How to Take a Screenshot in Excel (Windows, Mac, and Data from Picture)

In desktop Excel, click the worksheet location where the image should go, then choose Insert > Screenshot in the Illustrations group. Select a window thumbnail for a full-window image, or choose Screen Clipping and drag over the area you need. Excel places the capture directly in the workbook.

Take a screenshot directly in Excel on Windows

Excel’s built-in Screenshot command is the quickest way to place another open window, or part of it, on a worksheet. The command is available in desktop Excel versions covered by Microsoft’s current support instructions, including Microsoft 365 and listed perpetual releases such as Excel 2016 through Excel 2024.

Capture an entire open window

  1. Open the application window you want to capture. Keep it visible and do not minimize it to the taskbar.
  2. Switch to Excel and click the worksheet, chart sheet, or workbook position where the picture should be inserted.
  3. Open the Insert tab and, in the Illustrations group, select Screenshot.
  4. In the Available Windows gallery, click the thumbnail for the source window.

Excel inserts one picture object at the selected location. If several applications are open, the window you selected most recently is normally easiest to identify in the gallery. Selecting the intended source before opening the gallery also helps when you plan to use Screen Clipping.

Capture only part of a window

  1. Leave the source window open and unminimized.
  2. In Excel, select the destination cell or area and choose Insert > Screenshot.
  3. Choose Screen Clipping.
  4. When the screen is dimmed, drag from one corner of the required area to the opposite corner, then release the mouse button.

Screen Clipping works from the first window shown in the gallery. If the crop preview shows the wrong application, cancel it, activate the correct source window, and start the command again. Excel adds the selected region as a picture.

Add more than one capture

Each operation inserts one screenshot. Repeat Insert > Screenshot for every additional window or clipping. You can then move, resize, align, or group the picture objects like other Excel graphics.

Prepare the source and destination first

  • Keep the source visible: A minimized window cannot be captured from the Available Windows gallery. Microsoft’s support wording is explicit: “Only windows that have not been minimized to the taskbar can be captured.”
  • Choose the destination: Click the worksheet location before opening the Screenshot menu. Excel inserts the image on the active sheet rather than turning it into cell values.
  • Close distractions: Notifications, unrelated tabs, and private information visible in the source window will appear in the capture. Hide or close them first.
  • Set the source at a useful size: A window that is too small may produce unreadable text after you resize it in Excel. Maximize it for a full-window capture, or use Screen Clipping for a focused region.
  • Plan the number of images: Excel inserts a separate picture for each operation. Numerous large captures can make a workbook harder to share, so crop to the information readers actually need.

Capture a screenshot on macOS, then insert it

Microsoft’s Mac workflow uses macOS screenshot shortcuts rather than a direct Screenshot gallery in the Excel ribbon. The capture is saved as an image file, which you then insert into the workbook.

Use the macOS shortcuts

  • Shift+Command+3: captures the entire screen.
  • Shift+Command+4: changes the pointer so you can drag-select a rectangular area.
  • Shift+Command+4, then Space: captures a specific window or menu. Move the camera pointer over the target and click.

macOS saves the resulting image to the Desktop by default according to Microsoft’s Excel guidance. Open the image if you need to crop or mark it up before placing it in Excel.

Insert the saved image in Excel for Mac

  1. In Excel, click the worksheet location for the picture.
  2. Choose Insert > Pictures > Picture from File.
  3. Open the Desktop (or the folder where you moved the capture), select the image, and choose Insert.

This route also works when you captured the image with another Mac utility. It gives you a file you can archive, edit, or reuse in another workbook.

If you want editable cells instead of an image

A screenshot inserted with Insert > Screenshot remains a picture. If the real goal is to extract a table from an image and edit the values, use Excel’s separate Data from Picture feature.

Convert a clipboard capture into data

  1. Capture only the table you need, using Windows Screen Clipping, a Mac selection, or another screenshot tool. Exclude surrounding headings, browser controls, and unrelated text.
  2. Copy the capture to the clipboard.
  3. In Excel, choose Data > From Picture > Picture From Clipboard. Exact menu wording can vary by platform and release.
  4. Wait for Excel to analyze the image. Review every flagged cell, correct recognition errors, and then choose the command to insert the corrected data.

Convert an image file

Save the screenshot first, then use the Data from Picture command that accepts an image file in your Excel build. Review the recognized rows and columns before inserting them. Microsoft’s guidance recommends that the image contain only the intended data; tight crops and legible text generally give the recognition process less irrelevant material to interpret.

Check availability before troubleshooting

Data from Picture is not identical across every Excel edition, operating system, or release channel. Microsoft’s requirements for Windows include Windows 10 version 1903 or later (or Windows 11) and the Edge WebView2 Runtime. Supported character sets include English and several other languages, but the exact list and feature availability depend on the product version. If the command is absent, check the requirements for your installed Excel rather than assuming the screenshot itself is defective.

Edit and position the inserted screenshot

Click the inserted picture to open Excel’s picture-formatting tools. Drag a corner handle to resize it without changing its proportions; use the crop command when you need to remove borders or unrelated content. Move the image by dragging it, or use the alignment and arrangement controls when several captures must line up. If text becomes difficult to read, undo the resize and insert a tighter crop or a larger source window rather than repeatedly enlarging a small image.

A picture is anchored to the worksheet, not converted into cells. If you need formulas, sorting, filtering, or edits to individual values, return to the Data from Picture workflow instead of formatting the screenshot.

Troubleshooting common failures

Screenshot is missing from the Insert tab

You may be using Excel for the web, a mobile edition, or a build whose ribbon is customized. The documented gallery steps apply to desktop Excel; Microsoft does not establish that the same direct insertion command appears identically on the web or mobile apps. Use the operating-system capture method and insert the saved file, or verify the commands available in your edition.

The intended window is not in Available Windows

Restore the application if it is minimized, then bring it to the foreground and reopen Insert > Screenshot. Only non-minimized windows are capturable from the gallery. If multiple windows belong to the same application, activate the exact one you need before opening the gallery.

Screen Clipping shows the wrong application

Cancel the clipping, activate the correct source window, and run the command again. Windows applies Screen Clipping to the first window shown in the gallery, so the source-selection order matters.

The image looks blurry or text is unreadable

Do not enlarge a small capture more than necessary. Maximize the source window, capture only the relevant region, and insert that larger or tighter image. For a Mac capture, use a window capture or a carefully drawn selection instead of a full desktop image with tiny content.

Data from Picture produces incorrect values

Crop to the table, improve legibility, and inspect every flagged cell before insertion. Recognition can confuse similar characters, merged headings, symbols, or low-resolution text; the review step is part of the workflow, not an optional preview.

The Mac image cannot be found

Check the Desktop first, because that is the default save location described in Microsoft’s instructions. If you changed macOS screenshot settings, search the configured destination and then use Insert > Pictures > Picture from File.

Practical privacy, sharing, and workbook notes

  • Inspect the capture at 100% before sharing. Account numbers, email addresses, browser URLs, and notification text can be visible even when they were outside your main focus.
  • Use a crop rather than covering sensitive content with a shape; a crop removes the pixels from the picture, while an overlaid shape can be moved or deleted.
  • Keep the original image file when the screenshot is evidence or documentation. The workbook copy is convenient, but a separate file gives you another editable source.
  • For a process guide, capture one clearly labeled region per step. For a data task, skip image insertion and use Data from Picture so readers can work with actual cells.

The documented command inserts a picture object. It does not describe the image as a repeating or automatically updating worksheet background; use Excel’s separate page or background features if that is the layout you need.
