How to Build a No-Code Web Scraper in Zapier (RSS, APIs, and Safe Alternatives)

You can build a useful no-code “web scraper” in Zapier when the website exposes structured data through an RSS feed, a searchable app action, or an API. Zapier’s documented tools do not provide a universal browser that can extract arbitrary page text. Start by identifying which of those three interfaces your source offers; then connect the result to a spreadsheet, database, alert, or other app.

What Zapier can—and cannot—scrape

In Zapier, “scraping” usually means collecting newly published records and sending them somewhere else automatically. The reliable paths are:

  • RSS: monitor one or more feeds for new items.
  • An app search action: query records exposed by a Zapier integration.
  • An API endpoint: request structured JSON or XML with Webhooks by Zapier or API by Zapier.

These methods do not turn Zapier into a general-purpose browser scraper. If a site only renders data inside an HTML page and publishes no feed, app action, or documented API, investigate a purpose-built collection service or another documented connector. Check the target service’s terms, authentication rules, and automation policy. Do not bypass logins, CAPTCHAs, rate limits, or technical restrictions.

Choose the right collection route

Compare the fields returned, how often data must be checked, authentication, and platform limits before building the workflow. A feed that omits an author, price, or identifier cannot supply that field to later Zap steps.

Method 1: Monitor an RSS feed

RSS is normally the simplest and most dependable option because the publisher has already made the content machine-readable.

  1. Open the Zap editor and choose RSS by Zapier.
  2. Select New Item in Feed for one feed, or New Items in Multiple Feeds for several.
  3. Enter the feed URL and test it. Confirm that the sample contains the fields you need, such as title, URL, publication date, author, and description.
  4. For change detection, use Different Guid/URL. Zapier recommends this default for most scenarios. Use Different Content when the same item’s content changes, or Anything is Different when any feed-field change should trigger the Zap.
  5. Add an action such as Google Sheets, Airtable, Notion, email, or Slack. Map only the fields required downstream.
  6. Turn on the Zap and create a test item or wait for the next permitted feed update.

RSS limits to plan around

Zapier’s documented RSS feature stores the 50 most recent feed items. Stored items clear after 14 days without new additions. If you use Create Item in Feed, the data limit is about 10 KB, and that action has no edit or remove operations. Zapier also states that its servers cannot access Craigslist RSS feeds. Verify current limits in your account because plan behavior can change.

Method 2: Poll a searchable source on a schedule

Use this design when an app integration or API can search records but does not offer a suitable event trigger.

  1. Choose Schedule by Zapier as the trigger.
  2. Select an interval such as every hour, day, week, or month, or configure a custom frequency.
  3. Add the relevant app search action or API request. Include a query, date boundary, status, or other server-supported filter.
  4. Add a Filter step so later actions continue only when a matching record exists.
  5. Send the result to your destination and store a stable identifier or URL so you can avoid duplicates on the next run.

Scheduling controls when Zapier checks; it does not create a data source. If the search action cannot return the field you need, changing the interval will not solve the problem.

Method 3: Request an API with Zapier

Choose Webhooks by Zapier or API by Zapier

Zapier positions Webhooks by Zapier for endpoints with no authentication or Basic authentication. Use API by Zapier when the service requires OAuth2, an API key, or credentials held in an app connection. Zapier’s official Help Center documentation, “Send webhooks in Zap workflows” (updated August 10, 2026), recommends familiarity with HTTP requests, APIs, and API documentation.

Configure a GET request

  1. Add a trigger, usually Schedule by Zapier or an app event.
  2. Add Webhooks by Zapier and choose GET to retrieve data.
  3. Enter the documented URL. Put query parameters in the URL or the tool’s data fields exactly as the API specifies.
  4. Set authentication, headers, and accepted format as required. Never paste a secret into a field that will be exposed to downstream users.
  5. Test with a small, permitted query. Inspect the response and map only stable fields.
  6. Use a Filter step, then write the record to your destination.

Webhooks also supports POST and PUT for sending or updating data, plus Custom Request for other methods or more flexible JSON/XML payloads. A malformed body, incorrect content type, or wrong authentication scheme commonly causes a 4xx response.

Build a complete example workflow

Suppose a vendor publishes a product API and you want a daily alert for records marked “in stock.” Build:

  1. Schedule by Zapier: once per day.
  2. Webhooks by Zapier — GET: request the vendor’s documented endpoint with the permitted status query.
  3. Filter by Zapier: continue only when the response contains at least one matching record.
  4. Formatter or loop step: split multiple records if the response returns an array.
  5. Google Sheets/Airtable: save the stable product ID, URL, name, price, and retrieval time.
  6. Email or Slack: send a link to the saved record.

Run a small test first. Check that dates, numbers, pagination, empty results, and duplicate IDs behave as expected before enabling a high-frequency schedule.

Limits, reliability, and cost checks

Plan availability

Zapier’s send-webhooks documentation says Webhooks by Zapier is not available on the Free plan and lists Professional, Team, and Enterprise availability. Confirm the entitlement shown in your current account before designing around webhooks.

Payload and rate limits

Zapier documents a maximum of 10 MB for webhook triggers and a 2 MB limit for Catch Raw Hook. APIs and target services may impose lower request, pagination, or concurrency limits. Keep responses small with server-side filters and request only needed fields. Add backoff or a less frequent schedule when the destination documents rate limits.

Duplicates and missed records

Use a source GUID, record ID, or canonical URL as your deduplication key. RSS detection depends on the feed’s GUID/URL and content behavior. For scheduled searches, persist the last successful timestamp or ID when the API supports a reliable ordering field. Decide how to handle an empty response, a partial page, and a failed run before turning the Zap on.

Troubleshooting

No RSS items appear

Confirm the feed URL returns valid RSS, that a genuinely new item has been published, and that the selected change-detection mode matches the publisher’s GUID and URL behavior. A feed with no new item will not trigger merely because the Zap is enabled.

The API returns 401 or 403

Recheck whether the endpoint needs an API key, OAuth2, Basic authentication, a particular header, or an account scope. Use API by Zapier when credentials must be stored in an app connection. Do not attempt to circumvent access controls.

The test succeeds but later runs are empty

Inspect the query’s date or status filter, pagination, and timezone. A scheduled Zap may be asking for a window that no longer includes new records. Store and advance a stable cursor only after a successful run.

The response is too large

Reduce fields, page size, and date range at the source. The documented webhook trigger maximum is 10 MB, while Catch Raw Hook is limited to 2 MB.

Fields are missing or mapped incorrectly

Open the raw test response, identify the exact JSON/XML path, and retest with a record that contains the field. If the source never returns that value, Zapier cannot manufacture it.

Can Zapier scrape any public webpage?

No. The documented workflows require an RSS feed, supported app action, or accessible API endpoint.

Should I poll every few minutes?

Only when the source and your Zapier plan permit that cadence and the value justifies the request volume. Prefer event or feed triggers when available.

Can I edit or delete items created in an RSS feed?

Zapier’s documented Create Item in Feed action has no edit or remove actions.

What should I do when no connector exists?

Check the service’s API documentation, consider a private Zapier app integration, or evaluate a purpose-built collection service that is permitted by the target site.
