Short answer: Windows’ Snipping Tool captures only what is displayed on screen. To preserve an Outlook message that continues below the fold, use Outlook’s Print command and choose Microsoft Print to PDF on Windows. That creates a complete, paginated document—not one continuous, extra-tall image. If you specifically need an image, capture the visible sections in several snips and combine them, or print the message to PDF and convert the pages to images.
The exact command depends on whether you use classic Outlook for Windows, new Outlook, or Outlook on the web. The steps below separate those interfaces and explain what each method actually produces.

Microsoft describes Snipping Tool as capturing “all or part of your PC screen,” while its Outlook guidance documents printing an entire message. Those are different operations: a screenshot records pixels currently rendered; printing lays out the message across pages.
Capture the visible part with Snipping Tool
Use this when the portion you need fits on screen or when an image is mandatory.

- Open the email in Outlook and scroll to the exact area you want to show. Resize or move the window so the sender, subject, date and relevant body text are visible.
- Press Windows logo key + Shift + S. The screen dims and Snipping Tool’s capture bar appears.
- Choose a mode: rectangular snip for a custom area, window snip for the Outlook window, or full-screen snip for every monitor.
- Drag over the content. The capture is copied to the clipboard and a notification opens Snipping Tool.
- Select the notification to annotate or crop, then choose Save and select PNG or another available image format. You can also paste the clipboard image directly into Paint, Word or a chat.
For a quick full-screen copy, press Print Screen. For only the active Outlook window, press Alt + Print Screen, then paste into an image editor. Neither shortcut automatically scrolls through an email.
Making a long email readable as images
If a recipient insists on images rather than a PDF, take overlapping Snips while scrolling down the message. Keep the same window width and zoom level, include a small overlap between captures, and name files in order (for example, email-01.png, email-02.png). Join them vertically in an image editor only after checking that text has not been duplicated or omitted. This is manual and can produce a very tall file; PDF is usually easier to search, print and archive.
Save the entire message as a PDF in classic Outlook
These instructions apply to the desktop application commonly labeled classic Outlook. Microsoft’s print support page describes the whole-message route as opening the message and selecting File > Print.
- Double-click the message so it opens in its own window. This avoids printing the condensed reading-pane view.
- Select File, then Print.
- In the printer list, choose Microsoft Print to PDF.
- Check the preview. Use page-range controls if you need only certain pages; otherwise leave all pages selected.
- Select Print, choose a folder and filename, and save the PDF.
The output includes the portions Outlook sends to the printer, distributed over one or more pages. Headers, signatures, tables and images can reflow according to the print layout. Review the preview before sharing, especially when the message contains wide tables or large graphics.

- Open the message and choose View in Browser.
- In the browser, select the text or section you need.
- Open the browser’s print command (usually Ctrl + P).
- Choose the browser’s Selection page-range option if it is offered, then print to a printer or PDF.
This is not a universal Outlook command. The wording and availability depend on your classic Outlook and browser versions.
Save an entire message from new Outlook
New Outlook has a different toolbar and menu structure. Microsoft’s current guidance says to select the message’s Print action, which opens the print preview and the operating system’s printer dialog.
- Open the email (or select it in the message list).
- Choose Print from the message toolbar or the More actions menu (the three-dot icon). If you do not see it, open the message in its own window and check the three-dot menu again.
- In the printer selector, choose Microsoft Print to PDF.
- Review page orientation, margins and page range in the preview.
- Select Print, then provide a filename and location.
If your screen does not match these labels, Microsoft notes that you may be using classic Outlook. Do not use a classic-only path such as File > Print when that menu is absent; use the message’s print action instead.

Outlook on the web (Outlook.com or an organization’s Microsoft 365 web mailbox) prints through the message menu and your browser or system print dialog.
- Open the message in your browser.
- Select the message’s Print command. It may be directly visible or inside the three-dot More actions menu.
- When the print dialog appears, select Microsoft Print to PDF if you are on Windows, or your platform’s PDF destination.
- Set the page range and layout, inspect the preview, and save the file.
Microsoft’s save-as guidance distinguishes the web, new Outlook and classic Outlook flows. A PDF destination is documented for Windows printing; the web and new-Outlook save menus do not necessarily offer a direct “Save as PDF” file type before the print dialog.

Protected messages and blocked screen capture
Outlook on the web can apply screen-capture protection to a message. In that case, the browser window may block screen capture. Microsoft’s protected-message guidance says refreshing the page re-enables screen capture. That does not override your organization’s permissions or remove protection from the message. If refresh does not help, ask the sender or administrator for an approved copy or export method rather than attempting to bypass the control.
Why a PDF is usually better than one giant screenshot
- Legibility: text remains selectable and searchable instead of being downscaled inside a very tall bitmap.
- Pagination: page breaks, headers and print previews expose missing content before you send it.
- Smaller sharing footprint: a compressed PDF is often easier to email than a multi-megapixel stitched image.
- Evidence preservation: the PDF keeps the printed header and body layout, while a crop can accidentally omit sender, date or subject details.
A PDF is still a rendition of the message. Dynamic content, blocked remote images, animations and interactive links may not appear as they do in the reading view. If exact on-screen appearance matters, take screen captures as well and label them clearly.

Common problems and fixes
The screenshot stops at the bottom of the window
That is expected: Snipping Tool and Print Screen are screen-based. Use Outlook’s Print command for the full message, or take multiple overlapping captures.
There is no Microsoft Print to PDF option
On Windows, open Settings > Bluetooth & devices > Printers & scanners and confirm the virtual printer is installed. On a managed computer, an administrator may have removed it. You can still use Outlook’s print preview and an approved PDF printer supplied by your organization.
The print command is missing
Open the message in its own window, then inspect the three-dot More actions menu. New Outlook and web Outlook do not use the classic File > Print path. If the interface still differs, identify whether the app is classic Outlook, new Outlook or a browser tab before following a version-specific guide.

Images or a signature are missing
Remote images may be blocked by Outlook’s privacy settings or unavailable when printing. Allow images only if your organization permits it, then reopen the message and preview again. For sensitive mail, do not enable external content merely to improve a screenshot; ask for an approved copy.
The pages are cut off or too wide
Use the print preview’s portrait/landscape, scaling and margins controls. Landscape can help with wide tables, while portrait is usually easier to read for ordinary messages. Check every page before saving.
A protected web message will not capture
Refresh the Outlook on the web page, as Microsoft recommends. If capture remains blocked, respect the protection policy and request a permitted export or printed copy.
Mobile Outlook does not offer a scrolling email screenshot

Privacy and sharing checklist
- Check that the message can legally and safely be shared; email may contain personal, financial or confidential data.
- Include enough header information to establish context, but redact addresses, phone numbers and tokens that the recipient does not need.
- Inspect every PDF page and every stitched image for hidden recipients, quoted history and attachments.
- Use your organization’s approved storage and transfer method. Do not upload private mail to an external screenshot service unless its access and data-handling requirements are authorized.
- Keep the original message or .eml file when evidentiary integrity matters; a screenshot or PDF is a rendition, not the original mailbox record.
Frequently Asked Questions
Can Outlook create one tall PNG of an entire email?
Microsoft’s documented Outlook workflow prints the message to pages or PDF; it does not document a single continuous PNG export. Use multiple Snips and stitch them if an image is required.
Will printing include the quoted conversation below the newest reply?
It includes whatever content is expanded and included in the print preview. Expand collapsed quoted text before printing, then verify the preview.
What should I use on a Mac?
The Windows shortcuts and Microsoft Print to PDF steps in this guide do not apply. Use Outlook’s Print command and the macOS PDF menu, or your organization’s approved capture workflow.
