Overview

CompassDocs brings writing, search, access controls, and publishing into one system for team knowledge. Plain-English questions can return answers grounded in team documents with inline citations, provided the team supplies an AI key; without one, search falls back to keywords. That makes the product usable without AI, though teams lose its conversational way of finding answers.

Teams can publish selected spaces as a branded, read-only public site. Sharing is off by default, and search-engine indexing is configurable, a sensible combination for organizations that need both internal documentation and carefully chosen public material.

Key features

Authoring and discovery

Documents support rich text or Markdown, with diagrams, tables, checklists, embeds, and AI proofreading. That flexibility suits teams with different authoring habits and document types, while citations help readers trace AI answers to their underlying material. The Outlook add-in brings search and AI answers into the ribbon and can insert document links in one click, useful for teams that need guidance while handling email.

Integrations include a Claude connector, Microsoft 365 and Entra sync, Google Workspace directory sync, and notifications through Webex, Teams, Slack, email, or webhooks. This gives CompassDocs several routes into existing workflows rather than making its knowledge base a standalone destination.

Governance, security, and recovery

Viewer, Editor, Approver, and Admin roles, custom roles, private spaces, and an optional review queue give teams practical controls over access and publishing. Version history, read acknowledgements, and completion tracking add useful accountability for procedures and policies that need revision or confirmation.

The feature page describes AES-256-GCM encryption for credentials and backups, hashed session tokens, login throttling, and security headers. Self-hosted installations support scheduled database backups, retention, one-click restoration, and off-site mirroring to S3, R2, MinIO, or Azure. Those recovery options matter to teams operating their own knowledge service, though they also leave deployment and upkeep in the customer's hands.

Deployment

A Docker command starts CompassDocs and PostgreSQL. The documented routes include Docker on Linux, Docker Desktop on macOS or Windows, and manual Node.js and PostgreSQL installation on any operating system. This breadth helps teams with different hosting environments, but it is not a substitute for a managed service: CompassDocs Cloud is described as coming soon.

Pricing

The Community plan costs 0.00 USD per free, billed $0 forever. It includes unlimited users and documents, is self-hosted under AGPL-3.0, and includes GitHub community support. It is a strong fit for teams comfortable running open-source software; its trade-off is that support is community-based rather than dedicated.

Enterprise costs 599.00 USD per year, billed $599 per year as a flat fee for unlimited users, with one license per install. It adds self-hosted SSO, directory and group sync, policy acknowledgements, training, SCIM, and audit-log export. SAML 2.0 and OIDC single sign-on, SCIM provisioning, and Microsoft 365 directory and Entra group sync make this the relevant tier for organizations with formal identity and governance needs. Optional dedicated support costs 3000.00 USD per year and carries a 48-hour response commitment.

Cloud is priced at 8.00 USD per month, billed $8 per user per month, and is described as fully managed and coming soon. Its plan includes 25 GB of document and attachment storage and a free trial at launch with no credit card. Per-user billing may suit teams that prefer not to self-host, but the service is not yet launched.

Platforms

CompassDocs supports web, API, Linux, macOS, Windows, and self-hosted deployment. The operating-system options make self-hosting broadly accessible, while the API and Outlook add-in support use beyond the main web interface.

Who it's for

CompassDocs fits teams that need a searchable home for SOPs, technical documentation, policies, and internal knowledge, especially when review, access control, read confirmation, or public publishing matter. It is less suitable for organizations that require managed hosting now or do not want to operate Docker, Node.js, PostgreSQL, and backups themselves.

Pros and cons

Pros

Community permits unlimited users and documents at 0.00 USD per free, making broad internal adoption possible without per-seat charges.
Inline citations connect AI answers to source documents, and keyword search remains available without an AI key.
Approval controls, acknowledgements, completion tracking, and version history address the lifecycle of controlled procedures and policies.
Public publishing is read-only, configurable, and off by default, reducing the chance of exposing spaces unintentionally.
Backup retention, restoration, and off-site mirroring provide concrete recovery options for self-hosted teams.

Cons

Self-hosting requires the team to run and maintain its own deployment; the managed Cloud alternative is not yet available.
AI answers depend on an AI key, so teams without one must rely on keyword search.
Dedicated support is an additional 3000.00 USD per year beyond Enterprise.

Alternatives

Choose Scribe if the priority is capturing instructions from web apps and sharing them by link or embed; its free Basic plan supports any web app and quick customization. Choose SOPGalaxy if a hosted web or mobile SOP product with published per-user tiers is a better fit; its Starter plan costs 6.00 USD per month and caps teams at 15 users and 100 SOPs. Tango offers a free tier with five shared workflows, browser capture, sharing, and up to 10 workspace users, so it may suit teams focused on a small workflow library.

Whale is another freemium option, with a free plan capped at 10 members, one creator, 20 Playbook items, and 20 AI credits. Guidde is worth considering for how-to videos: its free plan includes up to 25 videos, web-app capture, voiceover recording, and shareable links. Blesk.io, SOP Maker, and Forge SOP are also alternatives.

Verdict

CompassDocs is a compelling fit for teams that want a self-hosted knowledge base with flexible authoring, meaningful governance, and a free tier without user or document caps. Its strongest reason to choose it is the breadth of document control and publishing around that open Community plan. Look elsewhere if managed hosting is essential now, or if your team cannot take responsibility for operating and backing up the service.
