Overview

Patriot I-9 is a cloud-based service for employers completing electronic Form I-9s and handling E-Verify cases. It is a strong fit for organizations that need shared access to records and deadline tracking across locations. Its appeal is a focused compliance workflow with no seat or E-Verify charge; the cost grows with each new I-9 and each month a form is stored.

Key features

The guided form workflow checks entries for errors, and users can send an employee’s case to E-Verify from the I-9 in one click. Keeping those steps together can reduce handoffs, while email alerts for work-authorization expirations and other deadlines support timely follow-up.

Users can search stored I-9s, print them as PDFs, and create reports by jobsite, department, or geographic location. Internet-based access lets teams manage records across company locations without installing software or downloading an application. Federal contractors can have existing I-9s submitted to E-Verify on their behalf and receive real-time reports across locations, a useful specialized service beyond the standard employee workflow.

Administrator permission levels control user access, and an audit log tracks actions relating to an I-9. Patriot describes itself as an official DHS-designated agent and says DHS quality-checks its online I-9 annually. Standard training, setup, and support are included; the pricing page also provides a help desk phone number and customer service email.

Pricing

The Seat license is free, with no seat charge; clients are billed monthly. E-Verify also is free, per I-9. These free components make it possible to avoid a fixed seat fee, but form activity and retention are not free: Storage is 1.25 USD per month per stored form, and New I-9 processing is 3.00 USD per once for each new I-9 created and confirmed as compliant.

That structure suits employers with limited form volume or short retention needs better than a team storing a large archive indefinitely. The free plan covers seats and E-Verify, not processing or storage. Organizations with more than 1,000 employees should contact Patriot I-9 for a customized solution.

Platforms

Patriot I-9 runs on the web. Its cloud-based setup avoids local installation and supports access to company records across locations through an internet connection.

Who it's for

Choose Patriot I-9 if your priority is a dedicated I-9 and E-Verify process with reminders, searchable records, and location-based reporting, particularly if staff need to work across multiple sites. Federal contractors may also value the option to outsource submission of existing I-9s and get real-time cross-location reports. Consider another option if per-form processing and monthly storage charges do not fit your expected volume or retention pattern.

Pros and cons

Pros: No seat or E-Verify charge keeps baseline access costs down; the form workflow connects error checks directly to E-Verify submission.
Pros: Deadline alerts, PDF retrieval, and reporting across jobsites, departments, and locations support ongoing record management.
Pros: Permission levels and an I-9 audit log add access control and action tracking, while standard training, setup, and support are included.
Cons: Each compliant new I-9 costs 3.00 USD per once, and each stored form adds 1.25 USD per month, so costs accumulate with hiring and retention.
Cons: Organizations over 1,000 employees need a customized solution rather than the standard pricing structure.

Alternatives

Employment Eligibility Verification Software is the broader category directory for comparing options.

Everee Onboarding+ includes standard I-9 and onboarding workflows at no additional charge, making it worth considering if those bundled workflows matter more than Patriot’s separately priced processing and storage.
Imagility I-9 Compliance is another paid I-9 compliance option, with Android, iOS, and web platforms.
Experian I-9 Management uses quote-based pricing and offers Android, iOS, and web access; consider it if you prefer to request a demo and pricing quote.
Symmetry I-9 offers custom pricing for payroll tax APIs and onboarding compliance software, making it a candidate for buyers seeking those broader capabilities.
Veridia is another paid, web-based option.
Verifi-9 is another paid option, with Android, iOS, and web platforms.
Clear I-9 has unpublished pricing and asks buyers to schedule a demo.
Onboarded is another paid option available on web and through an API.

Verdict

Patriot I-9 is a sensible choice for employers that want one web workflow for electronic I-9s, E-Verify, deadline alerts, and cross-location records, especially federal contractors needing support with existing forms. Its free seats and E-Verify access are appealing, but the per-form processing fee and recurring storage charge make total cost dependent on hiring volume and retention. Look elsewhere if you need a bundled onboarding workflow or want pricing that does not rise with stored forms.
