Overview

Rentman connects rental operations with event-production planning, from equipment bookings and subrentals to crew shifts and customer quotes. It is best suited to event-rental and AV teams coordinating both people and kit, though its modular charges mean the headline Platform price is only part of the budget.

Its breadth is useful when those workflows need to meet around projects: teams can check availability and costs, schedule crew, and prepare branded proposals with digital signatures. The trade-off is that project editing and scheduling require paid power users, even though basic users are free.

Key features

Equipment planning and tracking

Availability checks, bookings, subrentals, and cost visibility cover the core planning loop for rental stock. QR and barcode scanning support equipment-location tracking, check-in and checkout, and warehouse operations. Multiple locations are supported, with an additional warehouse plan for allocation and stock management. These tools are a strong fit for operations that need inventory control tied to project work; teams wanting only basic booking may not need the extra tracking modules.

Crew scheduling

Drag-and-drop schedules and shift filling based on availability, training, and cost give planners several practical criteria for staffing events. On mobile, crew can accept or decline invitations, record availability and hours, and open job notes and files. That connects scheduling with field communication, but creating and editing projects or scheduling crew requires power users.

Quotes and integrations

Rentman can produce estimates, proposals, branded quotes, and digital-signature approvals; its Quoting & Invoicing plan also includes online payments, invoicing, and reports. Integrations include QuickBooks, Xero, Stripe, Zapier, WooCommerce, and the Rentman API, among others, which can help connect rental administration to accounting and commerce workflows.

Security and resilience

Rentman says customer databases and server connections are encrypted, with hosting in major European data centers. It describes redundant infrastructure, data in two data centers, automatic switching, and uptime above 99.995% over the past four years. It also says it provides full data recovery, daily recovery within the last half year, and nightly backups at a third site. These are meaningful safeguards for teams whose project and inventory operations depend on access to current data.

Pricing

Rentman offers free basic users, but they cannot create or edit projects or schedule equipment or crew; those tasks require power users. The Rentman Platform plan costs 39.00 EUR per month, billed monthly, and includes CRM and communication, task management, team collaboration, dashboards and calendars, file sharing, a mobile app, and API access. Yearly payment saves 8%.

Working modules are priced separately per power user: Inventory Standard is 14.00 EUR per month for availability, project scheduling, and standard inventory features; Inventory Pro is 19.00 EUR per month for availability, scheduling, and pro inventory features. Crew Essential costs 14.00 EUR per month, Crew Standard 19.00 EUR per month, and Crew Pro 24.00 EUR per month, each covering crew scheduling, availability, and worked-hours tracking. The higher crew tiers cost more, so compare their fit against the needs of the team rather than assuming every operation needs the top tier.

Quoting & Invoicing is 9.00 EUR per month per power user and includes estimates and proposals, quotes, e-signature approvals, online payments, invoicing, and reports. Equipment Tracking is 9.00 EUR per month per power user for check-in and checkout, scanning, warehouse operations, and serialised inventory; History Logs is 12.00 EUR per month per power user for change logs across warehouse, equipment, projects, contacts, and crew. Additional Warehouse costs 5.00 EUR per month and adds multiple storage locations, equipment allocation, and warehouse availability and stock management.

Crew Enterprise has custom pricing and adds an integrated freelancer marketplace, work-permit and hour tracking, and travel, catering, and accommodation features. Support is included without extra fees; Rentman says it strives to answer most questions within an hour and always within a day. A 30-day trial gives prospective teams a window to assess the paid product, while the free-user allowance is limited by its inability to handle core project editing and scheduling.

Platforms

Rentman is available on the web, Android, and iOS, and provides an API. Its mobile app is particularly relevant to crew members who need to respond to invitations or consult job information away from a desk.

Who it's for

Rentman makes most sense for event-rental teams, AV professionals, and production companies that need equipment and crew planning alongside quotes and project administration. Its stated audience spans one-person operations to large production companies, but the need for paid power users to edit projects and schedule work makes it less compelling for users seeking a genuinely functional free project workflow.

Pros and cons

Pros: Equipment, crew, and quoting workflows can be coordinated in one system, reducing the need to split those tasks across unrelated tools.
Pros: Mobile crew tools cover invitations, availability, hours, and job files, giving staff a direct way to interact with scheduled work.
Pros: A modular plan structure lets teams pay for selected capabilities rather than treating every inventory, crew, and finance feature as one bundle.
Cons: The 39.00 EUR per month Platform plan is not the whole operating cost: several useful modules are charged per power user.
Cons: Free basic users cannot create or edit projects or schedule equipment or crew, limiting the free tier for teams doing active production work.

Alternatives

Rentificial is worth considering for a very small operation that can work within its free allowance of 10 assets, 1 user, and 0 email accounts; that is a tighter entry point than Rentman's paid power-user workflows, but the supplied Rentificial plan facts are limited to those caps and named features.

HireHop, FocalPoint Rental Software, Alert Rental Software, Rentopian, and Rentowa are alternatives to compare if you are evaluating rental software beyond Rentman.

Current RMS is a paid option with a free trial and separate First User and Additional Users prices, so it is worth comparing if you want to evaluate another per-user subscription model. HiveSuite is another paid option with a trial and a Solo plan at 34.99 GBP per month, billed monthly, including VAT, for 1 admin and 2 crew; it may merit comparison for a small team looking at a defined starting tier.

For broader comparisons, see Event Rental Software, Equipment Scheduling Software, and Inventory Management Software.

Verdict

Choose Rentman if event production work depends on coordinating rental inventory, crew, and customer-facing quotes in one project environment. Its strongest case is the joined-up workflow, supported by mobile crew access and extensive equipment tracking options. Look elsewhere if you need free project scheduling or a simple all-in price: the power-user requirement and separate module charges can make the entry price an incomplete guide to the cost of running the system.
