Crawlbase vs Apify: Features, Pricing, and Which to Choose

Choose Crawlbase when you want to send URLs to a managed crawling API and leave much of the rendering, proxy, anti-bot, and retry work to the service. Choose Apify when you want reusable scraping programs called Actors, prebuilt tools, scheduled workflows, datasets, and integrations. They overlap in web scraping, but they solve different layers of the job: Crawlbase is more API-first; Apify is a broader platform for assembling and operating workflows.

Neither is automatically cheaper. Crawlbase costs are most naturally evaluated against successful requests and the subscribed products you use. Apify costs depend on platform usage and can include Actor compute, proxies, storage, transfer, retries, and sometimes Store Actor event or usage charges. The right comparison is the cost and operational effort for your own workload—not just a monthly plan price.

How Crawlbase and Apify differ

The core distinction is the unit you work with. With Crawlbase, a basic integration sends a URL and parameters to an API. The service documents JavaScript rendering, anti-bot bypass, geo-routing, and scraper-library integration. Its Enterprise Crawler adds an asynchronous queue intended for high-volume URL workloads, with webhook delivery, retries, rate management, and persistence. Other Crawlbase products include Smart AI Proxy, which exposes the network through a proxy interface, and Cloud Storage for retaining HTML or parsed JSON.

Apify centers on an Actor: a program that accepts structured JSON input, performs a task such as scraping or browser automation, and stores its results on the platform. You can start an Actor manually, call it through an API, or schedule it. Actor outputs can be passed to other Actors and integrations. Apify Store offers public Actors from Apify and its community, so teams can sometimes start with an existing tool rather than author one.

That distinction affects setup and ownership. A basic Crawlbase request does not require you to select or build an Actor. Apify gives you more workflow building blocks, but you must select or build an Actor, configure its run, and decide how to consume its dataset or other stored output.

The feature descriptions above are based on the vendors’ documentation and comparison material accessed September 29, 2026. Actual availability and limits can vary by product and plan; verify the current terms before committing a workload.

Which one fits your workload?

Choose Crawlbase for a direct URL-to-page workflow

  • Your application needs to submit URLs and receive page content, with minimal orchestration of browser and proxy infrastructure.
  • Managed JavaScript rendering, anti-bot handling, geo-routing, and retries matter more than composing a multi-step workflow.
  • You want an asynchronous queue for a large URL backlog. The Enterprise Crawler is described as serving millions of URLs; confirm throughput, concurrency, and delivery limits for the plan you would use.
  • A request-oriented cost model is easier for your team to forecast than metering runtime, storage, transfer, and other resources separately.

Choose Apify for reusable and composable scraping

  • You want to reuse an Actor, find a public Actor in Apify Store, or publish a scraper as a product.
  • The work involves scheduled runs, several processing steps, dataset storage, or integrations with other services.
  • You need to configure a pipeline around the task rather than make a single managed page request.
  • Your team is prepared to tune Actor concurrency and resource use, and to account for the different resources a run may consume.

For mixed workloads, compare a representative job

Run the same representative targets and extraction requirements through both services before choosing. Compare successful-page cost, engineering time, output quality, and the operational controls you actually need. Include difficult pages—not only the easiest pages in the queue—and make sure both approaches produce results your downstream system can use. No independent benchmark is available here, so there is no evidence-based universal winner on speed, success rate, or price.

Crawlbase vs Apify pricing and billing

The available Crawlbase documentation figures are up to 5,000 free requests, support for 195 countries, and 51 million requests per month per token. Crawlbase’s API reference says pricing and concurrency budgets are shared across subscribed Crawlbase products. A vendor comparison describes billing in terms of successful requests. These are vendor-stated figures and descriptions, not a guaranteed allowance or a quote for a particular account. Check the live pricing page and your plan’s terms for what counts as a billable request, how retries are treated, and whether the products you use draw from the same budget.

The cited Crawlbase materials do not establish a complete current dollar price table for every plan, so a specific monthly cost cannot be responsibly calculated from these figures alone. Request volume, success rate, concurrency, and which subscribed products are in use all matter.

Apify uses prepaid platform usage included with subscription plans. That usage can be spent on Actors, proxies, data transfer, and storage. Its documentation gives example compute-unit rates of $0.20 on Starter and $0.16 on Scale; those are plan examples, not a universal price for every run, and may change. Unused included usage expires at the end of the billing cycle. Free-plan users can use most platform features and Apify Proxy within the platform, but cannot continue after exhausting their prepaid usage until the next cycle. Paid plans can permit overage within configured limits.

An Apify Actor run may consume compute, storage, proxy, transfer, and retry resources. Some Store Actors add pay-per-event or pay-per-usage pricing. The subscription’s included usage is therefore not the same thing as an unlimited run allowance.

Cost question Crawlbase Apify
Documented pricing basis Vendor comparison describes charges for successful requests; API reference says pricing and concurrency budgets are shared across subscribed products. Prepaid platform usage is spent across services; Actor runs and Store Actors may add different usage charges.
Published figure available here Up to 5,000 free requests; dollar plan prices are not stated in the cited material. Example compute-unit rates: $0.20 on Starter and $0.16 on Scale; plan examples that may change.
What to include in an estimate Successful request volume, product mix, concurrency, and applicable plan terms. Actor runtime and resource use, proxy mix, storage, transfer, retries, and any Store Actor event or usage pricing.
Usage that does not carry forward Not stated in the cited Crawlbase material. Unused prepaid usage expires at the end of the billing cycle.

Before comparing monthly totals, estimate the same volume and work on both sides. For Crawlbase, model successful requests and confirm the current definition and product budget. For Apify, estimate the resources used by the Actor and check whether it has additional Store pricing. Pricing, quotas, proxy rates, and feature availability are volatile; verify both vendors’ live terms before purchase.

Integration and scaling trade-offs

Where Crawlbase reduces orchestration

Crawlbase documents one shared token across its APIs, which can simplify authentication across the products an account subscribes to. Its request-based Crawling API is the more direct starting point for ordinary fetches. If the job becomes a high-volume queue, Enterprise Crawler provides an asynchronous route with webhook delivery, retries, rate management, and persistence. That can reduce the amount of queue and retry machinery your application must own, although you still need to handle webhook processing and confirm service limits for your workload.

Cloud Storage is relevant when fetched HTML or parsed JSON needs to be retained for later retrieval. Smart AI Proxy is a different integration surface: it exposes the network as a proxy rather than returning results through the same basic URL-request workflow. Choose the product based on the way your application needs to interact with the target and consume the result.

Where Apify adds workflow flexibility

Apify places the Actor run and its output inside a platform. An Actor can be called, scheduled, or chained with other Actors and integrations; datasets, key-value stores, and request queues provide places to store or manage work. Apify Store can save development effort when an existing community or Apify Actor meets the requirements, but a Store listing should be evaluated for its input contract, output format, maintenance, resource use, and pricing before it becomes a dependency.

This flexibility comes with more choices to operate. Teams should understand Actor input and output, concurrency, resource settings, and the handling of failed or retried work. Platform capabilities do not make every Actor equally suitable for every target: the Actor’s implementation and configuration matter.

How to make a fair pilot

  1. Choose representative URLs. Include the page types and target sites your production job actually encounters, including JavaScript-rendered pages and pages that are difficult to fetch.
  2. Define success before running. Specify whether success means receiving HTML, extracting required fields, or delivering records to a downstream system. A response alone may not mean the data is usable.
  3. Use equivalent requirements. Configure rendering, geography, proxies, retries, and output handling to meet the same needs, rather than comparing a minimally configured service against a fully tuned one.
  4. Measure both the bill and the engineering work. Record successful usable outputs, the resources or requests consumed, time spent integrating, and the work required to monitor and recover failures.
  5. Test operational behavior. For Crawlbase, examine queue delivery and retry handling if using Enterprise Crawler. For Apify, inspect Actor output, resource consumption, schedules, and any Store Actor pricing involved.
  6. Recheck commercial terms. Confirm current plan limits, concurrency, request counting, included usage, and overage rules directly with the vendor before projecting production cost.

Where ScreenshotNeo fits—and where it does not

If your actual requirement is a clean visual capture of a webpage rather than extracted HTML or structured data, try ScreenshotNeo first as a screenshot API alternative. It is not a drop-in replacement for a scraping API or an Apify Actor: it returns screenshots or PDFs, not a scraping pipeline. It can be useful when a downstream job needs a page image, visual record, or PDF instead of parsed content.

For example, a single GET request can save a screenshot as WebP:

curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://stripe.com -o shot.webp

See the ScreenshotNeo API documentation for request options and output formats. Before capture, it accepts the cookie or consent banner like a visitor and removes 60+ known consent platforms, newsletter popups, and chat widgets; each of those steps can be turned off. Bot checks or CAPTCHAs, blank pages, timeouts, failed loads, and cache hits cost nothing, with response headers indicating the page verdict and billing status. ScreenshotNeo also has an MCP server with take_screenshot, get_page_info, and capture_pdf tools for AI agents and MCP clients including Claude and Cursor.

It offers 1,000 screenshots per month free with no card; paid plans start at $5 for 3,000 screenshots. If that matches your visual-capture use case, sign up for ScreenshotNeo free.

Common selection mistakes

  • Comparing only plan prices. Apify’s included usage is shared across platform resources, while Crawlbase is described in terms of successful requests. Compare a defined workload and include all the costs it triggers.
  • Assuming a browser-capable platform guarantees extraction quality. A browser run can render a page, but the Actor still needs to identify and return the fields your application requires.
  • Treating every Crawlbase product as the same API surface. The Crawling API, Enterprise Crawler, Smart AI Proxy, and Cloud Storage address different integration needs.
  • Assuming an Apify Store Actor has no extra cost or upkeep. Check its pricing model, input and output behavior, resource use, and suitability for the sites you need.
  • Scaling before validating useful output. High request counts or Actor concurrency do not by themselves establish that records are complete, current, or fit for downstream use.

Frequently Asked Questions

Is Crawlbase a good Apify alternative?

Yes, when the need is primarily a managed URL-fetching API with rendering and request handling. It is a less direct substitute when the requirement depends on reusable Actors, Apify Store, scheduled workflows, or platform datasets and integrations.

Is Crawlbase or Apify better for JavaScript rendering?

Both document ways to handle browser-rendered pages, but their configuration models differ. Crawlbase documents JavaScript rendering in its API offering; Apify has browser-capable Actors whose behavior and proxy use need to be configured. Test the exact pages and data fields you need.

Can I use Apify without writing an Actor?

Apify Store offers public Actors that may fit a task, so authoring from scratch is not always necessary. You still need to configure the selected Actor and evaluate its output, maintenance, resource consumption, and any additional pricing.
