Overview

ChangeFolio is a web-based platform for coordinating organisational change from sprint and project work through programmes and enterprise-wide initiatives. It is best for change offices and practitioners who need shared stakeholder records and reporting across multiple efforts. Its adaptable scope is a strength, but user and stakeholder caps make the right plan depend on how many people and initiatives need to work in it.

Key features

The platform supports any change management methodology, allowing organisations to retain their own approach rather than conform to a prescribed framework. Change work can be managed at several levels in one place, which is useful for connected initiatives; teams looking for a tool centred on one particular method may prefer a more specialised fit.

Stakeholder fields can be imported and customised, with options to rename or disable fields and create libraries for standardisation. Teams can reuse stakeholder and project data across initiatives, reducing repeated entry and helping keep records consistent. The flexibility is valuable when teams have a clear shared structure; without one, custom fields and libraries can create more variation rather than less.

Change intelligence is intended to surface trends, risks, successes and insights. Dashboard insights can be generated and exported at stakeholder, initiative and enterprise levels, alongside impact assessment, stakeholder communications and change analytics. This gives change teams a route from individual stakeholder work to broader reporting. Digitised processes are also intended to improve progress visibility and work quality, though the platform's value will depend on teams using those processes consistently.

Customer data is held in an AWS high-availability database cluster across multiple EU availability zones, with encryption at rest and in transit. ChangeFolio says AWS adheres to standards including GDPR, HIPAA and ISO 27001. Support is available by email or online Support Desk Monday to Friday, 08:00–17:00 GMT, with weekly customer support webinars. A notable operational trade-off is cancellation: the account is scheduled for deletion and its data permanently deleted, although users can manually delete data before cancelling.

Pricing

ChangeFolio has a free plan and a 14-day trial. Solo, Team and Business start with the trial, and no credit card is needed for it or the Free Plan.

Plan	Price	Included capacity
Free Forever	0.00 USD per free	1 user, 1 active company and 1,000 active stakeholders
Solo	65.00 USD per month; billed $65 /mo or $60 /year	1 user, 5 active companies and 5,000 active stakeholders
Team	350.00 USD per month; billed $350 /mo or $280 /year	10 users, 15 active companies and 25,000 active stakeholders
Business	750.00 USD per month; billed $750 /mo or $600 /year	40 users, 30 active companies and 75,000 active stakeholders

The Free Forever tier is a useful way for one person to work with a single active company and a bounded stakeholder list, but it is not a shared team workspace. Solo raises the company and stakeholder allowances without adding another user, so it suits an individual practitioner managing several efforts. Team is the first tier for collaborative use, with ten seats and substantially higher limits; Business expands that to forty users, thirty companies and 75,000 active stakeholders for larger change offices. The jump in monthly price from Solo to Team is considerable, so smaller groups should weigh whether they need those additional seats and quotas. Annual billing lowers the listed monthly equivalent for each paid tier.

Platforms

ChangeFolio is a cloud-deployed web application, making it accessible through a browser. The listed platform is web.

Who it's for

ChangeFolio is aimed at enterprises, leaders, employees, practitioners, Change Management Offices and Project Management Offices. Its multi-level scope and reusable records make it most compelling for organisations coordinating several related initiatives and needing reporting beyond a single project. A solo consultant can start on Free Forever or Solo, but teams needing collaboration must move to Team or Business. It is less suitable for buyers who need multiple users at no cost or whose work fits within only a narrow, single-project tool.

Pros and cons

Pros: Work spans enterprise, programme, project and sprint levels, giving organisations a common place to coordinate change across initiatives.
Pros: Customisable stakeholder fields and reusable data can reduce repeat entry and support consistent records across projects.
Pros: Reporting spans stakeholder, initiative and enterprise levels, with exportable dashboard insights.
Cons: The free plan and Solo each allow only one user, so collaboration requires a paid Team or Business plan.
Cons: The active-company and stakeholder ceilings differ by tier, and the move to Team is a substantial price increase for organisations that need more than one seat.
Cons: Cancelling schedules permanent deletion of account data, requiring a deliberate export or manual deletion decision before ending service.

Alternatives

For a broader change-management shortlist, browse Change Management Software. Cohentis may suit buyers who want Android, iOS or self-hosted options alongside web access; its maker says it is built by someone with extensive experience leading IT programmes, portfolios and change in Belgian organisations. Avanqi is worth considering for a smaller starting footprint: its free plan is limited to one active change project and one active member, with core portfolio, stakeholder and document workspaces and community support.

OCM Solution is another web-based option with a free plan and trial, and lists a $5 per guest per month view-only license and a $10 per month OCM Library. AmpleLogic Audit Management is a web-based paid alternative with custom pricing and demo scheduling. ChangeGate is a web-based paid alternative. ChangeVU offers a free trial for single-use applications and an enterprise application license at 99.00 USD per year, making it a possible fit when a single-use application or enterprise license better matches the need. Changewiser uses a defined-scope, one-program engagement with success criteria and exit, and prices according to the transformation rather than employee headcount. Serendata offers custom licensing sized to change-team size and programmes, with use-case-based pricing and no long lock-in.

Verdict

ChangeFolio is a strong fit for organisations coordinating change across multiple initiatives that need adaptable stakeholder data, shared records and reporting at several organisational levels. Its main reason to choose is the breadth of work it can connect without forcing a particular methodology. Look elsewhere if you need a genuinely collaborative free tier, a low-cost multi-user plan, or a workflow built around a specific change method.
