If a deleted file is missing from the Windows Recycle Bin, it may have been permanently deleted, removed from OneDrive or a network location, automatically cleaned up, rejected because of the bin’s per-drive settings, or affected by a corrupted Recycle Bin. If the file matters, stop writing to the drive first. Then identify where it was stored, check the correct recovery location, and only reset the Recycle Bin after protecting any files still inside it.
First, identify where the file was deleted
Windows does not send every deletion to the same Recycle Bin. The correct next step depends on the original storage location and the way the file was removed.
Local internal or secondary drive
Pressing Delete in File Explorer normally moves an eligible local file to that drive’s Recycle Bin. The bin is backed by a hidden $Recycle.Bin folder on each volume, so a deletion from D: is not repaired by resetting only C:.
Permanent-delete commands and applications
Shift+Delete is intended to bypass the Recycle Bin. Command-line tools, cleanup utilities, archive programs, and application-specific delete dialogs can also use different deletion behavior. Emptying the Recycle Bin removes its ordinary restore path.

Cloud, network, and removable storage
OneDrive, network shares, USB devices, and other removable media can use recovery systems different from the local Windows bin. Do not assume that every USB deletion bypasses the bin; test the particular device and file system with a disposable file. Network locations may provide a server- or organization-managed recycle bin instead.
Run a harmless test
- Create a disposable text file on the same drive and in a similar location.
- Press Delete in File Explorer.
- Open the Recycle Bin and search for the test file.
If the test appears, the original file was probably deleted through a different method, location, account, or cleanup rule. If it does not, continue with the settings and repair checks below.
Make sure the Recycle Bin is visible and configured correctly
If the desktop icon is missing
On Windows 10 and Windows 11, open Settings > Personalization > Themes > Desktop icon settings, enable Recycle Bin, and select Apply. If every desktop icon is hidden, right-click the desktop, choose View, and enable Show desktop icons. Restoring the icon only restores access to the interface; it does not bring back deleted data. Check the setting for the drive that contained the file
- Right-click Recycle Bin and choose Properties.
- Select the relevant drive. Repeat this for each drive you use, especially if the file was on
D:,E:, or an external volume. - Ensure Don’t move files to the Recycle Bin. Remove files immediately when deleted is not selected.
- Review the Custom size allocation for that drive.
- Select Apply, then repeat the disposable-file test.
A very large file can exceed the allocation available to that drive’s bin, and a low custom-size limit can cause items to be removed when space is needed. Windows stores these controls per drive rather than as one universal setting.
Check OneDrive’s web Recycle Bin
A OneDrive folder in File Explorer is not always ordinary local storage. Online-only Files On-Demand items deleted from a synchronized folder may not appear in the computer’s Windows Recycle Bin; files deleted on OneDrive.com belong in OneDrive’s web Recycle bin. - Open OneDrive on the web and sign in with the account that owned the file.
- Select Recycle bin.
- Select the item and choose Restore.
- If it was in Personal Vault, unlock the vault or choose the option to show Personal Vault items.
Check personal, work, and school Microsoft accounts separately. Personal OneDrive items are normally deleted automatically after 30 days; work or school items are normally retained for 93 days, unless an administrator changes the policy. Personal Vault contents may remain hidden until the vault is unlocked. Microsoft’s account troubleshooting guidance is available at Find lost or missing files in OneDrive.

For SharePoint or Microsoft 365 work files, the SharePoint Recycle Bin is separate from Windows. An administrator may also have additional recovery options: Restore deleted items from the SharePoint site collection Recycle Bin.
Check Storage Sense before assuming the file vanished
Storage Sense can automatically delete old Recycle Bin contents according to its retention setting. Open Settings > System > Storage > Storage Sense and inspect the option for deleting files from the Recycle Bin. Disable automatic deletion or extend the period if appropriate, then check backups and cloud recycle bins immediately. Microsoft’s current documentation is Manage drive space with Storage Sense.

Reset a corrupted Recycle Bin
Use this step when Windows reports that the Recycle Bin on a drive is corrupted, the bin will not open or empty, or deletion behavior is broken only on a particular volume. Microsoft’s procedure is documented at The Recycle Bin is corrupted.
Warning: deleting the hidden bin empties that drive’s current Recycle Bin. Do not run this command if you still need files already stored there.
- Open Command Prompt by searching for it, right-clicking it, and selecting Run as administrator.
- Run the command for the affected drive:
RD /S /Q C:$Recycle.bin
Replace C: with the volume that contained the missing file, for example D:$Recycle.bin. Microsoft’s equivalent syntax is RD <Drive>$Recycle.bin /s /q.

- Restart Windows.
- Test with a disposable file.
Windows recreates the Recycle Bin container when needed. If multiple drives are affected, handle each relevant drive separately. Resetting the bin cannot recover a file that was permanently deleted, removed by Storage Sense, or stored only in OneDrive.

If the file is important, stop downloading, installing, copying, editing, or updating data on the affected drive. Do not install recovery software there, and do not save recovered files back to it. Continued writes can overwrite deleted data; SSD background management can make recovery especially time-sensitive.
Use existing backups first
- File History or Windows Backup.
- OneDrive or SharePoint recycle bins and restore tools.
- External backup drives.
- Application autosave or backup folders.
- Previous Versions, where available.
Try Windows File Recovery
Windows File Recovery is Microsoft’s free Microsoft Store utility for deleted files on local storage, including internal, external, and USB drives. It does not support cloud storage or network file shares.
- Use a recovery destination on a different drive, preferably a different physical device.
- Regular mode is intended for recently deleted files on relatively healthy NTFS drives.
- Extensive mode is for cases where Regular fails, the drive is corrupted, or deletion occurred longer ago.
- Recovered files may have generic names or incomplete folder paths, and success is not guaranteed.
- Do not create a new partition after data loss.
Use Microsoft’s current command syntax from its documentation for your installed version rather than copying an example blindly. If you cannot provide a separate destination drive or are uncomfortable with Command Prompt, stop before scanning.
When professional recovery is safer
Stop DIY attempts and consider a professional service when the drive clicks, disappears, reports hardware errors, is encrypted or failing, the data is irreplaceable, or repeated use could worsen the loss. For an ordinary replaceable file, a verified backup or cloud recycle bin is preferable to purchasing software immediately.

When recovery is unlikely
Recovery becomes less likely after the Recycle Bin or cloud retention period expires, new data overwrites the same sectors, an SSD completes TRIM and garbage collection, or the device develops physical faults. No tool can guarantee restoration. For irreplaceable data, preserving the original drive and obtaining specialist help is safer than repeated scans or installations.
