Overview

Novex brings speaker activity together with registration, check-in, badges, sponsors, marketing, invoicing and reporting. Application forms, travel details, session assignments and email automation address speaker workflows, while the surrounding tools cover attendee and event operations. This integrated scope suits teams coordinating those functions; it may be more than organisers seeking only a narrow speaker-management tool need.

Badges can be designed and printed, or sent as branded PDFs with confirmation emails. Email and WhatsApp campaigns share an event audience and suppression list, keeping those channels coordinated. The interface supports English and Arabic, including a full right-to-left layout.

Key features

Speaker workflows: Application forms, travel details and session assignments support several parts of managing speakers and sessions.
Event delivery: Registration, on-site check-in, badges, sponsor management, invoicing and reporting put speaker work alongside event operations.
Audience communications: Email and WhatsApp campaigns use the same audience and suppression list. Spectrum includes 1,000 WhatsApp Business messages monthly, while the plan limits also cap email campaigns.
Integrations and AI: Spectrum provides REST API access and webhooks. Its AI copilot can use a customer-provided Claude or GPT key, so teams need to bring their own key.
Payments: Online payments are available when live on Spectrum. Paid tickets incur a 4.9% plus $1.99 per-ticket fee, with card processing included; teams should account for that charge when setting ticket economics.
Security: Novex describes tenant isolation across application, ORM and PostgreSQL row-level security layers, AES-256 encryption for sensitive fields, and primary hosting in the European Union. It says it aligns with EU GDPR, UK GDPR, Saudi PDPL and California CCPA/CPRA; SOC 2 Type II is on the roadmap.

Pricing

Novex offers a free plan and a 14-day trial. Beam is free forever with no card required, but is capped at one event and 150 attendees and includes Novex branding. It includes email confirmations, QR e-badges, on-site QR check-in and a public agenda page, making it a useful starting point for a small event rather than a recurring programme at scale.

Flare costs $99 month to month. It allows up to three active events, 1,000 registrations per event, three team members, 5 GB storage and 2,000 email campaigns monthly. Email support has a 24-hour reply target. This is the lower-cost paid tier for small teams, but it has no stated WhatsApp campaign allowance and sharply limits staff seats compared with higher plans.

Spectrum costs $399 month to month and raises the caps to 10 active events, 5,000 registrations per event, 10 team members, 20 GB storage and 10,000 monthly email campaigns, plus 1,000 WhatsApp Business messages monthly. It includes priority support with a 24-hour reply target, REST API access and webhooks, and enables online payments. It fits larger or more connected operations, though ticket fees remain relevant.

Aurora costs $999 month to month, with unlimited active events and registrations, 25 team members, 100 GB storage, 50,000 monthly email campaigns and 1,000 monthly WhatsApp Business messages. It suits teams whose event volume or email needs exceed Spectrum's caps; WhatsApp remains capped at the same monthly allowance.

Cosmos uses an annual contract with custom pricing. It includes unlimited events, registrations, team members, storage, email and WhatsApp, plus SSO, a 99.5% uptime SLA and custom onboarding. It is aimed at organisations that need enterprise-scale allowances and these contractual provisions, rather than teams wanting month-to-month terms.

Platforms

Novex is available on Android, iOS and the web, with API access. Its interface supports English and Arabic with full right-to-left layout.

Who it's for

Novex is a strong fit for event organisers, agencies, associations and in-house corporate teams running recurring conferences, exhibitions, corporate events or training. It is especially relevant when speaker workflows need to sit alongside registration, check-in and communications. A one-off or small event can start on Beam, but teams that need more than 150 attendees or more than one event will outgrow its free caps.

Pros and cons

Pro: Speaker workflows sit beside registration, check-in, badges, sponsors, invoicing and reporting, reducing the need to split event operations across separate workspaces.
Pro: Shared email and WhatsApp audience and suppression lists support coordinated outreach; Arabic right-to-left support broadens the interface options.
Pro: The free Beam plan includes QR check-in and e-badges, not just an event listing, and requires no card.
Con: Beam is limited to one event and 150 attendees and carries Novex branding, so it is a constrained option for growing or branded programmes.
Con: Paid-ticket fees add 4.9% plus $1.99 per ticket, even though card processing is included.
Con: Flare has three team seats and no stated WhatsApp allowance; larger campaign or collaboration needs push teams toward more expensive plans.

Alternatives

ConfTool is worth considering for smaller non-commercial events capped at 150 participants, especially if local installation and a free license on request suit the organiser; its free Standard license includes no support.

Fourwaves may suit teams prioritising submissions and registrations: its free Starter plan allows 25 abstract submissions a year, unlimited registrations and events, with a 3% service fee.

Sessionize is an option for free community events; its free plan excludes internal, private, promotional, marketing, profit-making and commercial events.

EasyChair may fit a small submission workflow: its free plan caps submissions at 20 and includes no technical support, while Professional charges $3.90 per submission for up to 60.

Indico is a free alternative with web, self-hosted, Android, iOS and API platforms.

OpenSession may suit organisers who want a free, self-hosted option on their own Cloudflare account; its free tier is described as covering most conference workloads.

Oxford Abstracts is a potential fit for abstract workflows: its free Basic plan includes unlimited submissions, review and decisions, ticketing, reviewer tracking and customisable forms and emails.

Speaker Dream is a free web option with unlimited events, sessions and speakers.

Verdict

Choose Novex if your recurring events need speaker workflows connected to attendee management, on-site operations and communications, and you can work within the relevant event, seat and campaign caps. Its main advantage is that operational breadth; its main reasons to look elsewhere are the paid-ticket fee and the cost or limits involved in scaling beyond Beam and Flare.
