How Do I Upload Everything to OneDrive? A Complete Windows, Mac, Web, and Phone Guide

The best way to upload a large collection is to install the OneDrive desktop app, sign in, and copy your files into the OneDrive folder. The app uploads in the background and is easier to monitor and resume than a browser tab. For Windows Desktop, Documents, and Pictures, OneDrive’s folder-backup feature may be more convenient. On a phone, enable Camera Upload for camera-roll photos and videos.

“Everything” has an important limit: OneDrive stores and synchronizes files, selected Windows folders, and camera-roll media. It does not create a restorable image of your entire computer, reinstall your applications, or back up all private mobile-app data.

Choose the right way to upload

Before you start

  • Identify the account: personal OneDrive and work or school OneDrive can have different limits, permissions, and administrator policies.
  • Check capacity: a free Microsoft account has 5 GB. Microsoft 365 Basic has 100 GB, Personal has 1 TB, and Family provides up to 6 TB total—generally 1 TB for each of up to six people. Storage and U.S. consumer pricing checked August 18, 2026 are listed on Microsoft’s quota page and the official plans page.
  • Measure what you will transfer: remove duplicates and unnecessary installers before buying more storage.
  • Choose copy or move: copying leaves the original in place; moving removes it from the source after it is placed in OneDrive.
  • Keep another copy of irreplaceable data until you have verified the upload. Synchronization mirrors many changes and deletions; it is not, by itself, an independent disaster-recovery backup.
  • Prepare the computer: keep it powered on, connected, and free of sleep interruptions during the initial upload. Avoid renaming or reorganizing thousands of files while they are being processed.
  • Expect cleanup work: unsupported characters, excessive path lengths, blocked file types, locked files, and permission errors can stop individual items.

Upload a large collection from Windows

Microsoft recommends the desktop app for large files and many files. Its instructions are in Upload files and folders to OneDrive.

  1. Install or open OneDrive and sign in with the account that should own the files.
  2. Complete setup and open the OneDrive folder in File Explorer.
  3. Create a sensible destination structure, such as Documents, Photos, and Archive.
  4. For the first pass, copy your source folders into OneDrive rather than moving them.
  5. Watch the OneDrive cloud icon and File Explorer status symbols while files upload. Do not shut down until processing has finished or errors are identified.
  6. Sign in to OneDrive.com and inspect representative folders and files. Check from another device if the collection is important.
  7. After verification, use Free up space or the online-only control to remove local content without deleting the cloud copy. Do not press Delete unless you intend the deletion to synchronize.

Anything inside the synchronized OneDrive folder is mirrored between the computer and cloud. Editing or deleting it on one device can change it everywhere.

Protect Desktop, Documents, and Pictures with Windows folder backup

Folder backup is separate from simply placing files in OneDrive. It can redirect or protect supported standard Windows folders, commonly Desktop, Documents, and Pictures; Microsoft documentation also discusses Music and Videos. The exact labels and availability vary by Windows version, OneDrive edition, account type, and organization policy.

  1. Open OneDrive settings from the cloud icon in the taskbar.
  2. Open the area labeled Backup, Sync and backup, or similar.
  3. Choose the standard folders you want protected and start the backup.
  4. Leave the computer online for the initial upload.
  5. Check the resulting folders on OneDrive.com.

This feature does not include every arbitrary folder on every drive, installed programs, a bootable Windows image, or a restorable copy of application settings. If a folder is already redirected, shared, or managed by an employer, the available controls may differ. When you later stop folder backup, OneDrive may ask whether files should remain in OneDrive or return to a local folder.

Upload from a Mac

Using Finder and the OneDrive app

  1. Install the OneDrive sync app and sign in.
  2. Open the OneDrive location in Finder.
  3. Copy or move folders into it.
  4. Keep the Mac online until the menu-bar status indicates syncing is complete.

The Mac integration is documented at Sync files with OneDrive on Mac OS X. Configure Files On-Demand or selective sync if the archive is larger than the Mac’s available disk space.

Using the website

  1. Sign in at OneDrive.com and open the destination folder.
  2. Select Upload, then choose files and select Open.
  3. In a compatible browser, choose the folder-upload option when it appears, or drag a folder into the page.

Upload through OneDrive.com

The browser is suitable for a few files or a modest folder:

  1. Go to OneDrive.com and sign in.
  2. Open the destination folder.
  3. Select Upload and choose Files or Folders when offered.
  4. Wait for the upload notification and check the folder contents.

Microsoft’s current browser documentation lists a maximum individual upload size of 250 GB in supported current browsers. Work or school tenants can impose different limits; a Microsoft troubleshooting page describes a 15 GB maximum in one business scenario. For “everything,” the desktop client is usually safer: a browser tab is harder to resume and monitor, folder-upload support varies, and simultaneous changes elsewhere can create conflicts.

Upload photos and videos from Android or iPhone

  1. Install the OneDrive mobile app and sign in.
  2. Open the app’s settings and enable Camera Upload.
  3. Choose whether cellular data and videos are allowed under the controls shown by your current app version.
  4. Keep the phone charged, connected, and permitted to run background activity.
  5. Confirm that the Camera Roll folder appears in OneDrive.

Camera Upload is primarily a one-way copy of the camera roll. It does not back up messages, application-private data, device settings, or every image stored by another app. On iPhone, iCloud Photo Optimization can leave only placeholders on the device; OneDrive cannot upload originals that are not locally available. Keep a large library from filling your computer

Files On-Demand lets OneDrive show online-only files in File Explorer or Finder without storing their full contents locally. Opening one downloads it. Mark files as available offline when you need them without internet access, and use selective sync to limit which folders are stored on a particular computer. Use Free up space to make a downloaded file online-only. Do not delete it: deletion inside a synchronized folder propagates to the cloud and other devices.

What OneDrive cannot upload as a complete backup

  • Installed applications and their executable installation state.
  • A bootable, restorable image of Windows or macOS.
  • All operating-system settings and recovery partitions.
  • Every private data store used by mobile applications.
  • Items blocked by permissions, organization policy, unsupported names, path length, file type, or size limits.

Use a separate system-image or backup product when you need bare-metal recovery, ransomware isolation, or guaranteed historical versions independent of synchronization.

Current limits that affect “upload everything”

  • Storage: exceeding quota stops new uploads, edits, and syncing; existing files may become read-only. See Microsoft’s full-storage troubleshooting.
  • File size: Microsoft documents 250 GB for an individual file and sync in current documentation, while business tenants may have stricter organization limits.
  • Item counts: Microsoft documents up to 2,500 files in one website copy operation and recommends approximately 300,000 total items for optimum sync performance. A rollout that began April 22, 2026 supports syncing up to 1,000,000 items for eligible accounts and client versions; it is not universal.
  • Previews: thumbnails and PDF previews are not generated above 100 MB, even when the underlying file uploaded successfully.
  • Personal Vault: unlock it before uploading. Accounts without a Microsoft 365 subscription are limited to three files there.

Troubleshoot common failures

“OneDrive is full”

Check the quota, remove unnecessary files, and empty the recycle bin where appropriate. Shared folders can also consume the recipient’s storage. Otherwise increase capacity through the account’s available plan.

A file is too large

Use the desktop sync app, confirm the account type, and check tenant-specific restrictions rather than relying on the consumer 250 GB figure.

Sync is stuck or says “processing changes”

Large libraries can take a long time. Check the error list for invalid names, locked files, conflicts, blocked types, permissions, quota exhaustion, or an account mismatch. Stabilize the connection and process very large archives in smaller batches.

Names or paths fail

Shorten deeply nested paths and rename files or folders containing unsupported characters. One failed item does not necessarily mean the entire transfer failed; inspect the OneDrive error details.

Camera Upload fails on iPhone

Make iCloud-optimized originals available locally, verify network and background permissions, and restart Camera Upload.

Personal Vault rejects a file

Unlock Personal Vault first and check the three-file limit on non-subscriber accounts.

A work or school account behaves differently

SharePoint storage, administrator policies, permissions, retention rules, and organization-specific limits can override consumer behavior. Contact the organization’s administrator for a blocked transfer.

Verify the transfer before deleting originals

  1. Check the OneDrive cloud icon in the taskbar or menu bar.
  2. Wait until it no longer reports syncing, processing changes, or an error.
  3. Open OneDrive.com and inspect the folders you transferred.
  4. Compare approximate folder sizes and file counts with the source.
  5. Open several large, unusual, and recently modified files.
  6. Check from a second device when the data is important.
  7. Review the OneDrive recycle bin before removing any original data.

A green or completed sync indicator confirms synchronization status; it does not prove protection against every deletion, corruption, ransomware event, or account problem.
