In the UK, Acas says it is not a legal requirement to hold one, but recommends it as useful practice. It should not become a medical examination or disciplinary interview.
What a return-to-work meeting is for
Acas describes the meeting as often an informal chat between a worker and their manager. It gives both people a chance to check readiness, discuss support and make the return manageable. The conversation can also bring the employee up to date and establish what, if anything, colleagues will be told about the absence.
Keep the discussion focused on work and the employee’s needs. The worker does not have to disclose every detail of their health or provide a diagnosis to explain what would help them do their job. They may choose to discuss a possible work-related cause, such as stress, but disclosure is not compulsory.
How to prepare and hold the meeting
1. Follow your workplace process
Check the organisation’s absence policy or return-to-work process. Acas recommends that employers have a process and explain the purpose of the meeting and what to expect. If you are the worker, you can ask in advance who will attend, what will be discussed and whether you should bring anything.

2. Choose a suitable time and private setting
Arrange the conversation before the employee returns or as soon as possible after they are back. Hold it privately, in person or online, so sensitive information is not overheard. The discussion should be confidential and limited to people who need relevant information to support the return.
3. Prepare practical questions, not an interrogation
A manager can review relevant records from earlier absence conversations and think about available support before the meeting. Keep questions open and work-related. For example:
- “How are you feeling about being back at work?”
- “Is there anything about your work or workload you would like to talk through?”
- “Would any changes to hours, duties or location help?”
- “What would you like colleagues to know, if anything?”
Avoid pressing for a diagnosis or unnecessary personal details. Make clear that the aim is to understand work-related needs and agree next steps.

4. Check in and cover essential updates
Ask whether the employee feels able to return and whether they need anything explained after their time away. Share relevant changes, priorities or handovers without overwhelming them with every detail at once. A sensitive, supportive tone makes it easier to raise difficulties early.

Ask what would make the return workable. Depending on the job and the person’s circumstances, options might include adjusted hours or duties, flexible working, a phased return or other workplace adjustments. These are possibilities to discuss, not a standard package: the right arrangement depends on the employee’s needs, the work and any relevant risks.
6. Consider fit-note advice in the context of the job
A fit note can help frame the conversation, but it does not prescribe the exact changes for a particular role. The Department for Work and Pensions describes it as advice from a healthcare professional to help the employee and employer discuss support for staying in or returning to work. Its employer guidance explains that it records functional effects and gives general advice about fitness for work, rather than a definitive assessment of the employee’s specific job.

Discuss any recommendations with the worker and consider how they apply to the actual tasks, hours and work environment. Potential topics include an occupational health assessment, altered duties or location, a phased return, home working or training. An employee can raise work-related needs without disclosing a diagnosis.
7. Agree a clear plan and review date
If changes are agreed, record what will happen, who is responsible for arranging it and when you will review whether it is working. A useful plan is specific enough to guide the employee and manager, but flexible enough to change if the employee’s needs or circumstances change. For a longer-term or fluctuating condition, plan with the worker and consider relevant healthcare or occupational health advice; support may need to continue beyond the initial return.

Consider occupational health or other professional advice if fitness for work, complex adjustments or a work-related health issue needs specialist input. If a health condition or proposed changes affect workplace risks, review the relevant risk assessment. A return plan should support a safe and sustainable return, not assume that one approach suits everyone.

How to handle health information, disability and privacy
Keep questions proportionate and explain why any information is relevant to work. The employee can choose what health information to share; focus on how the condition affects work and what support may help. Agree with them what colleagues may be told about the absence, and do not share personal details more widely than necessary.
If the worker is disabled, Acas says the employer should review reasonable adjustments and discuss whether further adjustments are needed. HSE guidance also supports planning with the worker and continuing arrangements where needed for long-term or fluctuating conditions. Do not assume that a temporary arrangement is enough or that an adjustment suitable for one person will suit another.
When a fit note is relevant
A fit note is advice to support a discussion about staying in or returning to work; it is not a complete return plan for a particular job. Read relevant advice with the employee and talk through what may be practicable in their role. The employee can discuss possible changes such as adjusted duties or location, phased hours, home working, training or an occupational health assessment.

The meeting itself is not legally required under Acas guidance, and the guidance does not set a mandatory script or duration. Follow current workplace policy and seek appropriate professional advice when the situation requires it.
Use a template if it helps structure the conversation
Acas provides a free return-to-work meeting template in Word and OpenDocument formats. It can help a manager structure and record the discussion. Use it as a prompt rather than a checklist to interrogate the employee, and record only information relevant to the return plan.
