The quickest way to capture an Outlook email as an image is to open the message, show the exact content you need, and use your computer’s screenshot command. In Windows, press Print Screen for the full display or Alt+Print Screen with the Outlook window active. Paste the result into Paint, another image editor, or a document, then crop and save it. If you need a printable record rather than a picture of the Outlook interface, use Outlook’s print workflow or print to PDF instead.
First decide what you need to capture
“Screenshot” can mean two different files. Choose before you click anything:

The exact commands and menu labels vary between classic Outlook, new Outlook, Outlook on the web, macOS and Windows. The message itself must be open for the capture methods below.
Capture the email as an image on Windows
Use Print Screen for the entire display
- Open Outlook and open the email.
- Arrange the window so the sender, subject, date and required message content are visible.
- Press Print Screen (sometimes labelled PrtSc). Windows copies the screen contents to the clipboard.
- Open Paint, Word or another image-capable application and press Ctrl+V.
- Crop away unrelated windows or private information, then save the image in the format you need.
This method captures everything on the display. Check the pasted image carefully before sharing it, especially if another window, notification or account detail was visible.

Use Alt+Print Screen for only the active Outlook window
- Click the Outlook window so it is active.
- Press Alt+Print Screen. Windows copies the active window rather than the entire display.
- Paste into Paint or another editor with Ctrl+V.
- Crop the title bar or other unwanted areas and save the file.
This is usually cleaner when Outlook is maximized or when you do not want the desktop included. It still captures only what is visible; content below the current scroll position is not included.
Select a region with Office Screen Clipping
In supported Outlook and Office versions, Microsoft provides an in-app screenshot insertion feature. It is intended for placing a capture into a message you are composing, not for exporting a received email directly as a standalone screenshot.
- Start a new message or reply in Outlook.
- Click in the message body so the insertion point is there.
- Choose Screenshot and select an open window from the Available Windows gallery, or choose Screen Clipping to drag around a region.
- Outlook inserts the resulting image into the message body. Copy it to an image editor or save the composed message if that is your intended record.
If the screenshot controls are unavailable, confirm that the message body has focus and that your Outlook/Office edition supports the feature. For a separate image file, use Print Screen or your operating system’s capture utility instead.
Capture only the email content you need
Make the message readable first
- Open the correct message rather than relying on a preview-pane thumbnail.
- Expand collapsed quoted text or truncated headers if they are relevant.
- Scroll to the part that must appear in the image.
- Increase the Outlook reading zoom or display scaling if small text would be unreadable, but verify that the complete context remains visible.
- Close unrelated notifications and windows before pressing Print Screen.
Capture a long message in sections
A normal screen capture records one visible viewport. For a long email, take several overlapping captures and label or arrange them in order. Overlap a line or two between images so a reader can verify continuity. If the goal is a complete, printable record rather than a visual screenshot, printing or saving to PDF is usually more appropriate.

Protect sensitive information
Review recipients, email addresses, signatures, phone numbers, attachments and notification banners. Crop or redact information that the recipient does not need. Do not assume a cropped preview protects data if the original image remains embedded in a document or upload.
Use Outlook’s print workflow when a document is better
Printing is the better choice when the recipient needs a readable record, page numbering or a file that can be printed later. Microsoft’s documented routes differ by client.
Classic Outlook for Windows
- Open the message.
- Choose File > Print.
- Select a printer and review the preview.
- Choose the available page, layout or range options, then print or select a PDF printer.
New Outlook and Outlook on the web
- Open the message.
- Use the message-level Print action (the location can differ between the web and new Outlook layouts).
- Check the browser or system print preview, select the destination and confirm the page range.
Print preview is important: it shows how headers, signatures and page breaks will appear. A PDF preserves a document rendering, not the surrounding Outlook application window.
Save as PDF on Windows
Microsoft documents Microsoft Print to PDF as the Windows workaround for supported messages. New Outlook and Outlook on the web do not list PDF among their default Save as types, so use the print command and select Microsoft Print to PDF when it appears in the printer list. The save dialog and exact print path can vary by Outlook client and Windows configuration.

Microsoft’s guidance covers Microsoft 365 and several perpetual releases, but no single ribbon path applies to every edition. If a menu item is missing, identify whether you are using classic Outlook, new Outlook or the web version before following a client-specific instruction.

Troubleshooting common capture problems
The pasted image is blank or shows the wrong window
Click Outlook immediately before using Alt+Print Screen. For Print Screen, paste into Paint to confirm what Windows placed on the clipboard. If another application had focus, repeat the capture with the email visibly active.
Only part of the email appears
That is expected for a viewport screenshot. Scroll and capture additional sections, or use print preview for a complete document-style output. A standard screen shortcut does not automatically stitch a long message into one image.
The Screenshot command is disabled
For Office’s insertion feature, click in the body of the message you are composing. The feature requires an open message and an insertion point in its body. If it remains unavailable, use the operating-system capture method.
PDF is not offered as a Save As type
In new Outlook and Outlook on the web, use the message’s Print action and choose Microsoft Print to PDF in the Windows printer list. If that printer is absent, check Windows optional printer components or use another installed PDF printer approved by your organization.

The printout has unexpected page breaks
Open print preview, adjust the page range or layout options offered by your client, and inspect every page before saving. The print result is a document rendering, so it can differ from the reading pane’s on-screen appearance.
Private information was captured accidentally
Do not send the first capture automatically. Open it in an editor, crop or redact the unwanted content, and inspect the saved file at full size. Re-capture with notifications and unrelated windows closed when possible.

Reliability, privacy and cost considerations
- Desktop capture: immediate and local, but limited to the visible viewport and dependent on your screen state.
- Print or PDF: better for complete, shareable records, but pagination and rendering depend on the Outlook client and print settings.
- API capture: repeatable and automatable, with controls for waits, authentication, cleanup and output format. Protect API keys and any message URLs or cookies used in requests.

Can I screenshot an email without opening it?
A normal screen capture records what is visible, so open the message first. Outlook’s Office screenshot insertion feature also requires an open message and an insertion point in the composing body.
Is a screenshot the same as an Outlook PDF?
No. A screenshot is an image of the visible interface or selected region. A PDF is a printable document rendering produced through the print workflow.
How do I capture a message that is longer than my screen?
Take overlapping screenshots while scrolling, or use print preview and PDF when a complete document-style record is more useful.
