The quickest way to screenshot an email is to open it, show the part you need, and use your laptop’s built-in capture shortcut. On Windows, press Windows + Shift + S; on a Mac, press Shift-Command-4; on a Chromebook, press the Screenshot key or Shift + Ctrl + Show windows. Select the message area, review the image, crop or redact private details, and save or copy it. If you need a searchable, printable record of a long email, use your browser’s Print command and choose Save as PDF instead.
Choose the right capture before you start
Decide what you are making first. A screenshot is an image suited to quick sharing, support tickets, or showing a single paragraph. A PDF is better for archiving, searching, printing, or preserving a long message without stitching several images together.

How to screenshot an email on Windows 10 or 11
- Open the email. Position the message so the subject, sender, dates, or paragraph you need are visible. Close unrelated tabs and notifications first.
- Open Snipping Tool. Press Windows logo key + Shift + S. Microsoft identifies this shortcut as the Snipping Tool overlay.
- Choose a capture mode. Select rectangular, free-form, window, or full-screen mode. Rectangular mode is usually the cleanest for an email body; window mode captures the complete mail window.
- Select the content. Drag around the required message area, or click the email window when using window mode. For a long message, take several logically overlapping captures rather than shrinking text until it is unreadable.
- Edit and inspect. The snip is copied to the Snipping Tool window. Crop it, add an annotation if needed, and use its text actions or quick-redact option when recognized email addresses or phone numbers should be hidden.
- Save or copy. Use Ctrl+C to copy the image or Ctrl+S to save it. Open the saved file once and check that no private detail, browser tab, or notification remains visible.
Capture only part of an email on Windows
Use rectangular mode and start just above the first line you need. Include enough of the subject or sender to explain the context, but exclude other messages in the inbox. If the text runs below the screen, scroll and make a second capture; label the files in order.
Capture the whole email window on Windows
Choose window mode and select the mail application or browser window. This is useful when a recipient needs to see the sender, subject, and message together, but it may also include folders, account names, or other identifying information. Crop those areas before sharing.

How to screenshot an email on a MacBook
- Open and position the email. Put the relevant text and identifying context on screen. Hide notifications if they could expose private content.
- Select an area. Press Shift-Command-4, then drag over the email portion. Release the trackpad or mouse to capture it.
- Capture the email window. Press Shift-Command-4, press Space, and click the window when the pointer changes to a camera icon. This captures the complete window.
- Capture the entire display only when necessary. Press Shift-Command-3. A full-display image can include menus, other applications, and notifications, so it normally requires more redaction.
- Edit and choose a destination. macOS normally saves the image to the Desktop after the thumbnail disappears. Click the thumbnail to edit it, or use the thumbnail options to save the result to the Clipboard instead.
Where Mac screenshots go
Look on the Desktop for the saved image. If you selected the Clipboard option, paste it directly into Mail, Messages, a document, or an image editor. Rename files immediately when making several captures from one email.
How to screenshot an email on a Chromebook
- Open the email and position the required content.
- Start Screen Capture. Press the Chromebook’s dedicated Screenshot key. If your keyboard has no such key, open Settings and choose Screen Capture, or press Shift + Ctrl + Show windows.
- Choose a scope. Select full-screen, partial, or window screenshot. Partial capture is usually best for a message paragraph; window capture keeps the email context.
- Review the result. Chromebook lets you review, delete, or share the image. Screenshots are saved in the Downloads folder by default, and Screen Capture settings let you change the destination.
- Protect privacy. Open the file from Downloads, crop it, and cover information that the recipient does not need.
Save an email as a PDF instead of a screenshot
Use PDF when the email is several screens long, must remain searchable, or needs to be printed. In Chrome on Windows or Linux, press Ctrl + P; in the print preview, set the destination to Save as PDF, choose a location, and save. The exact labels can vary by browser and mail service, but the browser print dialog is the route to look for.
- Open the email in its own view if your mail service offers that option.
- Remove unrelated quoted history or collapsed sections when the service allows it.
- Open the browser’s print command.
- Select Save as PDF and check the preview for missing text, awkward page breaks, or private inbox content.
- Save the PDF with a descriptive filename and inspect it before sending. A PDF can retain selectable text and metadata, so treat it as sensitive as the original email.
Privacy checklist before you share
- Capture only the message area needed for the question or record.
- Check the subject, sender, recipients, signatures, attachment names, account identifiers, browser tabs, bookmarks, and desktop notifications.
- Crop or redact names, email addresses, phone numbers, and message text that are irrelevant.
- Do not rely on a crop in an editable project file. Export the final image or PDF, reopen that exported file, and verify that hidden information is not still accessible.
- Use a separate capture for each unrelated section rather than exposing an entire inbox.

Troubleshooting common problems
The shortcut does nothing
Make sure you are using the laptop’s platform shortcut, not a shortcut from a different operating system. On a Chromebook without a dedicated Screenshot key, use Shift + Ctrl + Show windows. On Windows, open Snipping Tool from the Start menu if the overlay is blocked, then use its capture control.

The screenshot is blurry or text is unreadable
Capture at the laptop’s native scale and select a tighter region instead of enlarging a tiny crop. For a long message, make multiple captures or save a PDF; shrinking the entire email into one image reduces legibility.
The bottom of the email is missing
A normal screenshot captures only what is currently rendered. Scroll, capture the next section, and keep a small overlap so the sequence is understandable. Use Save as PDF when a continuous document is more useful.
Images or formatting are absent in the PDF
Wait for the email’s images to load, expand any content the mail service hides, and check the print preview before saving. If the service offers a “show images” or “print view” command, use it before opening the browser print dialog.

Private information was included accidentally
Do not forward the file as-is. Delete it, make a fresh capture with a smaller scope, or redact the exported copy and reopen it to verify the redaction. Check both the visible image and any editable source file.
The screenshot saved somewhere unexpected
Windows saves through Snipping Tool’s chosen path; macOS normally uses the Desktop unless you select Clipboard or another destination; Chromebook normally uses Downloads. Use the application’s save or Screen Capture settings to choose a known folder.
