Use a full-page capture when scroll position or page structure matters; otherwise a focused crop is faster and easier to understand. Before sharing, permanently cover personal data with an opaque overlay, then add labeled callouts, useful alt text, and—when the interface is complex—a full text equivalent.
Decide what the screenshot must prove
Start with the reader’s question, not the tool. A screenshot should have one purpose: showing a setting, documenting a defect, explaining a workflow, or preserving page structure. Google’s developer guidance recommends cropping to relevant information and introducing the image with a complete sentence. For example: “The account menu exposes the export control under Settings.” That sentence remains useful if the image fails to load.
- Focused crop: Use for a button, form field, error, or small region.
- Full-page capture: Use when the vertical relationship of sections, a scroll position, or the complete document is evidence.
- Viewport capture: Use when documenting responsive behavior at a specific width and height.
Capture at the viewport size relevant to the issue. A mobile defect documented only at desktop width is weak evidence, while a help article should normally show the smallest region needed to complete the task.
Capture a full webpage in a browser
Microsoft Edge Screenshot Tool
Edge’s built-in Screenshot Tool can capture a selected region or an entire webpage and provides drawing tools for notes. Open the page, then use Edge’s Screenshot command (the exact menu location can vary by current Edge release) and choose the full-page option when the page’s length or structure matters. Review the resulting image before exporting: sticky headers, lazy-loaded sections, cookie banners, and animated content can change what is visible.

- Load the page at the required desktop or mobile viewport.
- Wait for meaningful content and images to finish loading; scroll through the page once if sections load lazily.
- Open Screenshot and choose full-page capture or a region.
- Save the original capture before drawing on a copy.
- Annotate, export, and check the exported file at 100% zoom.
Browser capture is ideal for a one-off explanation. It is less suitable for repeatable jobs across many URLs because browser state, extensions, consent dialogs, and viewport settings can vary.

Build annotations readers can understand
Use labels, not visual guesswork
An arrow’s color, a circle’s position, or a larger font must not be the only carrier of meaning. Pair every marker with a short text label such as “1. Select Billing” or “Error appears after submit.” If the image is complex, provide a longer description beside it or below it. This makes the evidence usable for people who cannot see the image clearly and for readers who need searchable instructions.
Keep one visual system
Use the same marker shapes, numbering, stroke weight, and type scale throughout a guide. Unity’s documentation guidance emphasizes clear, consistent labels and callouts; marker sizes should remain proportional to surrounding text. A practical system is:
- Red numbered circles for the order of actions.
- Amber rectangles for fields or controls that need attention.
- Blue arrows for movement or direction.
- Opaque black or white blocks for redaction, never translucent decoration.
Keep labels short and place them outside the control when possible so the underlying text remains readable. Avoid covering the very value you are trying to document.

Write a useful caption and alt text
Introduce the image with a complete sentence that states its purpose. Alt text should identify the screen and the key result, for example: “Settings page with the Privacy tab selected; the highlighted Export data button is at the bottom.” For a dense flowchart or multi-step interface, add a complete text equivalent in the article rather than forcing readers to infer relationships from pixels. Google advises avoiding explanatory prose embedded in screenshot graphics because it harms accessibility and searchability and increases localization cost.

Redact personal information safely
Inspect the entire capture before publishing. Check browser tabs, address bars, account names, email addresses, avatars, order numbers, API keys, cookies shown in developer tools, and notifications that appeared during capture.
- Duplicate the original so an unedited evidence copy remains private.
- Select each sensitive region and cover it with a solid, opaque rectangle.
- Export to a flattened PNG, JPEG, WebP, or PDF and reopen the export.
- Zoom in and test whether text can be selected, copied, or recovered from layers.
Google recommends an opaque overlay rather than blur or mosaic effects. Blur can leave enough structure for reconstruction, and layered project files can expose the original underneath. Redaction is a publishing step, not an annotation style: use it wherever disclosure would identify a person, account, or secret.
Choose a repeatable annotation workflow
Desktop capture and annotation software
Dedicated tools are useful for documentation teams that repeat the same visual language. Compare them on label and callout consistency, export formats, collaboration, templates, and whether the original capture is preserved separately from the annotated derivative. A template with fixed marker sizes and caption conventions reduces review time and prevents every author from inventing a different style.

When a screenshot records an accessibility issue, keep three items together: the image, a precise defect description, and the proposed repair. Apple’s Accessibility Inspector can produce audit results containing screenshots, descriptions, and fix suggestions. The screenshot should show the affected state, while the text should identify the control, expected behavior, and reproduction steps.

Make screenshots accessible in the article
Accessibility applies to both the captured interface and the page where you publish it. W3C’s fundamentals include sufficient contrast, identifiable controls, labels, feedback, headings, and responsive layouts. When a screenshot documents one of those areas, preserve the evidence and describe what should change.
- Check foreground/background contrast and do not use color alone to identify a state.
- Describe which control is focused, selected, disabled, or missing a label.
- Include the heading hierarchy and any feedback message relevant to the defect.
- Explain behavior at the viewport width shown, including clipping or reflow.
- Provide keyboard context when the problem concerns focus order or discoverability.
Do not enlarge a screenshot until text becomes unreadable or rely on a tiny embedded image for essential instructions. Put the actionable steps in HTML text as well.

Text or controls are unreadable
Capture at the target device width, increase retina scale, and avoid shrinking a tall image into a narrow column. Put essential instructions in surrounding HTML and supply alt text.

Move labels outside the control, reduce stroke weight, and keep an untouched original. Never use a translucent blur to redact secrets; replace the area with an opaque block and verify the flattened export.
Authenticated content does not appear
Confirm that the session is valid, then provide the required cookies or Authorization header through your capture system. Avoid embedding credentials in a public URL or client-side code.

Can alt text replace a detailed explanation?
