Form filling automation templates are starting points, not universal autofill recipes. For answers collected through Microsoft Forms and routed into a process, begin with a matching Power Automate flow template. To enter data into a website, use Power Automate desktop browser automation and expect to configure and test it against that page. For PDFs, use Acrobat’s fill-and-sign or fillable-form tools; for signatures and routing, use an Acrobat Sign workflow. Choose based on where the form lives and whether you need to collect, complete, create, approve, or sign it.
First decide what “form filling” means for your task
The phrase covers several different jobs that happen to involve fields. A template that collects a response and sends it to another service is not necessarily a template that types into a website. Likewise, filling an existing PDF is different from creating a fillable PDF or sending a document for signature.

Before choosing a template, write down the input, the fields to populate, the destination, and the required finish state. “Save a completed draft,” “submit a website form,” and “send a legally meaningful signature request” are different outcomes and should not be treated as interchangeable.
Use a Power Automate template for a Forms-to-workflow process
If a person submits answers through Microsoft Forms and those answers should trigger actions elsewhere, the flow-template gallery is the most direct documented starting point. Microsoft Learn’s “Get started using flows with Microsoft Forms – Power Automate” says, “The easiest way to add a form to a flow is to start with a template.” The page was reported last updated February 8, 2023; labels and available templates may change, so follow the current gallery in your tenant.

- Open Power Automate and browse templates. Search the template gallery for Microsoft Forms or browse the relevant category. Pick a flow whose trigger and actions resemble the job; a similar title alone is not enough.
- Inspect the trigger and each action. Confirm that the flow starts from the intended form response and that each downstream step sends data to the correct service or destination.
- Connect the required accounts. Where prompted, sign in and authorize the services the template uses. The template may depend on connectors and access that are not established merely by its appearing in the gallery.
- Map the response fields. Replace sample or mismatched dynamic values with the corresponding answer fields, and check required fields and data formats expected by each action.
- Save and run a controlled test. Submit a test response, then inspect the run and destination record. Check missing values, incorrect mappings, and whether the process created the intended result before using it for real submissions.
If the gallery has no close match, create a flow from scratch rather than forcing an unsuitable template. A template is a reusable outline; it does not establish that your form, connectors, permissions, and destination are correctly configured.
Automate entry into a website with Power Automate desktop
For a browser page with fields that must be filled, Microsoft documents desktop browser automation actions, including working with webpage UI elements. Its “Automate webpages – Power Automate” guide describes browser support and configuration, a browser instance, and captured page elements. This means browser setup is part of the solution: a cloud flow template for handling Microsoft Forms responses is not automatically a browser-filling recipe.
- Prepare the desktop flow and browser. Follow Microsoft’s current browser automation setup for the browser you intend to use, including any required extension or configuration.
- Launch or attach to the target browser instance. Use the desktop flow’s browser actions to open the page or connect to the appropriate running browser, depending on the supported setup.
- Capture the actual webpage UI elements. Identify the fields and controls the flow must use. Build actions around the page elements rather than assuming every site uses the same field structure.
- Enter and verify values. Add the browser actions to populate the needed fields, then test whether the values appear as expected and whether the desired next action is available.
- Validate the outcome before scaling up. Confirm the page’s resulting state—such as a saved draft or a confirmation—rather than assuming that typing into fields means submission succeeded.
Expect to revisit a flow if the target page changes: the documented approach depends on captured webpage elements and browser configuration. This is a practical maintenance implication, not a guarantee that any particular site will work. A site may require authentication, additional user action, or behavior that the documented actions do not establish. Do not assume that all websites permit automation or that a captured element will remain stable.
Use Acrobat for existing PDFs, fillable forms, and signatures
Complete an existing PDF
Acrobat Fill & Sign is the relevant route when the document is already a PDF and the task is to fill it, sign it, or send it. Adobe also documents saved autofill data for reusing information. That reuse can save repeated entry, but consider the sensitivity of saved data and the security of the account and device where it is kept; do not infer a particular security guarantee from the autofill feature.

Create a fillable PDF
If the source is a scan or a document without interactive fields, first use Acrobat’s fillable-form tools to create fields, then complete the resulting PDF. Adobe Experience League’s “Create Fillable Forms,” last updated April 23, 2026, describes creating fillable forms from scanned or authored documents. Creation and completion are separate workflow stages, so test the detected or authored fields before distributing the form.
Publish a web form or route a signature
Adobe Help’s “Create web forms,” last updated April 1, 2026, describes using a file as a template to create a web form and says the feature requires Acrobat Pro or Acrobat Pro for teams. Confirm current entitlement before making this the basis of a workflow; that stated prerequisite applies to web-form creation, not to every Acrobat capability.
For reusable approval or signature routing, Adobe documents Acrobat Sign workflows in Power Automate. Adobe Help’s “Create a new Power Automate flow in the Acrobat Sign environment,” last updated November 14, 2023, says a flow needs at least one Acrobat Sign connector before it can be saved. Adobe’s developer page advertises “75+ ready-to-use templates” for its PDF Services and Acrobat Sign connectors; this is Adobe’s own product count, not an independent measure of suitability or performance. Verify the available connectors and current terms for your account.
Choose between the options by workflow, not by the word “template”
- Web page or PDF? Use browser automation for data entry on a website; use Acrobat for an existing PDF or PDF authoring. A PDF workflow does not automatically translate into browser actions.
- Filling or creating? Use a completion tool for an existing form. Use Acrobat’s fillable-form tools when fields must first be authored into a document.
- One-time or repeated? For repeated PDF completion, saved autofill data may help. For repeated web entry, plan to test the desktop flow against the live page and maintain its setup.
- Does the process need approval or signature? Select an Acrobat Sign or other appropriate signature workflow when that outcome matters; ordinary field entry is not the same as a signature request.
- What access is required? Check the browser configuration, connectors, destination permissions, and plan eligibility for the exact route. The available documentation does not establish a complete licensing matrix or a current cross-product price comparison.
Common problems and practical fixes
The template does not contain the action you need
Its trigger or action sequence may only partially match the task. Inspect and customize the flow’s components, or create one from scratch when the missing step changes the workflow rather than just a field mapping.

The desktop flow cannot interact with the page
Check the supported browser setup and required extension or configuration, then confirm that the flow is attached to the intended browser instance. Re-capture or update the webpage UI elements if the page structure has changed.
The flow runs but fills the wrong value
Review the mapping between response fields and destination fields, including formats and required values. Use a controlled test submission and inspect the resulting record before processing real data.
A filled page does not produce the expected result
Separate field entry from the final page action and its confirmation. Test whether the page saved, submitted, or displayed a response; do not treat visible text in fields as proof of completion.
A PDF is not fillable as expected
Confirm whether the source is an interactive PDF or a scan/document that needs form authoring first. Create or check the fields before running a completion workflow.

An Acrobat Sign flow cannot be saved
Check that the flow includes at least one Acrobat Sign connector, as Adobe’s documented workflow setup requires. Also verify that the connector is available and authorized in the account being used.

None of these starting points proves that every site or document can be automated end to end. Microsoft’s documentation describes browser actions and setup, not universal website compatibility. Adobe’s documentation describes PDF and signature workflows, not a guarantee that any document’s fields are ready without review. Test with representative inputs, confirm the resulting record or document, and check access requirements before depending on a workflow for consequential submissions.
