Overview

KoboToolbox is a form-building and data-collection platform for gathering survey responses online or offline. It is best suited to nonprofit and field teams that need structured forms, shared project ownership, and collection in low-connectivity settings. For those teams, the Community plan makes it possible to start without a software charge; commercial users face a smaller Starter quota and a steep step up to Professional.

Key features

Forms support skip logic, validation, in-survey guidance, translations, GPS, and multimedia. That range suits field research where a response may need location or media as well as an answer, while teams running only simple polls may find the form capabilities more than they need. Data collection works online and offline through KoboCollect or web forms on iOS, desktop, and other devices, a meaningful advantage when connectivity is unreliable.

Projects can belong to teams rather than individual members, helping preserve access when personnel change. Role-based permissions include Owners and unlimited Admins and Members, so the stated team model does not impose a member cap. Response analytics and API access support analysis and further integrations. KoboToolbox is compatible with Excel, Google Sheets, Power BI, Tableau, ArcGIS, and Stata, and has direct integrations with TolaData and monday.com.

Security provisions include encryption at rest and in transit using SHA-256 with RSA, project-level key encryption, SSO, and GDPR compliance. Organizations can host data in 28 countries or on their own infrastructure. Those choices are valuable for organizations with deployment requirements, though the Enterprise plan is the route specified for international nonprofits and multilateral agencies.

Pricing

The Community plan is 0.00 USD per free and is designed for nonprofits and individuals with basic data-collection needs. It includes 5,000 submissions per month and 1 GB of storage; that is a substantial no-cost allowance for modest nonprofit projects, but larger collection needs require a paid tier. Nonprofits can use this plan free through the Community Plan.

Starter costs 21.00 USD per month, billed Other pricing, for private companies, for-profit organizations, and personal use. It includes 1,000 submissions per month and 1 GB of storage, so it is the lowest-cost paid fit for smaller commercial projects, but its quota is below Community's and far below the higher tiers. The pricing note gives a paid starting point of $25/mo, so buyers should distinguish that note from Starter's stated plan price.

Professional costs 129.00 USD per month, billed Nonprofit pricing, and targets nonprofits or individuals with advanced collection needs. Its 25,000 monthly submissions and unlimited storage suit a project that has outgrown Community, though the price increase is considerable. Teams costs 249.00 USD per month, billed monthly, with nonprofit pricing; it includes 50,000 submissions per month, unlimited storage, and one team. Its annual allowance is also stated as 600,000 submissions, making it a fit for larger nonprofit operations that need a team structure and higher throughput.

Enterprise uses custom pricing and is aimed at international nonprofits and multilateral agencies. It adds guaranteed user support with a custom response time and a dedicated Customer Success Manager, plus a web interface customized with an organization logo and a custom server URL. This is the tier for organizations that need that support and branding, not a budget substitute for the lower plans.

Platforms

KoboToolbox supports API, iOS, and web. Offline field collection is available through KoboCollect or web forms across iOS, desktop, and other devices.

Who it's for

Nonprofits doing field research are the clearest fit: they can begin with Community and have room to move to Professional or Teams as monthly submissions grow. Commercial users can start with Starter, but its 1,000-submission cap makes it better suited to limited collection than sustained high-volume work. Organizations that need offline collection, team-owned projects, or flexible hosting have reasons to consider KoboToolbox; users seeking only lightweight polling may not need its broader data-collection capabilities.

Pros and cons

Pro: Offline collection and forms with logic, validation, GPS, and multimedia support fieldwork that basic web surveys cannot cover as fully.
Pro: Team-owned projects and unlimited Admin and Member roles support continuity without a stated member ceiling.
Pro: A free nonprofit plan includes 5,000 monthly submissions, while higher plans provide unlimited storage from Professional onward.
Con: Starter has only 1,000 submissions per month, less than Community's 5,000, so it is a restrictive entry tier for commercial users.
Con: Moving from free Community to Professional costs 129.00 USD per month; teams needing more volume face 249.00 USD per month.

Alternatives

For a wider comparison, browse Survey API Software, Survey Software, or Mobile Forms Software.

Typeform is worth considering when a small response allowance is enough: its ongoing free plan includes unlimited forms but only 10 responses per month.
Formbricks is an option for teams that want self-hosting among its supported platforms; KoboToolbox instead offers hosting across 28 countries or on customer infrastructure.
Qualaroo is an alternative for buyers who want a stated Essentials plan at 39.99 USD per month with 1,000 email sends per month and unlimited responses.
SatisMeter may fit a very small project that can work within its free plan's 25 responses per month.
SurveyJS is another survey option.
Alchemer is another survey option.
LimeSurvey may suit users who want a self-hosted option and can work within its free plan's 25 responses per month and one admin user.
OpenSurvey may suit users looking for an open-source plan with unlimited responses and surveys, teams, and workspaces, but without managed cloud, automatic updates, or an SLA.

Verdict

KoboToolbox is a strong choice for nonprofits and field teams that need offline collection, capable forms, and durable team ownership, especially when Community's 5,000 monthly submissions are enough. Look elsewhere if you are a commercial user whose needs exceed Starter's 1,000 submissions but do not justify the jump to Professional, or if your work requires only a simple, low-volume survey.
