Start with the financial statements and the assumptions behind them. Profit, cash on hand, and break-even are related—but they are not interchangeable.
Which question does each financial statement answer?
Read the income statement, balance sheet, and cash-flow information together. Each describes a different aspect of the business, so no single statement or ratio tells the whole story.

The IRS distinguishes the income statement’s period view from the balance sheet’s date-specific view, while the SBA describes the balance sheet as a snapshot and notes that cash-flow projections support planning. A profitable period does not, by itself, establish how much cash is available on a particular date or what obligations are due. See the IRS Publication 583 and the SBA’s business management guidance.
What does “profit” mean in the period you are measuring?
Before comparing income, expenses, or profit across months—or against another business—identify the accounting method used. Cash and accrual accounting can place the same transaction in different periods.

Cash method
Under the IRS’s general description, income is generally reported when received, while expenses are generally deducted or capitalized when paid. This timing can make a period’s result reflect collections and payments rather than when the underlying sale was earned or cost incurred.
Accrual method
Under the IRS’s general description, income is generally reported when earned and expenses when incurred. This can put related income and costs into different periods than the cash method, so a reported profit figure should be read with its accounting basis in mind.
The IRS says the chosen method must clearly show income; inventory and tax circumstances can affect the appropriate method. This is not a one-size-fits-all tax election. The SBA describes GAAP as a common way to standardize financial reporting using accrual accounting and notes that private companies are not required to follow GAAP. That is U.S. SBA guidance, not a claim that all companies have identical reporting requirements. How much must you sell to break even?
The SBA defines break-even as the point where total cost and total revenue are equal, with no loss or gain. For a single product, the unit calculation is:

Break-even units = fixed costs ÷ (selling price per unit − variable cost per unit)
The difference between selling price and variable cost per unit is the contribution toward fixed costs. For a sales-dollar estimate, the SBA formula is:

Break-even sales dollars = fixed costs ÷ contribution margin
Contribution margin here is the difference between sale price and variable cost divided by sale price. Use amounts from a consistent period and define which costs are included. The SBA cautions that break-even is an estimate; where costs are mixed, split them into fixed and variable portions where possible. Its simple unit formula is for one product. With several products, sales mix and cost allocation matter, so use a product-specific or weighted approach rather than assuming one product’s margin represents the whole business. How do you make the numbers dependable?
A metric is only as useful as the records behind it. The IRS says records help monitor business progress, prepare financial statements and tax returns, identify sources of receipts, and track expenses. It describes double-entry bookkeeping as using journals and ledgers, with total debits balancing total credits.

- Keep records that support reported income, expenses, and tax items.
- Keep business and personal transactions distinguishable.
- Reconcile bank activity and monitor available cash, accounts receivable, accounts payable, and payroll as relevant to the business.
- Choose a recordkeeping system that can clearly show income and expenses as the business grows.
The SBA lists receivables, payables, cash, bank reconciliation, and payroll among the functions to manage. It also notes that accounting help may come from an online service, a bookkeeper, or a CPA; the right choice depends on transaction volume, complexity, and whether the business can reliably produce and reconcile its statements. A ledger can support transaction recording, but paper records alone may not meet every business’s needs. This is practical recordkeeping guidance, not individualized tax advice. Build a forecast around its purpose, funding request, and time horizon. The SBA advises established businesses seeking financing to include historical income statements, balance sheets, and cash-flow statements, along with a prospective outlook that includes projected statements and capital-expenditure budgets. It recommends more detail for the first year, using monthly or quarterly projections, and says projections should match the funding request.
- Set the period and purpose. State the forecast horizon and connect it to the financing need or business plan.
- Show the historical baseline. For an established company seeking financing, include historical income statements, balance sheets, and cash-flow statements as advised by the SBA.
- Make the outlook explicit. Include projected statements and capital-expenditure budgets; provide monthly or quarterly detail for the first year.
- Expose the assumptions. Identify the sales, pricing, cost, timing, and spending assumptions that drive the forecast so a reader can see what would change the result.
- Match the request. Ensure the projection period and expected uses of funds address the amount and purpose of the funding request.
The SBA’s guidance is in Write your business plan. A forecast is an estimate, not a promise; its usefulness depends on clear assumptions and records that support the baseline.

Which popular startup metrics need extra context?
Terms such as customer acquisition cost (CAC), lifetime value (LTV), recurring revenue, retention, burn, and runway can be useful, but they do not have one universal interpretation or benchmark established by the cited official guidance. Define the calculation, business model, time window, and included costs before using one in a decision or comparison.
- For a recurring-revenue business, specify what counts as recurring revenue and the period measured.
- For CAC or LTV, state which customer acquisition costs or customer revenues are included and over what period.
- For retention, name the customer group and interval being tracked.
- For burn or runway, define the cash-flow measure and the assumptions used to project available cash.
Do not treat these measures as substitutes for the statements: a label without its calculation and period can obscure more than it clarifies. The official sources cited here explain statements, recordkeeping, break-even, and projections; they do not establish universal startup benchmarks.
