Use the shortcut or built-in capture tool for your operating system: Windows + Shift + S on Windows, Shift-Command-3/4/5 on macOS, or Settings > Screen Capture (or Shift + Ctrl + Show windows) on a Chromebook.
First identify your operating system
Laptop keyboard layouts differ, but screenshot software is built into Windows, macOS and ChromeOS. Choose the section matching your system; a Windows shortcut will not work on a Mac, and a Chromebook shortcut may use a key your external keyboard does not have.

Windows: use Snipping Tool without PrtScn
Capture part of the screen
- Press Windows logo key + Shift + S.
- When the capture bar appears, choose a mode: rectangular snip, freeform snip, window snip or full-screen snip.
- Drag over the area, select a window, or choose the full-screen option.
- Use the notification that appears to open the result in Snipping Tool, where you can annotate, copy or save the image.
This is the most flexible Windows method because it does not depend on a missing or disabled keyboard key. To use the complete interface instead, open the Start menu, search for Snipping Tool, and select the app.
Try the alternate keyboard combination
Microsoft documents Fn + Windows logo key + Space Bar for devices without a PrtScn button. Fn behavior varies by laptop model, so the combination may do nothing or be assigned differently. If it fails, return to the on-screen Snipping Tool controls rather than changing random function-key settings. Microsoft’s instructions are available in its keyboard-shortcut support article.

Where the Windows image goes
Windows may place the capture on the clipboard first and show a Snipping Tool notification. Open that notification to choose Save, then select a folder and image format. If you only need to paste it into an email, chat or document, use the copy control in Snipping Tool and press Ctrl + V in the destination.

Mac: use Screenshot shortcuts
Capture the entire display
Press Shift-Command-3. macOS captures the full screen and saves the file to the desktop by default.

Capture a selected area
Press Shift-Command-4. The pointer changes to a crosshair. Drag across the area you want, then release. To cancel before releasing, press Escape.

Open all Screenshot controls
Press Shift-Command-5 to open the Screenshot app’s control bar. In macOS Mojave 10.14 and later, this panel provides full-screen, window and selected-area capture, plus screen-recording controls and an Options menu. Use Options to change the save location from the desktop.

When a Mac shortcut appears not to work
- Press the keys together rather than holding one key for several seconds.
- Use Shift, Command and the number or 4/5 key on the laptop keyboard, not a function-layer substitute.
- Open Applications > Utilities > Screenshot (or search for Screenshot with Spotlight) and use its buttons if the shortcut has been changed.
- Check the Screenshot app’s Options menu when you cannot find the saved file; the destination may have been changed from Desktop.
Chromebook: capture without a Screenshot key
Use Screen Capture from Settings
- Open Settings.
- Select Screen Capture.
- Choose a screenshot mode and follow the on-screen selection controls.
Use the Chromebook shortcut
Press Shift + Ctrl + Show windows. The Show windows key normally looks like a rectangle with two lines beside it. Select the capture option and drag or choose the screen area.
Use an external keyboard fallback
If an external keyboard has no Show windows key, Google documents Ctrl + Shift + F5 as the fallback. ChromeOS automatically copies screenshots and recordings to the clipboard, so paste with Ctrl + V into an editor, message or document. Choose the right capture mode
- Full screen: useful for showing an entire desktop or a complete app window.
- Selected area: best for a single error message, chart or part of a webpage, with less private information exposed.
- Window capture: isolates one application without manually trimming other windows.
- Screen recording: available from Windows Snipping Tool, macOS Screenshot and ChromeOS Screen Capture when a still image cannot explain the problem.
Troubleshooting when no image appears
The shortcut does nothing
Confirm that you are using the correct operating system combination. On Windows, try opening Snipping Tool from the Start menu. On macOS, open Screenshot directly. On ChromeOS, use Settings > Screen Capture. Laptop Fn layers and remapped keys can change behavior, especially on compact or external keyboards.

You cannot find the saved file
On macOS, check the desktop first, then the location shown under Screenshot’s Options menu. On Windows, look for the Snipping Tool notification and use Save, or paste the clipboard contents into an app. On ChromeOS, paste with Ctrl + V because the system copies the capture automatically.
The wrong area was captured
Use a selection mode instead of full screen, start the shortcut again, and drag from one corner to the opposite corner. Window capture is safer when a browser or app has overlapping panels.
A website contains private information
Select only the relevant region, close unrelated windows before a full-screen capture, and review the image before sharing. Built-in tools do not automatically remove account names, notifications or chat content from a screenshot.

Practical reliability and cost notes
- For a one-off image of what is currently on your laptop, the built-in tool is fastest and costs nothing.
- For a webpage that must be captured consistently, specify the viewport, wait condition, cookies and hidden selectors instead of relying on a manual drag.
- Check X-Page-Verdict and X-Billed in API responses so your workflow can distinguish a clean billed shot from a failed or non-billed result.
- Use a cache TTL when the page does not change frequently; disable or shorten caching when fresh content is required.
- Protect API keys by keeping them out of client-side webpages and committing them to neither source control nor screenshots.

Can I take a screenshot with only a mouse or trackpad?
Yes. Open Snipping Tool, Screenshot, or ChromeOS Screen Capture from the app list or Settings and use its on-screen capture controls; no screenshot key is required.
Which shortcut captures only one application window?
Windows Snipping Tool and macOS Screenshot both offer window capture. Open the relevant capture interface and choose the window mode rather than dragging a rectangular selection.
Do these methods work with an external monitor?
They capture according to the operating system’s screen and window controls. If the result is unexpected, use the on-screen tool and explicitly select the monitor, window or region shown there.
