For a standalone image, Microsoft OneNote is the simplest documented route: insert the screenshot, choose Copy Text from Picture, paste into Word, and proofread. If the source is a scanned PDF, open it in desktop Word or use Acrobat’s OCR tools instead.
Choose the workflow that matches your file

OCR quality depends on the screenshot’s resolution, contrast and text clarity. Microsoft specifically warns that recognition accuracy depends on scan quality and clarity, so treat the first pass as a draft rather than a finished document.
Convert a screenshot with OneNote
1. Prepare the image
Use the original screenshot if possible, rather than a compressed copy pasted through a messaging app. Crop away browser chrome and unrelated graphics, straighten tilted text, and make sure letters are large enough to read at normal zoom. Typed or printed text is a much better target than handwriting.
2. Insert the screenshot into OneNote
- Open OneNote for Microsoft 365, OneNote 2024, OneNote 2021 or OneNote 2016.
- Open an existing page or create a new one.
- Choose Insert, then add the picture from your computer. You can also paste the screenshot directly onto the page.
3. Copy the recognized text
- Right-click the inserted image.
- Select Copy Text from Picture.
- Wait while OneNote performs OCR. Microsoft notes that the command may take time to appear for complex, illegible or text-heavy images.
OneNote places the recognized text on the clipboard; it does not turn the picture itself into a perfectly formatted Word page.

4. Paste into Word
- Open Word and create a new document or open the document that should contain the text.
- Paste the clipboard contents. Use Word’s paste options to keep plain text if you want to remove accidental font and spacing information.
- Save the file as a Word document, such as .docx.
5. Proofread and rebuild the layout
Compare the pasted text with the screenshot line by line. Check names, dates, prices, decimal points, punctuation, capitalization, symbols and line breaks. Then apply Word heading styles, lists, tables and paragraph spacing. OCR extracts words; it does not understand your intended document hierarchy.
Convert a scanned PDF in desktop Word
If the screenshot is already inside a PDF, Word has a different documented workflow:
- In desktop Word, select File > Open and choose the PDF.
- Accept Word’s notice that it will convert the PDF to an editable Word document.
- Review the converted text and save the result as .docx.
Microsoft’s guidance covers Word for Microsoft 365, Word 2024, Word 2021, Word 2019 and Word 2016 on Windows. Web and mobile versions can have different capabilities. Word’s conversion works best when the PDF contains ordinary text; a scanned page may require OCR first or may produce less usable results.
Expect small layout changes. Microsoft warns that images and multi-column designs can shift, and page and line breaks may change. Inspect headers, footers, columns, tables, captions and page numbers before sharing the document.

Adobe Acrobat’s scanned-PDF editing guidance says Acrobat automatically applies OCR to scanned documents for editing. Open the scan in Acrobat, allow the text recognition process to finish, and export or copy the recognized content into Word. Adobe recommends improving blurry or low-resolution images first. Acrobat is most useful when your source is a multi-page scan rather than a single screenshot.

What OCR can and cannot preserve
Text recognition
OCR identifies character shapes and produces selectable text. It can confuse similar characters such as “O” and “0,” “I” and “1,” or a period and a comma. Unusual fonts, colored text, shadows and low contrast increase errors.
Formatting and layout
A screenshot records appearance, not document structure. OneNote’s copied result is generally a text stream, so recreate headings, columns, indents and tables in Word. PDF conversion attempts more layout reconstruction, but complex designs can still shift.
Handwriting
Do not assume a handwritten note will convert cleanly. Microsoft states that handwritten text is seldom recognized in its Word scanning guidance; manual transcription is safer for important content.
Improve results before running OCR
- Use the highest-resolution original and avoid repeated JPEG re-saving.
- Crop to the text region and remove browser controls, cursor marks and decorative backgrounds.
- Increase contrast so dark text sits on a light, even background.
- Keep text horizontal and avoid perspective distortion.
- For a long page, process readable sections separately if one huge image produces missing lines.
- For tables, plan to rebuild the table manually and verify every cell.
Troubleshooting common failures
“Copy Text from Picture” is missing
Give OneNote time to analyze the image, then right-click again. The command may not appear immediately for complex, illegible or text-heavy pictures. Confirm that you are using a supported desktop OneNote edition and that the object is an inserted picture rather than an unsupported screen element.
The pasted text is empty or incomplete
Check image resolution and contrast, enlarge the text, crop distractions and retry. If the screenshot contains multiple columns or a dense table, OCR each logical region separately and compare it with the original.

Characters and numbers are wrong
Proofread every proper noun, account number, URL, date and decimal value. Zoom the source while checking; OCR mistakes are often visually plausible.
Word’s PDF conversion looks scrambled
Complex columns, floating images and unusual fonts can alter line and page breaks. Recreate the affected section with Word styles, text boxes or a table instead of trying to force the imported layout to match.

Use an OCR workflow approved for your organization. Avoid uploading confidential screenshots to an unapproved online converter, and delete temporary copies according to your retention policy.
Performance, accessibility and quality checks
For a one-page screenshot, OneNote is usually faster than rebuilding the text manually. For batches, establish a review process: retain the original image, record who checked the OCR, and verify high-risk fields independently. Use Word’s heading styles and built-in accessibility checker after formatting. If the screenshot is the only legal or archival record, keep it embedded or linked alongside the transcription so readers can verify the source.
