buyers comparing per-home pricing; its Community plan is 25.00 USD per month when billed annually at a 25-home minimum, or $32/month when billed monthly.

HOA Start is another paid option with web, iOS, and Android support and plans that include either software with a marketing website or software only.

CINC, Condo Manager, and FRONTSTEPS are further paid options with web and mobile platform support.

Verdict

Choose HOA Simplify if your board or management company needs accounting, resident services, elections, and portfolio tools in one system, and its unit limits and transaction charges fit your operation. Look elsewhere if payment fees would outweigh that consolidation or if a mature formal compliance program is a requirement.
