Overview

Reftab is a cloud asset management platform for IT teams that want hardware records and software oversight in one place. It is a strong fit for teams that rely on barcode workflows, mobile access, and employee requests; the main trade-off is that hardware and software management sit in distinct paid offerings.

Key features

Hardware inventory and workflows

Reftab tracks hardware, equipment, assignments, and IT spend. The Hardware Asset Management plan adds assignment history, audits, maintenance, requests, and reservations, while custom fields, statuses, reports, exports, and bulk actions give administrators practical ways to organize and update records. Barcode scanning and QR codes, alongside iOS and Android apps, support inventory work away from a desk. Employee self-service can bring staff requests into the asset workflow.

The free tier allows up to 50 assets, but accessories and licenses can be tracked without limit at no cost. Archived assets blocked from checkout do not count toward the active quota, which gives teams room to retain records without consuming active capacity. The cap still makes the free plan a starting point rather than a fit for a larger hardware inventory.

Software oversight and integrations

Software Asset Management covers SaaS discovery, installed software, licenses and users, usage and spend, access reviews, and renewal visibility. It also provides compliance visibility for ISO 27001 and SOC 2. That makes it more relevant to teams managing software obligations than a hardware-only inventory tool, though the standalone software plan does not include the hardware features bundled in Complete ITAM.

Integrations include Intune, Jamf, Jira, Microsoft, Okta, Adobe, and more than 30 others. The breadth can help teams connect asset work to existing IT systems. Reftab also tracks contracts, and offers contact support, sales contact, FAQs, and API documentation.

Pricing

Free: 0.00 USD per free, with up to 50 assets, unlimited inventory and software tracking, mobile apps, and barcode and QR-code support. It suits small teams assessing the workflow or maintaining a modest active inventory. The asset ceiling is the central constraint.

Hardware Asset Management: 125.00 USD per month, billed monthly, with unlimited users, asset tracking and assignment history, barcode scanning, a mobile app, audits and maintenance, and requests and reservations. It includes a 14-day free trial and cancellation anytime. This is the clearest paid choice for teams prioritizing physical inventory and workflows; it does not bundle the complete software asset management package.

Software Asset Management: 9.00 USD per year, billed annually, with SaaS discovery, installed software tracking, license and user tracking, usage and spend, access reviews, and renewal visibility. It includes a 14-day free trial and cancellation anytime. It fits teams focused on software oversight, but its stated scope is software rather than hardware workflows.

Complete ITAM: custom pricing based on assets and software users. It includes hardware and software asset management and all integrations, making it the option for organizations that need both disciplines together. The price depends on the scale of the deployment.

Customers can pay by credit card or ACH. No refund policy is stated.

Platforms

Reftab runs in the cloud and is available on the web, iOS, and Android. Teams seeking self-hosted deployment should look elsewhere.

Who it's for

Reftab suits IT teams that want a shared system for physical assets, software licenses, contracts, and spend, especially when mobile inventory, barcodes, or employee requests matter. The free plan is appropriate for smaller inventories; teams with broader needs can choose hardware management, software management, or the combined custom-priced plan. It is less suitable for buyers who require self-hosting or want hardware and software capabilities in one fixed-price tier.

Pros and cons

Broad asset coverage: Hardware, software, equipment, licenses, contracts, and IT spend can be tracked in the platform.
Useful inventory workflows: Barcode and QR-code support, mobile apps, assignment history, audits, maintenance, and reservations serve teams managing physical stock.
Generous user terms for hardware: Hardware Asset Management includes unlimited users, so the plan is not priced by seat count.
Free entry point has a firm ceiling: The free plan stops at 50 assets, although accessories and licenses remain unlimited at no cost.
Paid scope is divided: Hardware and software have separate plans, while the combined package uses custom pricing based on assets and software users.

Verdict

Choose Reftab if your IT team wants barcode-friendly hardware tracking alongside software, license, and contract oversight, with mobile access and employee workflows. Its combination of inventory tools and software visibility is the main reason to choose it; look elsewhere if you need self-hosting, or if a predictable single paid plan must cover both hardware and software.
