There is no single best project management tool for every IT team. Jira is the clearest fit in this shortlist for software delivery and Agile issue tracking; Trello suits simpler visual Kanban; Asana supports teams that want several ways to view and coordinate work. The right choice depends on your delivery method, reporting and governance needs, existing development stack, and how much complexity your team will adopt.

How to compare project management tools for IT

Start with the work your team needs to coordinate, not a feature-count contest. Compare whether a tool supports your workflow natively, connects to your development and CI/CD stack, handles dependencies and handoffs, and provides useful views of blockers and delivery progress. Also assess customization, administration at your scale, ease of adoption, and the plans required for the features you need.

The comparisons below draw on product information from Atlassian and Asana. Those vendor guides describe capabilities and intended fit; they are not independent tests or proof that a tool will improve results for every team. Five tools with clearer evidence for IT workflows

Jira: Agile delivery and IT issue workflows

Atlassian describes Jira as supporting Scrum and Kanban boards, backlogs, sprint planning, timelines, custom workflows and issue types, dashboards, Agile reports, and developer integrations. Its IT-team guide also discusses issue tracking, change management, requests, milestones, deliverables, dashboards, and insights. That makes Jira the most directly documented choice here for teams coordinating software work and IT service-related workflows; it does not establish that Jira is best for every IT organization. Trello: simple visual Kanban

Trello is positioned by Atlassian as a lightweight, Kanban-based way to track tasks visually. The trade-off matters for software delivery: Atlassian says Trello lacks native sprint mechanics and requires Power-Ups for basic Agile workflows. Asana: cross-functional planning with multiple views

Asana documents list, board, calendar, timeline, and Gantt views, along with task dependencies, customizable workflow rules, and project status updates. These options may help teams coordinate work across functions or present a project in different formats. Advanced portfolio, reporting, budget, administrative, and resource-planning capabilities depend on plan, and Asana says feature availability can change. Check Asana’s project-management features and confirm current plan details before selecting it.

Smartsheet: spreadsheet-style structured work

Atlassian describes Smartsheet as combining a spreadsheet-style interface with Kanban, Gantt, automation, dependencies, and reporting. That description points to a possible fit for structured work shared across teams, particularly for people comfortable with a grid-based way of organizing information. Azure DevOps: Microsoft-centric development

Atlassian’s guide describes Azure DevOps as offering Scrum, Kanban, and CMMI process templates, Azure Pipelines, GitHub integration, work-item tracking, dashboards, and traceability. Its documented fit is strongest for development teams building around Microsoft’s ecosystem. Choose by workflow, then verify the environment

  1. Define the work. Decide whether you need Scrum and sprint planning, continuous Kanban, hybrid coordination, or linear scheduling across projects.
  2. Map the handoffs. Identify where work moves between engineering, IT operations, security, product, and other teams. Test dependencies, issue types, forms, approvals, and change controls that matter to those handoffs.
  3. Check development connections. Verify integrations with the repository, CI/CD tools, incident or service systems, and collaboration apps your team actually uses. Confirm which connections are native and which require add-ons or configuration.
  4. Test reporting and administration. Make sure the tool can surface blockers, delivery trends, ownership, and the portfolio views your managers need. Review permissions, governance, and administration against your organization’s requirements.
  5. Validate adoption and total plan needs. Have representative users try the workflow, then identify the plan and any add-ons needed for required features. Compare the current total cost and limits directly with each vendor; prices and packaging are not established by the cited comparisons.

Before purchase, validate security, administration, integrations, governance, and adoption in your own environment. Vendor descriptions are useful for building a shortlist, but only a workflow check can show whether a tool fits your team.
