Overview

Each case profile brings intake data, services, assignments, referrals, notes, documents, notifications, and alerts together. That gives staff a shared view of client activity, while service-plan, referral, and outcome tracking extend the record beyond intake. A client portal is also supported.

Collaborate is cloud-hosted and browser-accessible, with no installation required. It works across desktop, laptop, tablet, and mobile phone with an internet connection. The maker states that a typical rollout takes 8–12 weeks from contract to go-live, covering data migration, customization, and staff training. That is a meaningful commitment for teams needing immediate deployment.

Key features

Configurable forms and services

Social-services experts can tailor intake forms, digitize paper forms, and automate manual processes. Agencies can also use pre-built service forms, create custom services, and distribute external forms by link or embed them on a website. This flexibility suits programs with specialized intake requirements; the implementation period means configuration is part of a larger rollout, not an instant setup.

Reporting and connections

Users can build filterable, shareable reports from database fields and visualize results with charts and graphs. Collaborate integrates with DocuSign and supports API connections to systems including statewide referrals, medical billing, payroll, staffing, and QuickBooks. Those connections may help agencies fit case work into wider operations, though the product’s fit will depend on the systems an organization needs to connect.

Security and support

The maker says Collaborate is HIPAA compliant and SOC 2 Type 2 compliant. Security features include encryption, role-based permissions, multifactor authentication, audit logs, and backups; SSO is also supported. Support includes a knowledge base, in-app help, support requests, live and on-demand training, and an account manager. Collaborate for Networks enables secure sharing of sensitive data among organizations using Collaborate, making it relevant to participating networks rather than a general cross-platform sharing option.

Pricing

Custom pricing: Price is based on organization size, user count, and modules, with no per-seat licensing fees. Custom intake forms, service-plan tracking, referral tracking, outcome tracking, and a client portal are included. This structure avoids a fixed per-seat charge, which may suit agencies whose needs vary by program, but makes budgeting dependent on a quote rather than a published rate.

Collaborate is a paid product; no free plan or trial is stated. Organizations should weigh the custom quote alongside the 8–12-week deployment when deciding whether it fits their budget and schedule.

Platforms

Collaborate supports Android, iOS, web, and API access. Browser-based cloud hosting and responsive mobile access mean staff can use it on different devices with an internet connection, without installing software.

Who it's for

The product is aimed at nonprofits and social-services agencies, including children’s advocacy centers, domestic violence and sexual assault programs, youth programs, substance abuse treatment providers, housing programs, health and wellness programs, healthcare violence-prevention programs, and government human-services departments. Its tailored forms, case profiles, and referral workflows are most relevant to organizations coordinating services across complex client needs. A small team seeking a low-cost, immediate-start tool may find the custom quote and rollout timeline less suitable.

Pros and cons

Broad case profiles: Intake, services, assignments, referrals, notes, and documents sit together, supporting a fuller view of client work.
Adaptable collection and reporting: Tailored and external forms, custom services, and configurable reports accommodate differing program workflows.
Organizational security controls: Role-based access, MFA, SSO, audit logs, encryption, and backups address access and record-protection needs.
Longer, quote-led buying process: Custom pricing and an 8–12-week typical deployment require budget and implementation planning before staff can go live.

Alternatives

Primero is worth considering for organizations that prefer a freemium, web-based option: its DIY tier is free with self-managed open-source deployment, documentation, and community support, while its full-service SaaS tier is listed at 8250.

In-Form may suit organizations working with people experiencing homelessness in England that want a freemium product; its Essential plan is 165.00 GBP per year.

Bonterra Penelope is another paid option with Android, iOS, web, and API platforms; its Penelope plan uses request-based pricing.

TigernixClub is a paid alternative with web and API platforms.

CaseFlow offers a published Base Package at 150.00 USD per month, with two users, one custom workflow, unlimited cases, unlimited document storage, and a 1995 setup fee. It is a concrete-price option for teams whose needs fit that package.

Transform has a web-based Tier 1 plan at 70.00 USD per month with data export, settings management, intake and assessment, and basic reporting. It may suit buyers prioritizing a published entry price and those listed functions.

CaseWorthy is another paid case-management alternative.

CHARMS is a paid alternative with web access.

Verdict

Collaborate is a strong candidate for social-services organizations that need configurable intake, joined-up case records, referral and outcome tracking, and reporting in one cloud-hosted system. Its organizational integrations and security controls add practical depth. Look elsewhere if a published price, a free starting tier, or a faster rollout is essential: Collaborate requires a custom quote and typically takes 8–12 weeks to go live.
