Before trying to fix OneDrive, check which files are actually stored on your computer: an online-only placeholder is not an offline copy, and deleting a file from the synced OneDrive folder can delete it from the cloud too. Start by checking OneDrive’s status and the file’s availability icon, then use the least disruptive fix that matches the message you see.
First, protect the files you want to keep
OneDrive sync works in both directions: changes made in the OneDrive folder can update the online copy, and cloud-side changes can appear in the synced folder on your computer. That makes the file’s location important before you troubleshoot.
Check whether a file is downloaded
Look at the OneDrive icon in the Windows notification area or Mac menu bar, then inspect the affected file’s status icon. With Files On-Demand, an online-only item is a placeholder: it does not take local disk space and needs an internet connection to open. Opening it downloads it. To keep it downloaded, right-click the item and choose Always keep on this device; it will use local disk space. Microsoft’s documented Files On-Demand requirements include Windows 10 version 1709 or later, Windows Server 2019, and OneDrive build 23.066 or later for the feature to be enabled by default; requirements and defaults can change over time. Choose the right way to keep or remove a file
- Keep a cloud copy and an offline copy: Leave the item in the OneDrive folder and choose “Always keep on this device.”
- Keep it in OneDrive but save local disk space: Use Files On-Demand or choose which folders sync; an online-only item needs internet access to open.
- Keep a copy on the computer but remove it from OneDrive: Move it outside the OneDrive folder. Deleting it inside the synced folder can remove it from OneDrive and the computer’s synced copy as well. See Microsoft’s guidance on deleting OneDrive files.
If OneDrive says “Processing changes”
“Processing changes” can mean OneDrive is still working rather than stuck. Microsoft lists open files, many files being added, a very large file, a password or sign-in requirement, a recent sign-in or computer update, and hidden or temporary files among possible causes. Check OneDrive’s activity list and confirm you are signed in. Close the file when you finish editing it, and give a large or numerous upload time to complete before escalating. If you see “This file can’t be synced”
First close the app that has the file open and check that your account has permission to read and write it. Microsoft also documents a Windows recovery sequence for OneDrive for Business: move the affected file to a separate local location outside OneDrive, restart OneDrive, wait until it reports “Up to date,” then copy the preserved file back into the OneDrive folder. Keep the separate copy until sync is current; moving a file out of the synced folder is not the same as deleting it there. The cited instructions are specifically scoped to OneDrive for Business. Unlink and reconnect OneDrive if basic checks fail
Microsoft documents unlinking and relinking as a troubleshooting step for some sync problems. It says: “No data will be lost by unlinking and re-linking your OneDrive, your local folders are just disconnected from the cloud for a short while.” That assurance applies to unlinking and relinking, not to deleting files or every reset procedure. After reconnecting, OneDrive may need time to sync again, including recreating online-only placeholders.

- Windows: Select the OneDrive cloud icon in the notification area, open Settings > Account, and choose Unlink this PC. Sign in again; if OneDrive recognizes the existing folder, choose Use this folder.
- Mac: Open OneDrive Preferences > Account and choose Unlink this Mac, then sign in again.
Follow Microsoft’s unlink and relink instructions for the steps that match your device.
Do not treat every reset warning as harmless
A reset is not interchangeable with unlinking. For a particular macOS Files On-Demand migration issue, Microsoft warns that resetting removes local content and that unsynced content may be lost. If you encounter that warning, establish which copies are safely in the cloud and preserve any unsynced local files before proceeding. The warning is specific to that Mac migration scenario; it does not mean every reset has the same effects. See Microsoft’s reset guidance.

When the problem continues
Before trying a more disruptive step, confirm that important files have a local copy or a verified cloud copy and check OneDrive’s current status. Microsoft maintains a known-issues and sync-help page; it was labeled last updated April 20, 2026, so treat it as a live reference rather than proof that a listed issue is still active. If this is a work or school account and sync remains broken, contact your organization’s IT support. Microsoft’s unlink/relink guidance also provides account-specific support routes.
