A document lifecycle defines the states it can move through, who may move it, what each transition requires, and what readers can see. A useful baseline is Draft → In Review → Approved/Ready for Publishing → Published, with a return path for requested changes and a retirement or archive path when content is no longer active. The labels are configurable; the important part is making the rules and version history clear.
What document status and lifecycle mean
A document status is a current workflow state. It answers practical questions such as: Can someone edit this item? Is it awaiting a decision? Is this version available to readers?
A document lifecycle is the controlled sequence of states and transitions from creation through review, approval, publication, revision, and eventual retirement or archival. Autodesk describes a workflow as a way to move a document through statuses and publish it for final use. The workflow is more than a list of labels: it specifies what actions are allowed and who can take them.
There is no universal set of status names. Document360 supports configurable workflow statuses and reviewer assignments, due dates, comments, and bulk tasks. Adobe Experience Manager Guides uses a configurable Document State profile, with examples including Draft, In-Review, and Reviewed. Treat these as product-specific implementations, not a required industry vocabulary.

Which statuses should a document workflow include?
Start with a small set that reflects real decisions. Add a state only when it changes ownership, permitted actions, required evidence, or audience visibility.

These labels are a starting vocabulary, not a mandate to create seven separate system states. For example, a small team may not need a distinct Submitted state if submission immediately assigns the item to a reviewer. Conversely, a controlled process may need separate fact-check, legal, or signature gates if those are genuinely separate decisions.
How a document moves from draft to published
A straightforward path is Draft → In Review → Approved/Ready for Publishing → Published. If a reviewer requests changes, the path is In Review → Returned/Changes Required → Draft. A later update to published content starts a new draft rather than silently changing the approved version. Autodesk’s documented pattern uses check-in/check-out for versions and requires a published document to be checked out before further changes, creating a new draft version.

- Create or revise: the owner works on a draft version. Keep it distinct from the version readers currently use.
- Submit: record that review was requested, who owns the item, and any relevant due date or context.
- Review: reviewers assess the specific version submitted. If the workflow has sequential approvers, make the order and handoff explicit.
- Decide: record approval or return the item with actionable comments. A returned version should not appear approved merely because an earlier version was.
- Publish: make the approved version available to the intended audience. Keep approval and publication distinct if publication requires a separate action.
- Revise or retire: start a new draft for changes, or unpublish, supersede, or archive an item according to its purpose and retention rules.
SharePoint distinguishes draft minor versions from published major versions and can keep pending drafts hidden from readers. ServiceNow documents a Ready for Publishing stage after approvals, including sequential approver groups. These examples illustrate why “approved” and “published” may be different states: approval is a decision, while publication changes availability.
Status is not the same as version or revision
Status describes workflow position; version and revision identify saved iterations or publication history. A document can be in review at version 4, while version 3 remains the published version. A status alone cannot tell a reader which iteration was approved or whether a newer draft exists.
Platforms record history differently. Autodesk records incremental versions during check-in/check-out and increments revision on publication. SharePoint uses major and minor versions to distinguish published content from drafts. Adobe Experience Manager Guides can make an approved document read-only by creating a new version. These behaviors are product-specific, so confirm what an action such as “save,” “check in,” or “approve” actually records in the system you use.

For a dependable record, store the current status separately from the version identifier, revision identifier, publication date, and prior-publication flag. The approval record should identify the exact version reviewed; otherwise, later edits can make it unclear what the approver actually saw.
Define transitions, permissions, and visibility
For each transition, write down who may perform it, what evidence or comment is required, and what happens if the transition fails. A compact transition table makes gaps easier to spot:

Visibility needs an explicit rule too. Decide whether readers can see drafts, pending approvals, or only published versions. SharePoint’s Pending status can keep a draft awaiting content approval hidden from readers with read permission. Do not assume that a status label automatically controls access; verify the platform’s permissions and audience behavior.

Also decide whether an edit made during review invalidates the existing review. If the submitted content changes after a reviewer approves it, the system should make clear whether that approval still applies. GOV.UK’s technical design for content states illustrates the value of specifying legal actions for each state, including review, scheduling, publishing, and unpublished changes.
Plan rejection, concurrent edits, and retirement
- Rejection or requested changes: return the item to an editable state and preserve the reviewer’s decision and comments. ServiceNow’s records model includes Returned before approval, a useful reminder that rejection is a real workflow outcome rather than an informal note.
- Concurrent edits: decide whether an item is locked during review, whether reviewers comment on a fixed snapshot, or whether edits force a new review. Adobe Experience Manager Guides’ read-only approved-document behavior is one example of separating an approved version from a new editable version.
- Resubmission: make it possible to tell which version was resubmitted and whether earlier approvals remain valid. Do not carry approval forward by default if the material under review changed.
- Supersession and unpublishing: distinguish replacing an active document with a newer one from withdrawing it without a replacement. Record the reason and effective time when that distinction matters to readers or operators.
- Archival: define who can archive, what remains searchable, and what history is retained. A status change should not erase the decision trail or the identity of the version formerly in use.
How to choose or evaluate a workflow
When configuring a product or designing an internal workflow, compare the behavior rather than the wording of the status labels.
- Audience visibility: Can readers see drafts and pending items, or only published versions?
- Transition configurability: Can you add the review, fact-check, legal, or signature steps your process actually requires?
- Version behavior: When are versions created, and when does a revision number change?
- Edit locking: Does approval or publication make a document read-only? How does an owner start a new draft?
- Approval model: Does the system support one approver, a quorum, or sequential groups? What happens after a rejection?
- Audit and retention: Are status changes, decisions, superseded versions, and archived records preserved?
- Scheduling and rollback: Can approved content be scheduled, unpublished, or restored without losing its history?
Product documentation describes different capabilities, not a universal best choice. Implementation checklist
- Choose a small canonical set of states, then map your platform’s labels to it.
- Store status separately from version, revision, publication date, and prior-publication information.
- For every transition, name the permitted role, required evidence, and failure or return path.
- Record timestamps, actor identity, decision comments, and the exact version reviewed.
- Define who can see drafts, pending items, published versions, and archived records.
- Test rejection and resubmission, edits during review, concurrent work, supersession, unpublishing, restoration, and retention before relying on the workflow.
