Short answer: automate registry lookups as an evidence step, not as a complete KYC decision. Resolve the legal entity and jurisdiction, query the correct official register (or a documented aggregator), preserve the response and its timestamp, compare key fields with customer data, trace ownership to natural persons where possible, and send uncertainty to risk-based human review. A registry result can corroborate a company’s existence and status; it does not by itself prove beneficial ownership, identity, legitimacy, or current accuracy.
What an automated registry check can—and cannot—establish
A business-registry workflow retrieves records from an official register or an intermediary and compares them with information supplied by the customer. Depending on the jurisdiction, the result may include a registered name, identifier, legal form, status, address, representatives and some ownership fields. FATF’s 10 March 2023 guidance recommends access to adequate, accurate and up-to-date information about the true owners of companies, using companies, public authorities, registries or other efficient mechanisms together.
That is a multi-source control, not a “registry says yes, customer is legitimate” rule. Registers can be passive repositories, incomplete, delayed or difficult to search. A match proves that returned data resembles the query; it does not prove that every field is correct or that the person interacting with you is authorised.
Beneficial ownership is a natural-person question
FATF’s glossary defines beneficial owner(s) as the natural person or persons who ultimately own or control a customer, including through an ownership chain or control other than direct ownership. A legal entity can have more than one ultimate beneficial owner. Do not stop at an immediate corporate shareholder when the register exposes only the first layer.

Design the workflow in six stages

Resolve entity and jurisdiction
Collect the legal name, country of formation and a reliable identifier such as a registry or tax number. Use the formation jurisdiction—not the customer’s operating address—to select a source. If the identifier is missing, use name search only as a candidate-generation step and require stronger review.

Route to an appropriate source
Prefer an official registry interface where one exists. An aggregator or KYB API can provide multi-country coverage, but document which underlying register it uses, its access rights, update timing and error behavior. For example, iAML states that its API supports Poland’s GUS BIR, KRS, CRBR, VAT White List and VIES data, plus beneficial-owner and compliance checks; that is a vendor description, not independent performance evidence (iAML API Hub).

Retrieve and preserve evidence
Store the source name and URL or endpoint, query time, request identifier, returned status, identifier and relevant fields. Preserve the original response or document where lawful, alongside normalized values used for matching. Record whether a field was unavailable, stale, masked or inferred by the provider.

Compare material attributes
Compare legal name, registration number, legal form, active/inactive status, registered address, officers or representatives and ownership fields when available. Keep original and normalized strings. Diacritics, transliteration, punctuation and word order can create near-matches; do not silently turn them into a pass. Explain the matching rule and route borderline scores to a reviewer.

Trace ownership and control
Build an ownership graph from the entity to natural persons. Follow each corporate shareholder until you reach individuals, or document why the chain cannot be completed. Compare registry results with the customer’s beneficial-owner declaration and other reliable sources. Missing ownership data is an exception, not evidence that no beneficial owner exists.

Apply risk-based outcomes and refresh
Define outcomes such as pass, pass with monitoring, manual review, enhanced due diligence, escalation or reject. Trigger review for an inactive or dissolved status, material mismatch, complex or opaque ownership, unavailable data, high-risk geography or adverse information. Set refresh intervals and event triggers proportionate to risk, and retain timestamps so reviewers can distinguish a current check from an old one.

Data model and audit trail
A practical record contains:
- Customer-supplied legal name, identifier, formation country, address and declared owners.
- Source and registry jurisdiction, endpoint or document reference, query timestamp and response timestamp.
- Raw returned values plus normalized values, matching method and confidence or reason code.
- Status, legal form, representatives, ownership layers and unavailable-field indicators.
- Decision, reviewer, rationale, escalation path, next-review date and change history.
Restrict access to personal data, define retention and deletion rules, and verify that your use complies with the source’s terms and applicable privacy law. Never overwrite an earlier response: an immutable history is what lets an auditor reconstruct what was known at onboarding.
Choosing direct access, an aggregator or a KYB API

The World Bank’s corporate-registry assessment guidance specifically considers accuracy, update frequency, online accessibility, search options and standardized formats (World Bank guidance). Treat those as acceptance criteria, not marketing claims.

Jurisdiction example: United States
This example is limited to covered US banks and the applicable rule. The FFIEC BSA/AML Examination Manual describes an ownership prong identifying each individual who directly or indirectly owns 25% or more of equity interests, subject to definitions and exceptions. It also expects written, risk-based procedures to verify beneficial-owner identity within a reasonable time and to maintain and update information on a risk basis (FFIEC manual). Verification should create a reasonable belief that the institution knows the true identity; it does not require proving the accuracy of every data element.

A FinCEN CDD Rule FAQ issued 6 May 2026 says a covered financial institution may limit identification and verification to initial account opening, later facts that reasonably call prior information reliability into question, and what risk-based ongoing CDD requires. It may instead continue verification at each new opening. This is US-specific and subject to the current rule and guidance; do not generalize it to other countries, sectors or institution types (FinCEN CDD FAQs).

Request and normalize
Send an identifier-first request, validate the country and expected identifier format, and use name/address searches only when necessary. Normalize for comparison without destroying the original (for example, Unicode normalization and case folding). Keep a field-level reason when normalization changes a value.

decide_under_risk_policy()Use deterministic rules for hard failures and explainable scores for fuzzy matches. A service outage must produce “unable to verify,” not “no match.” Retry transient errors with bounded backoff, avoid duplicate charges, and expose a manual path.

Reliability, controls and common failures
- Wrong jurisdiction: the operating country was queried instead of the formation country. Fix the entity-resolution step and retain both countries.
- Name collision: several entities share a name. Require an identifier, address, legal form or representative before acceptance.
- Stale status: the provider’s cache predates a filing. Record retrieval time and source update time; refresh or obtain the official document.
- Ownership stops at a company: continue the chain or request documentary evidence and escalate.
- Transliteration mismatch: preserve original script, use documented normalization and require review for near-matches.
- Rate limit or outage: honor provider limits, retry only transient failures, alert operations and never convert errors into passes.
- Conflicting sources: preserve both records, identify their dates and mandates, and apply a documented hierarchy with human review.
- Privacy or access restriction: confirm lawful purpose, contractual rights and retention before storing a document or personal field.

FAQ
Can a registry lookup confirm beneficial owners?
Only to the extent the jurisdiction publishes sufficiently current ownership or control data. Compare it with declarations and other sources, and trace corporate owners to natural persons.
Should every mismatch reject the customer?
No. Classify the mismatch, its materiality and the customer’s risk. Minor formatting differences may be reviewable; an identifier conflict or dissolved status usually needs escalation under your policy.
How often should checks run?
Use risk-based intervals and event triggers such as ownership, address or status changes. The applicable law and institution type determine required timing.
The Bottom Line
Automated registry checks are strongest when they are jurisdiction-aware, source-attributed, timestamped and connected to human review. They corroborate entity facts; they do not replace beneficial-owner verification or broader customer due diligence.
