How to Take Screenshots of PowerPoint Presentations (Windows, Mac, and Slide Exports)

The best method depends on what you need to capture. Use Insert > Screenshot or Screen Clipping to place a visible window or screen region inside a PowerPoint slide. Use Windows Snipping Tool or macOS shortcuts to capture PowerPoint exactly as it appears on your screen. Use PowerPoint’s Save As or Export commands when you need clean image files of slide content, one slide or an entire deck.

Choose the right kind of PowerPoint screenshot

“Screenshot of a PowerPoint presentation” can mean three different results:

  • A window or screen region inserted into a slide: PowerPoint’s built-in Screenshot and Screen Clipping commands are quickest.
  • A picture of the desktop or PowerPoint window: Use Snipping Tool on Windows or macOS screenshot shortcuts. This preserves menus, controls and anything else visible.
  • A standalone image of slide artwork: Save or export the slide. This avoids browser chrome, editing controls and other desktop elements.

Decide first whether you want the visible screen or the slide itself. A desktop capture can include notifications, presenter controls or confidential windows. An export usually produces a cleaner asset for documentation, a website or another presentation.

Insert a screenshot directly into PowerPoint

Capture an open window

  1. Open the window you want to show, such as a browser page, dialog box or another presentation. Keep it open and do not minimize it.
  2. In PowerPoint, click the slide and exact position where the image should appear.
  3. Choose Insert > Screenshot.
  4. In the Available Windows gallery, click the thumbnail for the open window. PowerPoint inserts the selected window as an image.

The gallery lists windows that are open and not minimized. If the target is not the first window shown, activate it before returning to PowerPoint. Microsoft documents this workflow for PowerPoint for Microsoft 365, PowerPoint 2024, 2021, 2019 and 2016 on supported Windows and Mac versions. The inserted object can then be resized, cropped or formatted like any other picture.

Capture only part of a window

  1. Open the content and return to the destination slide.
  2. Select Insert > Screenshot > Screen Clipping.
  3. PowerPoint switches to the first available window and dims it.
  4. Drag over the rectangular area you want. Release the pointer to insert that region into the slide.

If the wrong window is first in the gallery, activate the intended window and repeat the command. Screen Clipping is useful for a single chart, menu, web panel or dialog; it is not the best choice when you need a separate image file for every slide.

Capture PowerPoint on Windows 10 or 11

Use Snipping Tool

  1. Display the slide, slideshow, presenter view or application area you need.
  2. Press Windows logo key + Shift + S.
  3. Choose a capture mode: rectangle, window, full screen or freeform.
  4. Make the selection. The result is copied to Snipping Tool, where you can annotate or edit it.
  5. Press Ctrl + S in Snipping Tool, choose a filename and save the image.

Choose Window to capture the PowerPoint window without manually tracing its edges. Choose Full screen when multiple monitors or the entire desktop matter. Rectangle mode is normally best for a slide region.

Keyboard alternatives

  • Print Screen: copies a full-screen snapshot to the clipboard.
  • Alt + Print Screen: copies the active window.

Paste either result into PowerPoint, Paint or another image editor, then save it if you need a file. Before capturing, close unrelated windows and disable notifications if the image will be published.

Capture PowerPoint on a Mac

macOS provides three documented combinations:

  • Shift + Command + 3: captures the entire screen.
  • Shift + Command + 4: changes the pointer so you can drag around a selected area.
  • Shift + Command + 4, then Space: captures a window or menu. Move the camera pointer over PowerPoint and click.

The screenshot can be opened, edited and saved before inserting it into a document or presentation. Use an area or window capture when you want to exclude the desktop; use the full-screen shortcut only when the surrounding screen is part of the evidence.

Save one slide or every slide as image files

Windows: Save As or Save a Copy

  1. Select the slide in the thumbnail pane.
  2. Choose File > Save As. If the presentation is stored on OneDrive or SharePoint, PowerPoint may show Save a Copy instead.
  3. Choose an available image type, such as JPEG, PNG, GIF or SVG.
  4. Save the file.
  5. When PowerPoint asks whether to export the selected slide or the whole presentation, choose Just This One or All Slides.

All Slides creates separate image files, generally in a folder named for the presentation. Exporting preserves slide artwork rather than the surrounding PowerPoint interface.

Mac: Export

  1. Open the slide in Normal view.
  2. Choose File > Export.
  3. Select an image format offered by your installation.
  4. Select Save Current Slide Only when you need one slide. If available, enter the desired width and height.
  5. Export the file.

Microsoft’s Mac workflow lists JPEG, TIFF, PNG and BMP; the Windows workflow lists JPEG, PNG, GIF and SVG. Your installed edition can expose a different subset, so use the formats shown in your own dialog rather than assuming every format is available on both platforms.

Pick a format and resolution

  • PNG: usually preferable for text, diagrams and sharp interface elements because it uses lossless compression.
  • JPEG: produces smaller files for photographic slides but can soften text after compression.
  • SVG: is useful when the Windows export dialog offers it and the destination supports scalable vector artwork.
  • TIFF or BMP: may appear in the Mac export workflow and can create large files for print or legacy workflows.

PowerPoint’s export dialog controls the available dimensions and formats. For a presentation screenshot, capture at the display scale you need; enlarging a low-resolution desktop capture later cannot recreate missing detail. For a slide image, use Export and set width and height when the Mac dialog provides those controls.

Common problems and fixes

The target window is missing from Available Windows

PowerPoint only lists open, non-minimized windows. Restore the application, activate it, then return to PowerPoint. If it is still absent, use Screen Clipping or the operating system’s window capture.

The capture contains menus, controls or notifications

You captured the desktop rather than exported the slide. Close unrelated windows, hide notifications and use Snipping Tool’s Window mode or the macOS window shortcut. If you need artwork only, export the slide instead.

The image looks blurry

A screenshot records screen pixels. Increase display scaling or capture on the monitor where the slide is shown at its intended size. For clean slide artwork, export instead of photographing the screen, and avoid repeatedly saving a JPEG.

Only one slide was saved when you needed the deck

Repeat the Windows export and choose All Slides, or on Mac use Export without selecting Save Current Slide Only when that option is available.

The exported format is unavailable

Formats differ between the documented Windows and Mac workflows and can vary by PowerPoint edition. Choose an available format, or export to PNG and convert it in an image editor if your workflow permits.

Presenter view or a second monitor is captured incorrectly

Choose the specific window rather than full screen. On Windows, Snipping Tool’s Window mode can target the PowerPoint window; on Mac, use the window capture shortcut. Check which monitor contains the slideshow before selecting a region.

PowerPoint screenshot checklist

  • Decide whether you need the visible screen or slide artwork.
  • For an image inside a deck, use Insert > Screenshot or Screen Clipping.
  • For Windows screen capture, use Windows + Shift + S, then save with Ctrl + S.
  • For Mac, use Shift + Command + 3, Shift + Command + 4, or window capture with Space.
  • For standalone slide images, use Save As/Save a Copy on Windows or Export on Mac.
  • Confirm the format, dimensions, monitor and privacy-sensitive content before sharing.

Frequently Asked Questions

Can I screenshot a PowerPoint slideshow while it is playing?

Yes. Start the slideshow, then use Snipping Tool or the appropriate macOS shortcut. Capture the slideshow window or a selected region rather than the entire desktop when possible.

Will exporting a slide include speaker notes?

No. Slide image export saves the slide canvas, not the Notes pane. Capture the Notes view separately if those notes are part of the material you need.

Why do my Windows and Mac export choices differ?

Microsoft documents different format lists and menu paths for the two platform workflows, and installed editions can vary. Use the options displayed by your own PowerPoint installation.
