Overview

Pyrus is a team-work platform that brings messaging, task coordination and workflow automation into one product. It suits organizations managing requests and approvals across departments, especially when those processes connect to shared knowledge or invoice handling.

Its breadth is the draw; the trade-off is that teams needing only a focused form or automation tool may not need a platform this broad.

Key features

Tasks and workflows

Due dates, kanban boards, subtasks, dependencies and recurring work give teams several ways to organize ongoing tasks. Forms can collect requests, while workflow rules route tasks and let teams set approvers and field triggers. This is useful when work must follow a repeatable approval path rather than sit in a general task list.

The dashboard reports opened and closed tasks, employee performance and task completion time, helping teams look for delays and bottlenecks. Reporting is custom, which gives organizations latitude but makes fit dependent on how their reporting needs are configured.

Knowledge, payables and integrations

The knowledge base combines formatted articles, quick search, linked content, simultaneous editing, comments and access controls. It can keep working guidance close to the processes that rely on it. The accounts payable solution covers invoice capture through payment and supports mobile approvals, extending Pyrus into finance workflows.

The integration marketplace includes messaging, meeting, file storage, directory and CRM options such as Telegram, WhatsApp, Zoom, Google Drive, Active Directory and Oracle NetSuite. API v4 supports custom integrations through API calls and webhooks. That combination is valuable for organizations connecting Pyrus to existing systems, though it is more capability than a team seeking a standalone task tracker may need.

Pyrus says data is replicated across geographically distributed data centers, backed up daily and protected with TLS 1.2 in transit. It also states that its data centers meet ISO 27001 and ISO 9001 standards, and that its privacy policy for EU and Swiss residents complies with GDPR requirements.

Pricing

Free costs 0.00 USD per free, forever, and includes unlimited users and tasks, 1Gb file storage and up to 50 form tasks. It is a substantial starting point for teams that can stay within the storage and form-task caps; those limits matter most for file-heavy processes or frequent intake.

Form Pro costs 15.00 USD per month, billed per user, with quarterly or annual billing; annual payment saves 20%. It adds unlimited form fills, up to 100 Gb free storage and priority phone and email support. Extra storage costs $80/month/100Gb. This is the more suitable tier for teams whose form volume exceeds the free cap or who need priority support, but per-user pricing makes the cost scale with the team.

Enterprise has custom pricing and adds optional on-premises installation, unlimited storage, Active Directory and SSO, SAML authentication, CRM integration and custom integrations. It is aimed at organizations with deployment, identity or integration requirements beyond the lower tiers.

Free includes email and in-app support; Form Pro includes priority phone and email support. The free tier's 1Gb storage and 50 form-task ceiling are its clearest constraints.

Platforms

Pyrus supports Android, iOS, macOS, Windows and web, as well as API, extension and self-hosted options. That range accommodates varied device environments and organizations that need deployment flexibility.

Who it's for

Pyrus is a strong fit for teams in sales, marketing, procurement, finance and HR that need requests, approvals and recurring work coordinated through configurable processes. It is less compelling for buyers who want only a narrow automation or form product, or whose form volume and storage needs remain modest and do not justify a per-user paid plan.

Pros and cons

Broad process coverage: task tools, forms, workflow rules, knowledge content and accounts payable can support connected team operations in one platform.
Useful free capacity: unlimited users and tasks lower the barrier to adoption, although storage and form tasks are capped.
Integration flexibility: marketplace connections plus API calls and webhooks help link Pyrus with existing systems.
Paid cost scales by seat: Form Pro is priced per user, and extra storage is a separate monthly charge.
Free-plan limits: 1Gb of storage and up to 50 form tasks can constrain teams with file-heavy or high-volume intake.

Alternatives

Bonita is worth considering for a process-focused alternative with a free plan and a free trial; its Bonita Free plan allows 150 process instances per month with no time limit or credit-card requirement.

Jotform is a better direction for teams centered on form creation and submissions: its free Starter plan includes 5 forms and 100 monthly submissions.

Make fits buyers looking for scenario-based automation, with a free plan offering 1,000 credits per month, two active scenarios and a 15-minute minimum interval.

Requester is an option for approval intake with a free plan capped at three approver seats and 50 requests per month, while allowing unlimited submitters.

Zapier suits teams seeking a broad web automation option, with a free plan limited to 100 tasks per month and two-step workflows.

ApprovalRail offers a smaller-scale approval option: its free plan supports up to six users and includes a 30-day audit trail.

Joget is another workflow platform to compare; its free tier is limited to three users.

Workato Agent Studio is an alternative for buyers interested in agentic automation; its free plan includes 50,000 one-time credits.

Verdict

Choose Pyrus if your organization wants tasks, approvals and workflow automation connected with knowledge sharing or accounts payable, and can benefit from its integration options. The main reason to look elsewhere is focus or cost: teams needing only forms or automation may find a narrower tool sufficient, while larger form volumes or storage needs move the free plan's limits into view and Form Pro charges per user.
