The Ultimate Guide to Scanning Documents with Your iPhone (Updated for iOS 26)

For a normal standalone PDF, use Files → More (…) → Scan Documents. Use Notes when the scan belongs with a note, and use Preview on supported iOS 26 iPhones when you also need PDF editing, form filling, signatures, annotations, or password protection. No separate scanner app is required for ordinary documents.

Apple’s built-in tools can detect page edges, correct perspective, combine multiple pages, and save a PDF. The exact buttons can vary by iOS release, language, device, and region, so labels below follow Apple’s current documentation.

Photo versus scan: what changes?

A regular Camera photo is an image of a page. A document scan is a document workflow: it detects the paper boundary, corrects skew, removes the surrounding background, and combines pages into a PDF. You can usually adjust corners, rotate pages, and choose scan coloring.

Use a normal photo for artwork, glossy originals, textured material, or anything where photographic detail matters more than a clean, shareable PDF. For forms, receipts, contracts, homework, and records, the scanning tools are usually the better fit.

Choose the right iPhone app

Before you scan

  • Use a flat, hard surface and clean the camera lens.
  • Use bright, even light from the side. Avoid glare and your phone’s shadow.
  • Put dark paper on a light background, or light paper on a dark background, to help edge detection.
  • Keep the iPhone parallel to the page. Remove clips, staples, and curled corners where possible.
  • Decide whether color matters. Color preserves stamps, signatures, highlights, diagrams, and receipt details; grayscale or black-and-white can reduce size for ordinary text.
  • For identity, financial, health, or confidential work documents, prefer Apple’s built-in tools when they meet your needs and check where any cloud service stores files.

Best default: scan a standalone PDF in Files

  1. Open Files and navigate to the folder where the PDF should live.
  2. Tap More (…), then tap Scan Documents.
  3. Place the page inside the camera view. Automatic capture can take the page when it detects the edges.
  4. If automatic capture does not work, switch to manual capture and tap the shutter button or press a volume button.
  5. Drag each corner handle to the actual paper edge. Include margins, page numbers, seals, signatures, and legal text.
  6. Tap Keep Scan, then continue with the remaining pages.
  7. Tap Done. Choose the destination if prompted, then tap Save.

Apple documents this Files workflow, including manual capture, corner adjustment, multi-page scans, and destination selection: Apple Support.

Open Files afterward and verify both the filename and folder. A scan is not safely “saved” just because the camera captured it; check whether it is in iCloud Drive, On My iPhone, Recents, Downloads, or another selected location.

Scan into Notes

  1. Open Notes and create a note or open an existing one.
  2. Tap Attachments, then Scan Documents. In some versions, you can also use More (…) → Scan.
  3. Position the page, allow automatic capture or use the manual shutter, adjust corners, and tap Keep Scan.
  4. Add more pages as needed, then tap Done.

The completed document is a PDF stored inside the note, not automatically a separate file in a Files folder. Share or export it when you need a standalone PDF. Apple’s instructions are at Scan text and documents on iPhone and Apple Support.

Scan Text is a different feature

To insert recognized words into a note, open a note, tap Attachments → Scan Text, position the text in view, select it with the grab points, and tap Insert. This creates editable note text rather than a PDF page. It is available only in supported languages, and recognition is not guaranteed to be perfect.

Scan and edit in Preview on iPhone

Apple’s iOS 26 documentation describes Preview on supported iPhones as a scan-to-PDF editing workflow. Open Preview, tap Scan Documents, and capture pages automatically or switch Auto off for manual shutter capture. Repeat for additional pages, then tap a page thumbnail to crop, rotate, or adjust scan coloring before tapping Done. See Apple’s Preview scanning guide.

Preview is the natural choice when the next action is more than storage:

  • Tap a form field to enter text.
  • Use Markup and PDF annotation tools to draw, highlight, underline, or strike through text.
  • Add or place a signature.
  • Open the PDF actions menu, choose Lock, enable Require Password, and enter the password twice.

Preview’s availability and labels are version-sensitive. If Preview or a control is missing, check the iOS version and Apple’s current guide for your device.

Sign a scanned document in Notes

  1. Open the note containing the scanned PDF and tap the document.
  2. Tap Markup → Add (+) → Signature.
  3. Choose a saved signature or create one, then resize and position it.
  4. Tap Done.

Apple also supports drawing a signature with a finger, or using Apple Pencil on a compatible iPad. A placed signature image is not automatically a certified electronic signature; legal and compliance requirements vary by document, organization, transaction, and jurisdiction.

How to get cleaner, more readable scans

Forms and contracts

Keep every margin, page number, seal, and handwritten mark inside the crop. Review each page at readable zoom before finishing.

Receipts

Thermal paper may be faded, narrow, curled, or glossy. Flatten it, avoid reflections, and preserve the original for important expenses. If you capture overlapping sections of a long receipt, make the page order obvious.

Handwritten notes and whiteboards

Use color when ink, highlights, or diagrams carry meaning. Reduce glare and hold the phone parallel; software cannot recover detail lost to blur or reflection.

Books, bound pages, and fragile originals

An iPhone is convenient but not an archival scanner. A flatbed or overhead scanner may be better for bound books, oversized pages, delicate material, or exact color reproduction.

Save, rename, share, and organize the PDF

  • Use a consistent filename such as 2026-10-01_Client_Invoice_004.pdf.
  • Create folders by project, year, or document type in Files.
  • Choose between iCloud Drive and On My iPhone deliberately. iCloud is convenient across devices; local storage avoids that particular sync destination but is not a backup by itself.
  • Share the PDF, not a screenshot, when the recipient needs selectable pages or a printable document.
  • Open the shared copy or link once to confirm that pages, rotation, readability, and permissions are correct.

Troubleshooting common failures

Automatic capture will not trigger

Improve lighting, use a contrasting background, hold the phone more parallel, move far enough away for the whole page to fit, or switch to manual capture. The shutter and a volume button can both be used for manual capture.

The corners are wrong

Before tapping Keep Scan, drag every corner to the true paper edge. Retake the page if a curled edge or complex background makes the crop unreliable. Do not crop away legal text, seals, signatures, or page numbers.

The scan is blurry

Movement, low light, incorrect focus distance, or an aggressive crop are common causes. Stabilize the page and phone, add even light, and retake it rather than enlarging a soft image.

Pages are upside down or out of order

Review thumbnails before tapping Done. Rotate or reorder pages where the app provides those controls; Preview documents thumbnail-based adjustments in its scan workflow.

The PDF is missing

  1. Check the note where it was scanned.
  2. Check Files Recents and Downloads.
  3. Return to the folder selected during the Files save step.
  4. Check both iCloud Drive and On My iPhone.
  5. Confirm that you completed Done and Save, rather than only capturing a page or sharing it to another app.

The PDF is too large to email

Share a cloud link, use a compression feature if the app provides one, scan only required pages, or use grayscale/black-and-white for ordinary text. Size depends on page count, color, detail, and processing, so there is no reliable universal limit.

OCR text is wrong

Recognition can struggle with handwriting, low contrast, decorative fonts, curved or damaged pages, tables, columns, mixed languages, glare, shadows, and small print. Proofread extracted text before using it in a contract, invoice, tax record, application, or medical or legal document.

An upload is rejected

Confirm that the recipient accepts PDF, that the file is not locked when a password is not supported, and that the page count and size meet the service’s limits. Export a fresh copy rather than repeatedly resaving a degraded file.

Scan directly from iPhone to a Mac with Continuity Camera

  1. Open a compatible Mac app and control-click where the scan should be inserted, or use its File/Insert menu.
  2. Choose Insert from iPhone or iPad → Scan Documents.
  3. Capture automatically or manually on the iPhone, adjust corners, and add pages.
  4. Tap Save. The result appears as a PDF in the Mac app.

Do not choose an app solely because it is popular. Check whether it requires an account, uploads documents, stores files in its own cloud, places OCR or export behind a subscription, and supports your iOS version.

Adobe Scan

Adobe Scan is free to download with in-app purchases. Adobe documents premium capabilities including combining files, exporting PDFs to other formats, password protection, editing, higher OCR limits, compression, and additional cloud storage. It may suit people already using Adobe and Acrobat, but it is a poor fit for a local-only workflow or occasional scans. Storefront pricing and compatibility can change; Adobe explains subscription features at its Scan subscription documentation and subscription guide.

Microsoft OneDrive

Microsoft retired Lens: it was removed from app stores on February 9, 2026, became unsupported afterward, and stopped creating new scans on March 9, 2026. Microsoft recommends OneDrive instead. Its replacement path is + → Scan photo → save to OneDrive, which is useful for Microsoft 365 users but does not provide the same local-device saving workflow. Privacy and sensitive documents

Built-in Apple tools may be sufficient without adding another vendor to the workflow. If you use a cloud scanner, identify where the PDF is stored, who can access it, how it is deleted, and whether an employer or regulator requires a particular service. Password-protecting a PDF can help, but it is not a substitute for secure transfer; use a secure portal instead of ordinary email when appropriate.

For IDs, health records, financial documents, and confidential work, do not upload files to an unfamiliar service without checking its current privacy terms and retention practices.
