Confirm first whether your specialist expects you to travel or can see you remotely. Then check the office’s requirements, get the right records there, and organize your questions around the decision you need help with. There is no single preparation protocol for every specialty: follow the clinic’s instructions for tests, fasting, medicines, records, and visit format.
Confirm the visit format and requirements early
Call the specialist’s office as soon as the appointment is scheduled. Confirm the date, time, location or connection method, check-in instructions, and the best phone number to use if plans change or a remote connection fails. Ask what forms, records, images, or test results are needed, how to send them securely, and whether materials from your referring clinician have arrived. NIH recommends sharing former clinicians’ names and contact details so the office can request records: NIH: How To Prepare for a Doctor’s Appointment.
- Ask whether a referral or insurance authorization is required and confirm the expected cost and coverage with both your insurer and the provider’s billing office. Coverage depends on your plan and location; do not assume a visit is covered.
- Ask the clinic whether you need any tests, fasting, or medication changes before the appointment. Do not change medicines based on general advice; follow instructions from your clinician.
- If travel is difficult, ask whether telehealth is available and clinically appropriate for your concern. Remote care is not suitable for every condition, and the clinic can explain any location or technology requirements.

Choose between travel and a remote visit
Do not treat a video or phone appointment as an automatic substitute for an in-person consultation. Ask the office which format the specialist recommends and what each option would require.

Build a concise health summary
In the days before the visit, prepare a one-page summary you can refer to or share with the clinic. Include the information most relevant to why you are seeing this specialist:
- Your main concern and what you hope to understand or decide.
- Symptoms, when they began, and how they have changed.
- Relevant diagnoses, surgeries, allergies, prior treatments, and family history.
- Current prescription and nonprescription medicines, supplements, and doses.
- Names and contact details of other clinicians, plus relevant prior visit notes, test reports, and imaging.
Ask the office which records it actually needs, what format it accepts, and whether those records have arrived. Keep a copy or a list of what you sent and when. For medication information, ask whether the clinic wants a written list or the medicines themselves; recommendations vary by clinician.

Put your most important questions first
Specialist visits can cover a lot. Write down and rank your questions so the main issue is discussed early rather than left until the end. NIH’s appointment guidance recommends raising important concerns first. Useful prompts include:
- What are the possible explanations for my symptoms or test results?
- What other tests or records would help, and why?
- What options are available, and what are their trade-offs?
- What changes or symptoms should prompt urgent contact?
- What happens next, and who will coordinate it?
If an answer is unclear, ask the clinician to explain it another way. You can ask for visit notes or a summary to help remember the plan.

Arrange support and communication access
If you would benefit from a companion for transportation, listening, note-taking, or remembering instructions, decide whether to invite someone. The patient should still have a chance to speak privately with the clinician. For a remote visit, consider what you are comfortable sharing if another person joins the call.
Tell the office ahead of time if you need an interpreter, accessible materials, captioning, help completing forms, or another communication accommodation. For telehealth, ask whether a caregiver or interpreter may join and whether the clinic requires a release. If you are traveling to the appointment
Verify the exact address, appointment time, check-in instructions, and clinic phone number. Allow a practical buffer for travel and arrival; the amount depends on your route and circumstances, not a universal medical standard. Bring identification and insurance information if requested, your medication list or any containers the clinic asks you to bring, records that have not already been sent, your questions, and a way to take notes. Bring glasses or hearing aids if you use them, and tell staff about vision or hearing needs.
If the appointment is remote
Telehealth.HHS.gov says, “Patients who are new to virtual visits may need extra guidance about what to expect and how to prepare.” Its patient-preparation guidance was last updated May 29, 2025. Make the connection less stressful by checking the details before appointment day:

- Confirm the visit cost, required forms, connection link or call instructions, and how to contact the clinic if the connection fails.
- Test your device, internet connection, camera, microphone, and any required application. Telehealth.HHS.gov recommends connecting 15 minutes early for video troubleshooting.
- Choose a quiet, private place with good lighting. Set the camera at eye level, close distracting apps, and keep the clinic’s phone number handy.
- Have your questions, medication details, and any measurements the office requested within reach. Do not take the visit while driving.
- Send health records or images only through the clinic’s recommended channel.
If the specialist asks for visual documentation, ask how it should be prepared and sent. Image instructions can be specialty-specific: for example, the American Academy of Dermatology advises patients to follow their dermatologist’s directions for photos and secure submission. Leave with a clear next-step plan
Before you leave or end the call, make sure you know what happens next. Write down the next test or referral, any medication instructions, when and how results will arrive, whom to contact with questions, and whether follow-up will be in person or remote. Repeat instructions back if that helps confirm you understood them. If questions remain after a telehealth visit, contact the provider’s office; Telehealth.HHS.gov’s after-visit guidance recommends writing down directions and reaching out to the office when needed.
