What’s actually slowing this PC down?

The right way to add an image to a Power Automate flow depends on where the image must go. For a cloud-flow email, place an accessible image URL in the email’s HTML. For a Teams Adaptive Card, use an image URL in the card JSON. For Dataverse, use the connector’s file or image actions. In a desktop flow, capture an image in the designer and use it with image-recognition actions.
The procedures below separate those destinations so you do not confuse an attachment with an inline image, or a stored image with a screen-recognition reference.
Choose the image destination first
| Destination | Method | Important constraint |
|---|---|---|
| Email sent by a cloud flow | Store the image, then put its accessible URL in the Send an email action’s HTML | Microsoft’s email customization guidance states that inline images are limited to 100 KB |
| Teams Adaptive Card | Set the Image element’s url to a valid image URL |
The card does not directly accept full image content; the URL must resolve to an image |
| Dataverse | Use Upload a file or image and Download a file or image actions | Select the table, row ID, column and content explicitly |
| Power Automate for desktop | Capture and name an image in the designer’s Images pane | Basic matching works best below 200 × 200 pixels; advanced matching handles larger or color-variable images better |
Add an image to an email in a cloud flow
1. Store the image where the recipient can retrieve it
Upload the file to cloud-based storage such as the storage location used by your organization. Obtain an anonymous visitor URL or another URL that the recipient’s mail client can reach without signing in. A SharePoint or OneDrive editor link is not automatically a direct image URL; test the exact URL in a private browser window.
2. Build the email body as HTML
- Create or edit your flow and add the email action, such as Send an email (V2).
- Open the body editor’s HTML/source view if it is available. If the designer shows a formatting toolbar, use its code or HTML option.
- Insert an image element whose
srcis the image URL:<img src="https://url/to/your/images.png" alt="Description of the image" />. - Save the flow and send a test message to the actual type of mailbox your recipients use.
Use a stable URL, not a temporary download link that expires before the message is opened. Keep meaningful alternative text in the alt attribute so recipients using screen readers or clients that block images know what the image represents.

3. Keep the inline image within the documented limit
Microsoft’s Power Automate email customization guidance documents a 100 KB limit for inline images. Compress or resize the image before uploading it when necessary. This limit is specific to the documented email-inline method; do not apply it automatically to Adaptive Cards or Dataverse, for which the cited guidance does not establish the same limit.
Dynamic image URLs
If the URL changes per run, insert dynamic content or an expression into src. The resulting value must still be a complete URL that the recipient can access. When a previous action returns a URL containing characters such as ampersands, ensure the HTML remains valid and test the rendered message rather than relying only on the flow designer preview.
Inline image versus email attachment
An inline image appears in the message body. An attachment is a separate downloadable file and does not require the mail client to fetch an image URL for display.

Use an inline image when
- The image is part of the explanation, report or notification.
- Recipients should see it while reading without opening another file.
- You can provide a reachable URL and keep the inline file within the documented size limit.
Use an attachment when
- The recipient must download the original file or preserve its full resolution.
- The source cannot be made available through a URL.
- Security policy forbids anonymous image links.
In an email action, populate the attachment name and attachment content fields with the file data returned by your storage connector. Microsoft’s desktop-flow email guidance also describes HTML embedding with a URL, dynamic content or Base64 data; the field names vary by connector and action, so check whether a field expects binary content or a URL before mapping it.
Show an image on a Teams Adaptive Card
Use an Image element with a reachable URL
Adaptive Cards reference images by URL. A minimal card body is:
{
"type": "AdaptiveCard",
"$schema": "http://adaptivecards.io/schemas/adaptive-card.json",
"version": "1.4",
"body": [
{
"type": "Image",
"url": "https://example.com/photo.jpg",
"altText": "Status photo",
"size": "Medium"
}
]
}
Replace the example URL with a URL that opens the image itself, not an HTML page containing the image. Microsoft’s Adaptive Card guidance says full image content is not directly supported. If the card shows a broken image, paste the URL into a browser and confirm that it returns an image without an interactive sign-in page.

Validate the rest of the card JSON
A malformed property elsewhere can prevent the card from rendering, making an image URL appear to be the problem. Check commas, quotation marks, the card version supported by the Teams action and required fields. Include altText for useful accessibility and fallback behavior. Microsoft’s photo-share sample demonstrates an image URL field together with alternative text.
Store images in Dataverse
Choose a File or Image column
Dataverse tables support both File and Image column types. An Image column can also provide thumbnail information. Choose Image when the value represents a picture that Dataverse should treat as an image; choose File for general binary files or originals that are not necessarily pictures.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsUpload image content
- Add the Dataverse action for uploading a file or image.
- Select the table.
- Provide the row ID of the record receiving the image.
- Select the File or Image column.
- Map the binary content from the trigger or previous storage action.
The action expects content, not merely a public URL. If your trigger supplies only a URL, first use an HTTP or storage action that downloads the bytes, then pass that content to Dataverse.

Download image content
Use the corresponding download action with the table, row ID and column. You can then pass the returned content to an email attachment, save it to storage or send it to another connector. Keep URL-based display and Dataverse storage as separate decisions: storing an image does not automatically create a recipient-accessible anonymous URL.
Capture and use an image in Power Automate for desktop
Desktop flows use captured images for recognition and interaction, not for embedding an image in a cloud-flow email.
- Open the desktop flow designer and locate the Images pane.
- Capture the required screen region and give the image a descriptive name.
- Use the named image in an image-dependent action, such as Move mouse to image.
- Run the flow on the same display scaling, application state and approximate layout used when the image was captured.
The basic matching algorithm is documented as working better with images smaller than 200 × 200 pixels. The advanced algorithm is described as more effective with larger images and more robust when colors change. Increasing tolerance can help with minor variation, but excessive tolerance reduces precision and can match the wrong control.

Troubleshoot missing or broken images
The email shows a blank box or broken icon
- Open the exact
srcURL in a private browser window. If it redirects to sign-in, the recipient’s mail client may not be able to fetch it. - Confirm that the URL returns an image file rather than a web page or storage preview.
- Check that the HTML uses
<img>, a quotedsrc, and valid closing syntax. - Check the documented 100 KB inline limit and compress the image if needed.
The image is attached but not displayed inline
Attachment fields deliver a file; they do not place it in the body. Add an HTML image element for inline display, or deliberately keep the file as an attachment and describe it in the message.
The Adaptive Card image does not render
- Verify that the URL opens the image directly in a browser.
- Check JSON syntax and the card version supported by the Teams action.
- Confirm that the image host does not require an interactive login or block the requesting client.
- Add
altTextand test with a small known-good image before switching back to the production URL.
Dataverse upload fails
- Make sure you selected the correct table, row ID and column.
- Pass file or image content, not a URL string.
- Confirm that the column type matches the action: File and Image are different Dataverse column types.
Desktop image recognition is unreliable
- Recapture a tightly cropped image of the control instead of a full screen.
- Use the advanced algorithm for larger or color-changing images.
- Reduce tolerance if the action is matching nearby controls.
- Stabilize display scaling, window position and application state before recognition.
Reliability, security and performance practices
- Prefer stable sources: avoid expiring URLs for messages that may be read later.
- Limit exposure: anonymous URLs can be forwarded. Use an attachment or an authenticated integration when the image is confidential.
- Optimize before transport: resize and compress email images; use thumbnails where a full-resolution original is unnecessary.
- Test the recipient path: validate in the mailbox, Teams client or Dataverse record where the image will actually be consumed.
- Design a fallback: add alternative text, a descriptive sentence or an attachment when image loading fails.

Frequently Asked Questions
Can I put Base64 image data directly in a Power Automate email?
Microsoft’s localized email guidance describes Base64 as an embedding option, but the cloud-flow method documented most directly uses an accessible URL in HTML. Use Base64 only when your specific email action and message-size limits support it.
Why does a storage sharing link fail in Teams or email?
Many sharing links open a protected preview page rather than returning image bytes. Test the exact link in a private browser window and use a URL that resolves directly to the image.
Should I use a Dataverse Image column for every picture?
No. Use an Image column for picture data and its thumbnail behavior; use a File column for general files or originals that your process should treat as downloadable binary content.
