Instructions for Formatting Your Hard Drive on Windows and Mac

Formatting erases the data on the selected volume. Before you begin, copy important files to another verified disk or cloud destination, open several copied files, and identify the target by its manufacturer, model, capacity, connection and current volume name. Disconnect unrelated external drives if possible. If the drive clicks, disappears, reports read errors or contains the only copy of valuable data, stop and pursue recovery instead of formatting.

What “format a hard drive” actually means

A drive/device is the physical HDD, SSD, USB stick or memory card. A partition is a region of that device. A volume is a partition with a file system that the operating system can mount. The file system (such as NTFS, APFS, exFAT or FAT32) organizes files. The partition scheme (usually GPT or MBR on Windows, and GUID Partition Map or another scheme in Disk Utility) describes how partitions are laid out.

Formatting an existing volume recreates its file-system structures. Initializing a disk and creating a new volume is broader: it establishes a partition scheme and may remove every existing partition. On macOS, Disk Utility normally labels both operations Erase.

Choose the file system and partition scheme first

Use case File system Scheme Limits and cautions
Windows-only data drive NTFS GPT on modern PCs macOS normally cannot write to NTFS without separate software.
Mac-only SSD or data drive APFS GUID Partition Map Windows does not natively provide ordinary APFS access.

Apple identifies APFS as the default Mac file system from macOS 10.13 onward and describes exFAT and MS-DOS (FAT) as Windows-compatible formats (Apple’s format descriptions). Apple specifically recommends exFAT for an external disk used with Windows and Mac, including disks over 32 GB in its Windows-formatting guidance (Apple’s Windows-compatible formatting guide). APFS is optimized for Mac flash and SSD storage and supports features such as encryption, snapshots and space sharing.

GPT is generally the right choice for modern UEFI PCs, large disks and systems needing more than four partitions. MBR remains useful for older hardware or operating systems without UEFI, and for devices that explicitly require it. Apple’s normal external-device initialization path uses GUID Partition Map (Apple’s initialization instructions).

Prepare safely before erasing anything

  • Copy wanted files elsewhere and verify the backup by opening representative documents, photos and videos.
  • Check the target’s capacity, model, connection type and existing name against the tool’s disk list.
  • Disconnect other external disks to reduce the chance of selecting the wrong one.
  • Check whether encryption, backup software or a hardware lock is active.
  • Never format the only copy of important data. Microsoft warns that formatting destroys data on the selected partition, and a Recovery Drive is not a personal-file backup (Microsoft Disk Management; Microsoft Recovery Drive).
  • If the disk is clicking, repeatedly disconnecting, unusually slow or showing SMART/read errors, stop. Formatting can reduce the chance of recovery and cannot repair failing hardware.

Format an existing volume in Windows 10 or Windows 11

Microsoft states that Disk Management has the same interface and behavior in Windows 10 and Windows 11 (official Disk Management documentation).

  1. Sign in with an administrator account and connect the disk.
  2. Open Disk Management by right-clicking Start and choosing it, searching for Create and format hard disk partitions, or pressing Windows + R, entering diskmgmt.msc, and pressing Enter.
  3. Match the disk by model and capacity. Do not rely on a drive letter alone.
  4. Right-click the target volume, not another partition, and choose Format.
  5. Set a volume label and choose NTFS or exFAT. Leave allocation unit size at its default unless a documented workload requires another value.
  6. Leave Perform a quick format selected for a healthy, previously used volume when you only need a new file system. Confirm the warning.
  7. Wait for completion. Open the new volume in File Explorer, create a test folder and file, safely eject it, reconnect it and open the file again.

A volume currently in use, including the partition containing the running Windows installation, cannot normally be formatted from that desktop session. Use Windows Recovery Environment or installation media for a system-disk rebuild.

Initialize an unallocated or new disk

  1. Open Disk Management. If the disk is Offline, right-click its disk label and select Online.
  2. If it is Not Initialized, right-click the disk label, choose Initialize Disk, and select GPT unless a legacy device requires MBR.
  3. Right-click the Unallocated area and choose New Simple Volume.
  4. Choose the size, assign a drive letter, select the file system and label, then choose quick format when appropriate.
  5. Finish and perform the read/write, eject and reconnect test.

Some USB disks cannot be initialized and instead need to be formatted and assigned a drive letter directly, as Microsoft notes in its Disk Management guidance.

Format a drive on a Mac with Disk Utility

  1. Connect the drive and open Applications → Utilities → Disk Utility.
  2. Choose View → Show All Devices. Apple notes that erasing a physical device and changing its scheme may require this view (Show All Devices).
  3. To rebuild the whole disk, select the physical device at the top of the sidebar. To preserve the partition layout, select only the intended volume or APFS container.
  4. Click Erase, enter a name and choose GUID Partition Map for modern Mac use and most general external storage.
  5. Choose APFS for Mac-only use, exFAT for current Windows/Mac read-write sharing, or MS-DOS (FAT) only for a legacy device that needs it.
  6. Click Erase, then Done. Copy a test file, open it, eject the disk and reconnect it.

Erasing a volume, container or partition destroys the data stored there. Apple’s partitioning guidance recommends a backup before deleting partitions (Partition a physical disk).

Erasing the Mac startup disk

You cannot normally erase the startup disk while macOS is running from it. Start in macOS Recovery, open Disk Utility, select the intended internal device or volume and erase it there. For Apple silicon Macs and Intel Macs with a T2 Security Chip being sold or transferred, Apple directs users to Erase Assistant rather than treating the operation as an ordinary external-drive format (Apple erase and reformat guidance).

Advanced command-line methods

Windows DiskPart

DiskPart acts on the object currently selected. Verify the number, model and capacity at every selection step; a wrong choice can destroy another disk. Microsoft documents the selection model here: DiskPart.

clean removes the disk’s partition information and all existing volumes. Do not run this on the active Windows system disk from normal Windows; use Windows Recovery Environment or installation media. Microsoft’s format command supports /FS:<file-system> and /Q; quick format skips the sector-by-sector bad-area scan and is intended for a previously formatted disk known to be healthy (format command).

macOS Terminal

Use the graphical workflow unless you are comfortable identifying device identifiers:

diskutil list
diskutil eraseDisk APFS ExternalDrive GPT /dev/diskN

For a Windows/Mac disk:

diskutil eraseDisk ExFAT SharedDrive GPT /dev/diskN

Replace /dev/diskN only after checking diskutil list. eraseDisk rebuilds the selected disk and destroys its volumes; never confuse an external disk number with the internal startup disk.

Quick format, full format and secure erasure are different

A quick format recreates file-system metadata quickly. It does not reliably overwrite every sector, so confidential files may remain recoverable. A non-quick/full format is slower and may check for bad areas, but it is still not a guaranteed sanitization method.

SSDs add another limitation: wear leveling means repeated overwriting is not a dependable routine sanitization technique. Apple says Disk Utility secure-erase controls are unavailable for SSDs and recommends encryption and appropriate device-specific sanitization (Apple erase and reformat). Use a manufacturer-supported sanitize or secure-erase process when appropriate. For a Windows PC being sold, distinguish formatting an external volume from securely resetting or sanitizing the operating-system device.

When the normal format path fails

Symptom Likely issue Response

Windows cannot read APFS Mac-native file system Reformat as exFAT on the Mac or use separate third-party software.
Write-protected Lock switch, read-only state, policy, corruption or failing flash Check the physical lock and connection. DiskPart’s attributes disk clear readonly is only a possible remedy, not a guarantee.
I/O errors or repeated disconnections Cable, power, enclosure, bad sectors or failing media Try a suitable cable, powered port and enclosure; stop destructive retries if data matters.
Unexpectedly small capacity Wrong partition, hidden space, incomplete layout or faulty/counterfeit media Inspect the complete layout and hardware before rebuilding.

Formatting tools cannot fix a device the operating system does not detect. Check power requirements for desktop external HDDs, USB-C cable and adapter capability, the enclosure or bridge chip, and whether the disk appears in firmware, Disk Management or Disk Utility. If it reports the wrong capacity or disappears across multiple known-good connections, treat that as a hardware warning.

Final verification checklist

  • Confirm the expected capacity and file system.
  • Create, close and reopen several test files.
  • Eject the disk normally, reconnect it and repeat a read/write test.
  • Check that the disk mounts in the intended Windows and/or macOS computers.
  • Create a fresh backup before storing important material on the newly formatted volume.

For a drive shared between current Windows and Mac systems, exFAT with GUID Partition Map is usually the simplest arrangement, subject to the target devices’ compatibility. Keep another backup because removable cross-platform media is more exposed to unsafe removal and device-specific failures.
