Overview

Akumina combines employee news, communities, search, knowledge management, and business workflows in an experience built around Microsoft 365. It runs in the customer’s tenant, using SharePoint and Entra ID, with Teams and Viva serving as delivery channels. That architecture is a strong fit for organizations already centered on Microsoft 365; it is less compelling for buyers seeking a platform independent of that environment.

Personalized home pages can adapt to roles, locations, languages, and departments. For a distributed workforce, that can make the intranet more relevant than a single company-wide feed. A smaller or less varied organization may not need this level of tailoring.

Key features

Targeted communications and search

Communicators can target employees by persona, role, region, brand, or language, deliver messages across channels, and request acknowledgments. Those tools suit organizations that need to reach distinct workforce groups and confirm receipt. Semantic AI search extends across Microsoft 365 and connected systems while respecting existing permissions, helping employees find information without loosening access controls.

Workflows and governance

No-code forms and process automation cover HR, IT, Facilities, and Procurement workflows. This gives teams a way to bring employee services into the same experience as communications, though Akumina’s breadth is geared toward organizations with enough process complexity to justify it.

AI management includes prompt and persona governance, scoped knowledge grounding, agent routing, performance measurement, and cost visibility. Those controls are relevant to enterprises managing AI use across teams. Microsoft Graph connectors extend connections to external systems, including ServiceNow and Workday.

Security and deployment

Akumina states that it is SOC 2 Type II certified and GDPR compliant, and that it inherits Microsoft 365 tenant controls such as Entra ID permissions and SharePoint data governance. It offers deployment types through Akumina or partners, including self-hosting support. Native iOS and Android apps extend content delivery to mobile employees.

Pricing

Akumina is paid software with custom pricing. Buyers need to contact the company for a price, so it is not a straightforward choice for teams comparing fixed per-user rates or planning a self-serve purchase. Standard support runs Monday through Friday, 8:00 a.m. to 5:00 p.m. ET; enhanced and custom support require contacting Akumina.

Platforms

Akumina supports web, iOS, Android, API, and self-hosted deployments. The Microsoft 365 tenant model makes it especially relevant to organizations already using SharePoint, Entra ID, and Teams, while its mobile apps support employees who rely on phones for content.

Who it's for

Akumina is best for large, complex enterprises with Microsoft 365 that need to coordinate communications and employee services across multiple regions, languages, brands, or regulatory environments. Its targeting, workflow, and AI governance capabilities address that complexity. Organizations seeking a simpler intranet or a published price should consider alternatives.

Pros and cons

Pros: Persona-based, multilingual communications and acknowledgments suit dispersed workforces with different information needs.
Pros: Permission-aware semantic search spans Microsoft 365 and connected systems, while no-code workflows bring HR, IT, Facilities, and Procurement tasks into the employee experience.
Pros: Tenant-based architecture and AI governance controls align with organizations managing identity, data access, and AI use centrally.
Cons: Custom pricing requires a sales conversation, making cost comparison less direct.
Cons: Its Microsoft 365-centered architecture and extensive feature set are a poor match for small teams or organizations that do not need enterprise-level targeting and governance.

Alternatives

Appspace Signage is a better fit when a free plan for a small signage deployment is the priority: its free tier covers one compatible device, two Premium Users, up to two admins, 5GB storage, and 5GB monthly bandwidth.

HumHub is worth considering for organizations that want an open-source, self-hosted community platform with access to a module marketplace and community support. Omnia is another paid option for buyers comparing intranet software.

Jalios Intranet may suit buyers who want a paid intranet with a free trial and a personalized offer based on product and employee count. Jostle offers paid plans centered on news, activity feeds, recognition, discussions, and mobile apps, with a library and question feature in its Silver plan.

MangoApps is a paid alternative with a free trial and a Communications & Intranet plan starting at 9.00 USD per month, billed from 200 employees. Blink may suit buyers seeking a paid, per-user option: its Core plan costs 4.50 USD per month and includes internal communications, real-time collaboration, a knowledge hub, and company branding.

Flip is another paid alternative; its Growth plan costs 4.95 EUR per year for up to 300 employees, with the platform only and add-ons available on request.

Verdict

Choose Akumina if your large organization already works in Microsoft 365 and needs one employee experience for targeted communications, permission-aware search, workflows, and governed AI. Its main advantage is bringing those capabilities together within the tenant; its main drawback is custom pricing and an enterprise-oriented scope that smaller or less complex teams may not need.
