In Word for Windows, click where the image should appear, then choose Insert > Screenshot. Select a window under Available Windows for a full-window image, or choose Screen Clipping and drag over a region. On a Mac, take the screenshot with a macOS shortcut, save it, and use Insert > Pictures > Picture from File. The steps below cover Word for Microsoft 365 and Word 2024, 2021, 2019 and 2016, with platform differences called out.
Insert a screenshot directly in Word on Windows
The built-in command is the quickest route when the content you need is already visible in another application window. Word places the image at the document’s insertion point, so click in the exact paragraph or table cell before opening the capture menu.
- Place the insertion point. Click in the document where the screenshot belongs.
- Open the capture gallery. Select Insert on the ribbon, then choose Screenshot.
- Choose a capture type. Select a window thumbnail under Available Windows to insert that entire window. For a precise area, select Screen Clipping, then drag a rectangle over the region you want.
- Adjust the inserted picture. Click the new image to expose Word’s picture-formatting tools. Use those tools to make any needed visual adjustments.
Word captures one screenshot each time you invoke the command. Repeat Insert > Screenshot whenever you need another image.
What appears in Available Windows
Microsoft states that only windows that have not been minimized to the taskbar can be captured. If the application you need is minimized, restore it first. For clipping, Word uses the first available window in the gallery as the screen behind the selection overlay. If the desired window is not first, activate that window, return to Word, and reopen Insert > Screenshot; activating it moves it to the first position for clipping.

Capture only part of the screen
Screen Clipping is appropriate for a dialog box, chart, web section, or any other region that would be excessive as a full-window image.
- Open the application containing the material and make sure it is not minimized.
- Switch back to Word and click the destination location.
- Choose Insert > Screenshot > Screen Clipping.
- When the screen fades, drag from one corner of the required region to the opposite corner, then release.
- Word inserts the selected rectangle at the cursor. Repeat the command for additional regions.
Activate the intended source window immediately before returning to Word if the wrong application appears behind the clipping overlay. This avoids capturing a similarly sized window or selecting the wrong screen content.
Add a screenshot on a Mac
Microsoft’s Mac workflow is a two-stage process: macOS creates the image first, and Word then inserts the saved file. By default, the capture is saved on the Desktop according to Microsoft’s instructions.
Capture the entire display
Press Shift + Command + 3. macOS saves an image of the full screen.

Capture a selected area
Press Shift + Command + 4, then drag over the area you want. Release the pointer to save the selection.
Capture one window or menu
Press Shift + Command + 4, then press Space. Click the window or menu to capture it.
Insert the saved image in Word
- Click in Word where the picture should appear.
- Choose Insert > Pictures > Picture from File.
- Open the Desktop (or the folder you selected for screenshots) and choose the newly created image.
- Select the inserted picture to access Word’s picture-formatting tools.
This saved-file route is useful when you want to keep the original capture outside the document, edit it before insertion, or reuse it in several documents.
Use Windows Snipping Tool instead
Windows 10 and Windows 11 include Snipping Tool, which is a practical alternative when Word’s gallery does not show the right window or when you want an editing step before insertion. It supports freeform, rectangular, window, and full-screen snips.

- Open Snipping Tool and choose the capture shape that matches your target.
- Make the selection, or choose a window/full-screen capture.
- Use the Snipping Tool window to edit, save, or share the result.
- In Word, click the destination and choose the picture-insertion command (for example, Insert > Pictures > This Device), then select the saved snip.
Saving first gives you a durable image file and lets you crop or mark up the capture before it becomes part of the document. The direct Word command is shorter when no intermediate file is needed.

Troubleshooting
The window I need is missing
Restore it from the taskbar. Minimized windows are excluded from Word’s gallery. If you are using Screen Clipping and the wrong window is behind the overlay, activate the intended window, return to Word, and reopen the Screenshot menu so that window becomes first.
Screen Clipping selects the wrong application
Word’s clipping command uses the first available window. Do not leave another application active when you reopen the gallery. Bring the desired source to the foreground immediately before switching back to Word.
Nothing appears at the expected location
Word inserts the image at the insertion point. Click inside the document before opening the command; if the cursor was in a different paragraph, text box, header, or table cell, the screenshot will be placed there instead.

I need another screenshot
The command inserts one image per invocation. Close any formatting selection if necessary, click the next destination, and run Insert > Screenshot again.
The capture needs markup or a permanent file
Use Snipping Tool on Windows, or one of the macOS shortcuts followed by insertion from the saved file. Both approaches provide an image you can retain independently of the Word document.
The ribbon labels differ
The cited Microsoft guidance covers Word for Microsoft 365 and Word 2024, 2021, 2019, and 2016, including Mac editions for the listed versions. Ribbon wording and feature availability can vary by edition. The direct Screenshot gallery described here is the Windows desktop workflow; Mac instructions use a system capture followed by picture insertion.
