Overview

Vendorfi follows a vendor from request and onboarding through approval, contract tracking, renewal and offboarding, with ownership tracking along the way. That joined-up scope can help procurement and finance teams keep responsibilities and contract dates tied to purchasing decisions. Form-based intake, policy controls and approval workflows provide structure; however, teams with more than three active vendors or two users will need a paid plan.

Key features

Vendor lifecycle and contract oversight

Vendorfi AI scans contracts for key terms and notice periods, flags renewal risks and prepares audit summaries. Those capabilities target the administrative risk of missing a contractual obligation or renewal window. Free includes AI-powered alerts and insights; Core includes AI insights and a lightweight AI assistant. CSV vendor import is unavailable on Free, so teams bringing an existing roster into the platform need Core or Scale for that option.

Spend visibility and integrations

Shared dashboards track spend across vendors and categories and surface budget drift and anomalies. That gives finance teams a way to monitor spending patterns alongside vendor records, rather than relying on lifecycle tracking alone. Xero, QuickBooks and Slack integrations are included with Core; the pricing page also lists Asana, while Scale adds custom API integrations and webhooks. Scale’s custom connections may suit teams with integration needs beyond the named services, but they come with custom pricing.

Security and availability

Vendorfi says it encrypts data at rest with AES-256 and in transit with TLS 1.2 or higher, and makes encrypted daily backups in geo-redundant storage. It says its SOC 2 Type II audit is in progress, is GDPR compliant, and supports CCPA data access and deletion requests. Its availability aim is at least 99.9% per calendar month, excluding scheduled maintenance. These commitments may matter to teams evaluating how vendor records are protected and maintained; they do not change the Free plan’s capacity limits.

Pricing

Vendorfi has a free tier and two paid tiers. The Free plan is free forever, with three active vendors, two user seats, core vendor lifecycle management, AI-powered alerts and insights, and standard email support. Its complete audit log and action history are useful for a very small team, but the vendor and seat caps make it a limited starting point rather than a durable option for a growing operation.

Core costs $299.99 per month, or $259.99 billed annually. It supports up to 50 active vendors and 15 user seats, and adds AI insights and a lightweight AI assistant, guided approval workflows, a 24-month audit trail, Xero, QuickBooks and Slack integrations, and standard support. It is the practical step up for teams that have outgrown Free but can work within the 50-vendor and 15-seat ceilings. The annual price is lower per month, but requires annual billing.

Scale uses custom pricing and is available through a demo. It includes unlimited active vendors and users, advanced role-based access control and SSO, custom approval workflows, EU or US data residency, audit history with no expiry, custom API integrations and webhooks, and priority support with a dedicated customer success manager. It fits organizations needing those controls, capacity or support arrangements; a supplier portal is marked as coming soon, not as a current capability.

Platforms

Vendorfi is available on the web. Its integrations include Xero, QuickBooks, Slack and Asana, with custom API integrations and webhooks on Scale.

Who it's for

Vendorfi makes most sense for small and mid-sized businesses and tech startups that need to coordinate vendor lifecycle work and track spend in shared dashboards. Free can accommodate a tiny vendor roster; Core is more suitable once multiple colleagues and a larger supplier base need to work in the same system. Organizations requiring unlimited capacity, data residency choices, advanced access controls or dedicated support should consider Scale. Teams seeking a free plan for a larger vendor base, or unwilling to move to a paid tier as they grow, are a poor fit.

Pros and cons

Broad lifecycle coverage: Requests, onboarding, approvals, contract tracking, renewals, ownership and offboarding sit within the same product scope.
Contract-focused AI: Term and notice-period extraction, renewal-risk flags and audit summaries address specific contract oversight tasks.
Spend signals: Dashboards surface category and vendor spend, budget drift and anomalies for finance teams.
Very small Free ceiling: Three active vendors and two seats restrict its usefulness as a team or portfolio expands.
Core has defined limits: The 50-vendor, 15-seat cap and 24-month audit trail may not suit larger organizations or longer retention needs.
Some capabilities require Scale: Unlimited users and vendors, custom API integrations, webhooks, data residency choices and priority support require custom pricing.

Alternatives

For a broader comparison, see Procurement Orchestration Software.

Flowie is worth considering if document processing is the priority: its free plan supports up to 24 documents per month (300 per year) across document types, but has basic processing only and no workflows.
ControlHub may suit teams prioritizing purchasing requests and mobile access: it has Android, iOS and web platforms, and its Approvals plan costs 249.00 USD per month with unlimited purchasing requests and requester users, plus five advanced users. Additional advanced users cost $12 each.
VendrNova is another paid web-based option.
Gainfront AgentFlow is a paid web-based option with a demo-based plan.
Opstream is a paid option on web and API, with personalized pricing provided after company information is submitted.
Raindrop Systems is a paid option on web and API.
Zip is a paid web and API option with demo-request pricing.
Zycus Contract Management is a paid web-based option.

Verdict

Choose Vendorfi if your procurement and finance team wants vendor lifecycle management, contract renewal oversight and spend signals together, and Core’s 50-vendor limit fits your operation. The clearest reason to look elsewhere is scale or budget: Free tops out at three vendors and two seats, while higher capacity and advanced controls move to custom-priced Scale.
