How to Take a Screenshot with Power Automate Desktop

To capture a monitor or the active application window in Power Automate Desktop, add Workstation > Take screenshot to your desktop flow. Select the screens or foreground window to capture, choose File or Clipboard as the destination, and, for a file, provide a complete path and image format. Use the separate UI automation or browser automation screenshot actions when your target is a control or a webpage rather than the desktop itself.

Take a screenshot of a screen or window

The Workstation action is the correct starting point for a monitor image or the application currently in front of the user. It runs as part of a desktop flow, so you can place it before or after other actions such as opening an application, navigating a menu, or waiting for a dialog.

  1. Open your desktop flow in Power Automate Desktop.
  2. In the Actions pane, expand Workstation and drag Take screenshot into the flow.
  3. In Capture, choose the area to record: All screens, Primary screen, Select screen, or Foreground window.
  4. If you selected Select screen, enter the numeric value for Screen to capture.
  5. Set Save screenshot to to File or Clipboard.
  6. For a file, enter the full destination in Image file, then select an Image format.
  7. Save the action and run the flow. Verify the file at the path you supplied or paste the clipboard result into an image editor.

All screens is the documented default capture scope. A file path should include the file name and extension, and the account running the flow must be able to write to that location.

Choose the capture scope

All screens

Use this when a workstation has more than one display and the resulting image should represent the complete desktop arrangement. The action includes the connected screens in one capture according to the desktop layout.

Primary screen

This limits the capture to the display Windows identifies as primary. It is useful when a second monitor contains unrelated information that should not be included.

Select screen

Choose this option when you need a particular display rather than the primary one. Supply its numeric screen value in Screen to capture. If the flow is moved to a machine with a different display arrangement, check that the numeric mapping still identifies the intended monitor.

Foreground window

This captures the window currently in front of the desktop instead of the entire monitor. Put the target application in the foreground before this action runs. A dialog, notification, or another application that takes focus can therefore change what is captured.

Save to a file or the clipboard

File output

Choose File when a later flow step, an audit record, an email attachment, or a support bundle needs a persistent image. Enter a complete path in Image file. Select the format required by the next system. The documented formats are:

  • BMP (the documented default)
  • EMF
  • EXIF
  • GIF
  • JPG
  • PNG
  • TIFF
  • WMF

Use a unique name when a flow can run repeatedly; otherwise a later run may overwrite an earlier capture or fail because the destination cannot be written. If another action consumes the image, keep the path in a variable so the same value is passed consistently.

Clipboard output

Choose Clipboard when the next operation is a paste into an application or when you do not need a permanent file. Clipboard capture can fail independently of the visual capture, so test the paste step on the machine and account used by the flow.

Use the action that matches your target

Power Automate Desktop has three different screenshot actions. They are not interchangeable settings inside the Workstation action.

Capture one application control

For a button, panel, table, or other application element, first identify the element with Power Automate Desktop’s UI automation tools. Add Take screenshot of UI element, supply that captured UI element, and choose Clipboard or File. When saving to a file, provide the image path and select the format. This produces an element-level image instead of a crop based on the whole monitor.

If the action reports that the element is missing, make sure the application is open, the relevant window is visible, and the stored UI element still matches the current interface. A changed control, window state, or application instance can prevent the element from being found.

Capture a webpage

Use Browser automation > Take screenshot of web page when the target is content rendered in a browser automation instance. The action requires a browser instance that your flow has opened or attached to.

  1. Create or attach the browser instance before the screenshot action.
  2. Add Take screenshot of web page from the Browser automation actions.
  3. Choose Entire web page for the complete page or Specific element for one element.
  4. Set the destination to Clipboard or File.
  5. For file output, set the path and image format, then run the flow.

A specific-element capture can fail when the element is not present in the current page state. Add the page navigation, wait, or element-identification steps required to reach the correct state before taking the screenshot. A missing browser instance, failed file save, or failed clipboard operation has its own error path and should be diagnosed separately from page content.

Image-based automation is a different feature

The Images tab in the flow designer includes Capture image. Select it and drag over an area, or use timed capture or a custom delay. This creates a reference image for image-based automation. It is distinct from the Workstation screenshot action: the latter is an output capture that writes to a file or clipboard, while the Images tab is used to acquire a visual reference for matching.

Unattended flows: UAC and session access

An unattended flow can fail even when the same action works interactively. Microsoft documents a failure in which a security policy affecting the UAC administrative prompt prevents screen access. If a screenshot fails only in unattended execution, check whether a UAC prompt is blocking UI automation and follow the policy-specific resolution for that machine. Do not assume that changing a flow parameter will fix a session-level security block.

Other unattended checks include:

  • Confirm that the run has an interactive desktop session with the intended display configuration.
  • Verify that the service or user account can write to the selected folder.
  • For Foreground window, ensure the intended application actually has focus at capture time.
  • For a browser or UI-element action, confirm that the browser instance or UI element exists in the unattended session.
  • Check whether a prompt, lock screen, or unexpected dialog has replaced the expected visual state.

Diagnose a failing step with before-and-after captures

For a flow that fails unpredictably, add a screenshot immediately before and immediately after the suspected action. Save both to files with names that identify their position, such as before-step.png and after-step.png. The pair shows whether the page, window, prompt, or display changed as expected.

When using error handling for this investigation, temporarily configure the failing action to continue or capture the diagnostic image as appropriate. After identifying the cause, restore the original On error behavior so the production flow does not silently continue past a real failure.

Practical reliability and file-handling guidance

Capture the state you intend

Place navigation, window activation, or browser actions before the screenshot and make the capture the next meaningful step. A foreground-window screenshot records whichever window owns focus at that instant; it does not know which application you intended.

Use deterministic destinations

Build a predictable directory and file name for each run. Include a run identifier or timestamp when retaining evidence from multiple executions. Before deploying unattended runs, test creation, replacement, and access to that directory under the actual run account.

Select a format for the consumer

Use the format accepted by the next action or reporting system rather than converting later. If another system expects a lossless image, select an appropriate lossless format from the available list; if it explicitly requires a Windows metafile, select EMF or WMF. The action’s documented default is BMP, so set the format explicitly when the default is not suitable.

Separate capture errors from save errors

A screenshot can fail while being taken, while being written to a file, or while being placed on the clipboard. The error message and a before-and-after diagnostic pair help identify which stage failed. Fix the corresponding condition instead of changing the capture scope blindly.
